3 Installation Prerequisites Checklist 1. Check the current Medtech Evolution General Practice installed version before attempting this update. Check this via Help About Medtech Evolution. The practice must be on the following Medtech Evolution General Practice version: Version or above. 2. Check the current version of Medtech Service installed before attempting this update. Check this via Control Panel Programs Programs and Features Medtech Service. The practice must be on the following Medtech Service version: Version or above. 3. Ensure all users are logged out of Medtech Evolution General Practice. 4. Ensure you are logged onto Windows with Full Administrative rights when performing ANY installation, update or maintenance. 5. Ensure you are logged onto the Medtech Evolution Database Server. 6. 4 Introduction These release notes provide an overview of features and enhancements made within Medtech Evolution General Practice Version (Build ). New Features and Enhancements Description of Change Category Impact An update to the National Immunisation Register (NIR) includes: dtap vaccine name changed to Tdap vaccine A new Tdap vaccine has been added for Pregnant Women and will be sent to NIR with a new Indicator (16). Td 45 years & 65 years are now sent to NIR Hepatitis B Serological Testing changes Extending the range of alternative vaccinations within the Childhood Immunisation Programme A new Prevnar 13 funded vaccine added to the Pneumococcal Pre/Post Splenectomy (Adult) schedule Please refer to relevant section below for the details. Regulatory Major The Patient Inbox now provides the ability to filter Filed records Clinical Moderate The CBIT Data Refresh Scheduler now includes: A Data Refresh Frequency setting A New tab Log to view the logs Clinical Moderate Consult Management now provides the ability to filter records based on the Location. Clinical Minor Action Status has now been introduced within the Patient Inbox and Provider Inbox Clinical Minor Statement Workflow now includes: Audit Preview Display Total Count of Patients in Statement Details Financial Moderate Appointment book now includes Recurring Appointment options Admin Moderate The Income Record Report Title is now displayed dynamically; i.e. it changes based on description configured within Setup Icons for Announcement and Assistance have been changed so they are more identifiable Staff Task, Patient Task and Recall Contact list The Provider drop down menu in these modules has been enhanced to display the list in alphabetical order Financial Admin Admin Minor Moderate Minor Front Page has been enhanced to provide an option to print either in A4 or A5 format Medtech Contact now includes: Notification Centre provides a means for Medtech to communicate Contact Support an alternative means to contact Medtech Support Admin Admin Minor Minor Copyright Medtech Limited Page 4 of 21

5 Patient Immunisations National Immunisation Enhancements The following changes have been made to the Immunisation module in conjunction with the Ministry of Health (MoH). dtap vaccine renamed Since 2008 dtap has been referred to as Tdap vaccines and should not be confused with DTaP. In order to align with the renamed vaccines and avoid ongoing confusions, all vaccines which contain the term dtap have been renamed as Tdap. The affected vaccines are detailed below: Previous Description dtap-3 11y dtap-2 11y dtap-1 11y dtap 11y dtap adult (misc) dtap 6w dtap 5m dtap 3m New Description Tdap-3 11y Tdap-2 11y Tdap-1 11y Tdap 11y Tdap adult (misc) Tdap 6w Tdap 5m Tdap 3m Please Note: 1. To locate these vaccines Tdap must now be used when searching for the relevant vaccine. 2. This change is only applicable to the vaccines having the NIR Vaccine code of (Diphtheria adult dosage, Tetanus, acellular Pertussis adult dosage) 3. The following vaccines will not be impacted due to this change: Vaccines Description NIR Vaccine Code dtap-ipv Diphtheria adult dosage, Tetanus, acellular Pertussis adult dosage, Inactivated Polio DTaP Diphtheria, Tetanus toxoids and acellular Pertussis 20 DTaP/Hib DTaP-Haemophilus influenzae Type B conjugate vaccine 50 DTaP-IPV Diphtheria, Tetanus, acellular Pertussis, Inactivated Polio DTaP-Hep B-IPV DTaP- Hepatitis B and Poliovirus vaccine 110 DTaP-IPV- Diphtheria, Tetanus, acellular Pertussis, Inactivated Polio Hep B/Hib Vaccine, Hepatitis B, Haemophilus influenzae Type B It is important not to confuse dtap with DTaP. 6 New Pregnant Women Tdap vaccination A new Tdap vaccine has been added for use for Pregnant Women to allow this to be differentiated from the Tdap Adult (misc.) vaccine within the NIR. This will be sent to NIR with a new indicator (16) for Pregnancy vaccines. In addition to this, the existing Pregnant dtap wks Schedule and Group has been renamed as Pregnant Tdap wks. Please Note: To record a Tdap Pregnant Woman vaccine for a subsequent pregnancy after the Pregnant Tdap wks schedule has been used, then the vaccine must be selected within the All Immunisations tab rather than open another schedule. Hepatitis B Serological Testing Changes Babies born to mothers with chronic Hepatitis B infection (HBsAg positive) are placed on the Baby of Hep B positive Mother 2014 schedule where this schedule currently creates an automatic recall for serological testing (anti-hbs and HBsAg) at 5 months of age. This recall period has now been changed to 9 months of age. Copyright Medtech Limited Page 6 of 21

