1 Vaccination Setup Immunization Set Up & Reporting To set up vaccination codes, waivers, links, combination vaccines, etc. The pathway is Office VaccinationsSetupCodes. See Cloning Vaccination Rules Code specific to indicated vaccination Type indicates whether the code is following the State imported rules or District rules. NOTE: to ensure that your district is following the appropriate rules, it is best to have this set as State. Linked Vaccines all vaccines approved to count towards the required immunization. Compliance Groups various schedules that will apply to compliance for the indicated vaccine.

2 Vaccination Configuration Immunization Set Up & Reporting NOTE for the Vaccination Report select both inactive and active students in order to print previous students that attended in the district. Report Printing Fields allows you to customize items printed on vaccination records within the district. Consider selecting Report Only to conserve paper when printing out a shot record. When items are selected to print on the vaccination report (or shot record), click OK.

3 Vaccination Waivers & Childhood Illnesses Immunization Set Up & Reporting OfficeVaccinationSetupCodes Add or Edit waivers, for type and set time according to waiver selected. Link vaccinations as allowable by law (ex. select vaccines Titer is acceptable for) Add childhood illnesses and link to vaccinations for compliance.

4 Vaccine Entry Links & Combo Vaccines Immunization Set Up & Reporting Vaccine Entry Links are set up as a time saving option to enter vaccination dates for one vaccine that will clone the date to other vaccines linked. Select Add to create an entry link Enter the Master code you wish to link other vaccines as given on the same entry date. Check boxes next to vaccine codes typically given on the same date to link. Checking Create Reverse Links will link the date for all vaccinations selected no matter which vaccination is entered first. Save Student vaccine entry with linked vaccines will then create a pop-up notifying that the vaccine date entered is linked with others. If OK is clicked all linked vaccines will be assigned the date entered. If cancel or X is clicked only the vaccine entered will be assigned the date.

5 Immunization Set Up & Reporting For faster immunization entry, create combo vaccines and link them to the individual vaccinations covered. Name the combo vaccine, to link with the appropriate groups, ADD find the vaccine codes to attach and hit save on each screen.

6 Vaccination Maintenance Immunization Set Up & Reporting In Student Vaccination, the Maintain tab will allow to enter override, waiver and or childhood illness. The vaccine selected will open up when Maintain is clicked. NOTE these same features can be applied using the Entry button in the Student Vaccination

7 Vaccination State Report Immunization Set Up & Reporting In entity 000 create a State Immunization Report, set ranges to include all grades and all entities. The report will yield enrollment for each grade with all fields to easily submit your state report.

8 Vaccination Letter Immunization Set Up & Reporting OfficeVaccinations Reports Create an immunization request letter to print out or to families. Active students only. Title the Report that all in the district will understand as you can entity clone for all campuses to utilize. (See end of click sheet for Entity Cloning) Choose form type Letters.

9 Immunization Set Up & Reporting Add Legal Notice Merge Field to letter, if desired. You must select a Legal Notice Date (date you want records turned in or date you are excluding). Make sure to update this date as needed. Add merge fields to auto populate information into the letter from Skyward data.

10 Immunization Set Up & Reporting the letter is a feature of Vaccination Letter. When selected it will the same formatted letter to the addresses you selected to send. NOTE: Check ranges before checking this option. Consider creating a separate report titled Vaccination Letter.

11 PROJECTING IMMUNIZATION COMPLIANCE Projecting Immunization Compliance These steps will allow a district to move the current year s vaccination rules forward to the upcoming year BEFORE Skyward loads the upcoming year s State Rules. NOTE: your district must have created the next ENTITY YEAR for this to process to work to allow you to find students who will be out of compliance for next school year. Change the Type of Code from State to District for each required vaccination code. 1. Highlight Vaccination, click Edit 2. Change Vaccination Type from State to District; Save. 3. Repeat for all required vaccinations. Rev

Select the School Year you wish to Clone from (current year). 2. Select the vaccinations you wish to clone (all). 3. Select the Clone to year (upcoming school year). 4. Run utility Rev

13 PROJECTING IMMUNIZATION COMPLIANCE You can see the changes in Vaccinations Compliance Groups. Check each entity. Remember no rules will display for the cloned year if your district has not yet created the Entity Year for each campus. YOU ARE RUNNING CURRENT YEAR S RULES FOR NEXT YEAR. Use same report settings to create Vaccination Letters (with or without parent ). Run Vaccination Out-of-Compliance Report for current 6 th graders: --Ranges are for Active students, Next Year Status active & Inactive --Select Out of Compliance Only in Additional Student Ranges and Vaccination Ranges --Change School Year, Compliance date and Date Age Effective to next year and next 1 st day of school --Select desired printing fields and Print Waiver Expiration Date --Select desired page break sorts Rev