7 The change was necessary due to the fact that the readings at 5 months were providing inaccurate results and as such this age was deemed too early for serological testing of anti-hbs and HBsAg. The serological test results at 9 months will be sent out as part of the update message of DTaP-IPV-HepB/Hib 5-month vaccination event. The additional optional Hep B vaccines given to babies if they are not immune to Hep B antigen has now been updated to align with the 9-month serological testing. The Hep B 1 st optional vaccine event can now be used to send the 9-month Hep B serology testing results. Copyright Medtech Limited Page 7 of 21

8 An additional third booster has been added to the Optional Booster Hep B schedule, The 3 vaccines are scheduled to be given 4 weeks apart with the first Optional Booster available 10 months after birth. Please Note: The MoH s NIR system currently cannot accept the additional 3 rd Hep B vaccine and as such this will not be sent to NIR. Td Adult 45y & Td Adult 65y vaccines can now be sent to NIR The MoH has requested all Td vaccines given to 45- and 65-year-old patients are sent to NIR. This will be performed automatically unless the patient has opted-out. This option is now presented when adding these vaccines for the patient if they have not yet opted-on. 9 Please Note: The Td, adult 45Y and Td, adult 65Y vaccines cannot be claimed; therefore, they will not be sent to MoH as part of the Immunisation claims process. New DTaP-IPV-HepB/Hib vaccine to be provided as an alternative to DTaP-IPV The MoH is extending the range of alternative vaccinations within the Childhood Immunisation Programme, especially to cover catch-up schedules for This will help in managing patients who would have had some vaccinations in another country and then catch-up with schedules in New Zealand. As part of this alternate vaccine addition, DTaP-IPV-HepB/Hib will be provided as an alternative vaccine for DTaP-IPV tasks mainly given as part of vaccines for 4-year-old children. As part of the main childhood immunisation schedule and catch-up schedules available for 2014, when the DTaP-IPV vaccine is selected as Alternative Given, a new vaccine titled DTap-IPV-HepB/Hib4y will be available. Please Note: Practices can send through their claims for this vaccine if this has been selected as an alternative to DTaP-IPV vaccine. Copyright Medtech Limited Page 9 of 21

10 New DTaP-IPV/Hib vaccine is provided as an alternative to DTaP-IPV- HepB/Hib As part of the alternative vaccine addition for childhood immunisations as stated above, a new vaccine titled DTaP-IPV/HIB will be available as an alternative vaccine for the existing DTaP-IPV-HepB/Hib vaccines given at the ages of 6 weeks, 3 months and 5 months. This will also help in recording and managing patients who have been given DTaP-IPV/Hib in another country and then catch-up schedules in New Zealand. Three new vaccines have been created for this, which have been titled DTaP-IPV/Hib 6W, DTaP-IPV/Hib 3M and DTaP-IPV/Hib 5M. As part of the main childhood immunisation schedule and catch-up schedules available for 2014, when the DTaP-IPV-HepB/Hib 6W, 3M and 5M vaccines are selected as Alternative Given, new vaccines will be available for selection under the alternatives list. The details are given below: Vaccine Name DTaP-IPV-HepB/Hib 6W DTaP-IPV-HepB/Hib 3M DTaP-IPV-HepB/Hib 5M Alternative Vaccine Available DTaP-IPV/Hib 6W DTaP-IPV/Hib 3M DTaP-IPV/Hib 5M Copyright Medtech Limited Page 10 of 21

11 Please Note: When DTaP-IPV/Hib 6w is selected the child will still require the HepB.paed-1 6w vaccine to complete the 6w vaccine event. Update of Pneumococcal Pre/Post Splenectomy (Adult) Vaccine Schedule From 1 st July 2015 Prevnar 13 vaccine is available as a funded vaccine to be given to adult patients (18 years or older) for Pre/Post Splenectomy procedure. Currently the Pneumococcal Pre/Post Splenectomy (Adult) Vaccine schedule only contains the Pneumococcal Polysaccharide vaccine (23PPV). The Prevnar 13 vaccine (PCV13) has now been added to this schedule. The existing Pneumococcal Pre/Post Splenectomy (Adult) Vaccine schedule has been modified to include the new PCV13 vaccine at the commencement of the schedule and change the 23PPV vaccine schedule to be given two months after the PCV13 vaccine. A new automatic recall has been created for the 23PPV vaccine, which will be triggered two months after the first PCV13 vaccine. Copyright Medtech Limited Page 11 of 21

12 Home Staff Task Home Patient Task Home Recall Contact list Provider List in Alphabetical Order Within Patient Task, Staff Task and Recall Contact list filter, the Staff Member list order has been enhanced to display the list of Staff Members in alphabetical order. Patient Front Page Print Front Page in A4 size Front Page can now be printed in A4 or A5. Within the Front Page Print menu a new option Print options allows the selection of Paper Size and Orientation as shown below: The settings will be remembered and used on the next Front Page print. 13 Income Record Report Funder Description Report Accounting Analysis Income Record The Income Record Report header previously printed a fixed Funder description. This has now been enhanced to print the Funder Description as contained within the Funder Setup to allow modified descriptions to be printed. Patient Patient Inbox Filter Filed records within Patient Inbox A new column Attention has been introduced within the Patient Inbox list to display the Attention To value. In addition the Patient Inbox Filter now allows the multiple selection of Attention to control the records that are displayed. To view Filed records only, the Attention filter should be set to blank. 14 Location Filter in Consult Management Patient Consult Management A new multi-select drop down option Location has been included within the Filter for Consult Management. The list grid also includes a new column Location, which will display the location where the Patient visit occurred. This is obtained from the Appointment Book or Queue. 15 Audit Preview Option in Statement Workflow Account Statement Workflow An Audit Preview icon has been introduced within Statement Workflow ribbon. This will allow a preview of audit details of the statements configured for all schedules with a Completed status. Account Statement Workflow Display Total Count of Patients For Completed Statements, the Statement details screen has been enhanced to display the Total Count of Patients within the Ribbon Menu as shown below: Copyright Medtech Limited Page 15 of 21

16 Recurring Appointment option in Appointment Book Appointment Appointment Books Users can book recurring appointments for the patient by right clicking on the patient s appointment timeslot in the Appointment Book and then selecting Recurring Appointments. Data Refresh Frequency Settings CBIT Setup Data Refresh CBIT Data Refresh Scheduler A new checkbox Activate Schedule Data Refresh for Reports has been introduced within the Data tab. A new Settings button has also been introduced next to the Activate Schedule Data Refresh for Reports checkbox. This button will be enabled only when the checkbox is ticked. On clicking the Settings button, a new pop up screen Data Refresh Frequency Settings is displayed as shown below, which allows the Data Refresh for CBIT reports to be scheduled. 17 Please Note: When clicking the Refresh button for the first time, both the structure and reports will get refreshed. Subsequently only the reports will be refreshed the next time the Refresh button is selected. Logs Tab CBIT Setup Data Refresh A new Logs tab has been introduced next to the Data tab, which displays the following columns: Column Name Refresh Type Data Refreshed No. of Reports Refreshed By Status Column Meaning Adhoc is displayed when a manual Refresh occurs and Scheduler is displayed when a scheduled Refresh occurs The Date on which the Refresh occurred The count of the Number of Reports that have been refreshed Identifies who performed the Refresh where #SYS is displayed for a scheduled Refresh Completed is displayed when the Refresh is successful and Failed if the Refresh was unsuccessful Please Note: 1. CBIT Location Setup has been removed as this is no longer used. 2. The Structure tab within CBIT Settings has been removed as this is now applied automatically by the Refresh. 18 Action Status in Patient Inbox and Provider Inbox Patient Patient Inbox Home Provider Inbox An Action Status menu has been included within the Selection Ribbon and is also available within the List grid via the right click menu. Enabling Action Status: Action Status can be enabled from File Options Location Clinical tab Enable Action Status Once the Enabling the Action Status checkbox has been ticked, the values will be listed in the Action Status. Action Status is used to indicate what action has been taken on a particular Inbox item where the default value is None and the other options for selection are: Abnormal follow-up and file Normal Set recall Recall and follow-up appointment This feature will appear only if it has been enabled within Location Settings. The Action Status can be set directly for an Inbox record via the right click menu and selecting the appropriate Action Status option as shown below: Copyright Medtech Limited Page 18 of 21

19 Filter Today s Filed Results in Provider Inbox A new option to filter the current day s filed results is introduced in the Provider Inbox ribbon. The option Todays Filed result Only will display the Inbox records received and filed by the user for the current day. Announcement and Assistance Icon Enhancement Tools Messaging Announcement and Assistance icons have been enhanced within the Tools Ribbon as shown below: The new icons are more vibrant and convey a greater sense of emergency. 20 Notification Centre Medtech Contact Help Medtech Contact Notification Centre A new sub-menu Notification Centre has been added to the Help menu. This will allow the practice to receive Medtech notifications, small updates and SQLs in the future. The Available option will display any updates or notifications that have been sent from Medtech. The Applied option will display all the updates and SQLs that have been run on the database and the notifications that have been read. The Details section will display the description of the notification and will be updated with the staff name and the date and time (as shown above) once the notification has been read. This will also display the staff name and the date and time once the update has been applied. The Acknowledge button will be enabled when you receive a notification from Medtech that only needs to be read. The Update button will be enabled if an update or SQL is received from Medtech. The Check button will check for any new updates or notifications that are made available by Medtech. Also new updates/sqls or notifications will be automatically downloaded into the Medtech Evolution database when the Message Transfer Service runs via the Scheduler. The Notification Centre screen will be displayed automatically for staff with System Administrator rights as soon as they login to Medtech Evolution if there is a new update or notification from Medtech. The Support button will open the new Contact Support screen Notification Centre. Copyright Medtech Limited Page 20 of 21

21 Contact Support A new sub-menu Contact Support has been added to the Help menu. This will allow the user to send support queries or any other requests through to Medtech Support instead of using s or phoning. The information shared via Contact Support is encrypted to help ensure the information remains private between the practice and Medtech. The bottom section of the screen displays the practice details that will be sent through to Medtech Support along with the queries.
