3 Enhancement Summary Software Changes in CloudPM CloudPM now supports multiple, simultaneous CRS interfaces running in the PMS application, including effective support for booking rules and restrictions, confirmation number display, and CRS message logging. Booking Rules and Restrictions should be managed by CRS type and PMS, while supporting business rules and requirements for partners such as the Best Western Two-Way CRS. CRS Configuration CloudPM CRS interfaces are configured in the CloudPM application in GM Functions > Property Settings > Interfaces > Central Reservations. Current CloudPM versions permit concurrent CRS interface configurations, including segregated CRS Master Settings and Translation Tables (Hold Types, Room Types, Credit Card Types, Rate Codes, Source Codes, Market Segments, Special Request Codes). It is anticipated that additional changes to the CRS interface configuration will be minimal to support multiple integrated CRS applications with CloudPM in the PMS user interface. CloudPM v5.4 is being enhanced to require that default values CRS Master Settings be required to fully complete varied CRS interface configurations The CRS Name will no longer be a free-form field to be defined by PMS users. This is now a drop-down selection populated by supported CRS Types, that when configured, will also determine the booking rules configuration (UI) GM Functions > Rooms & Rates > Booking Rules. The Description field is available for user-defined CRS type descriptions o CRS Types: *Best Western Two-Way CRS, CloudCRS (Windsurfer), ExpediaQC, Travlynx, Booking.com, Synxis OTA, Synxis HTNG, TravelClick *BW CRS will only display as an option for BWI-flagged properties **List of Available CRS interfaces in Property Settings: Should not require a CPM build; not hardcoded [See Figure 2] Figure 1 - CRS Interface Configuration (GM Functions) Note: Figure 2 shows an addition of a drop-down selection for the CRS Name (or CRS Type) that is not user-editable or definable. Users may use the Description column as a freeform field to describe properties of a CRS. 2

4 Booking Rules Booking Rules in are administered in a single screen view that may be applied to CloudPM as local inventory restrictions, and/or other channels such as all connected CRS applications (non-best Western Hotels only). If no CRS interface is installed, a CloudPM user may configure local inventory booking rules for the CloudPM PMS using this utility. à The new Booking Rules view is shown in Figure 3. Figure 2 3

5 Screen Controls MSI CloudPM Booking Rules Toolbar Commands: Save Standard function, enabled with any data change on screen Cancel Standard function, enabled with any data change on screen Refresh Standard function, enabled with any data change on screen Update Booking Rules Upon Click, enables selection toolbar; Displays update content as shown in Figure 3 (Date Range, Day of Week, and Booking Rules parameters) Selection Bar Rate Code Checkbox List; lists all active rate codes with All selection; Default selection = All Room Type(s) Checkbox list; lists all room types with All selection; Default selection = All Apply To: Checkbox list; Selects target to apply booking rules; options are: o All Default selection; applies rules to all CRS and Local Inventory o Local Inventory applies booking rules to be enforced in CloudpM o CRS 1 Interfaced CRS with CRS Master Settings active, if applicable o CRS 2 - Interfaced CRS with CRS Master Settings active, if applicable Booking Rules Date Range Start Date User selects first date to apply or update Booking Rules for; Default = today s business date End Date Last date that applied booking rules will be enforced; Default = today s business date Day of Week Checkbox list (Default = All); editable checkboxes for 7 Days, SUN SAT as shown in Figure 3. All checks all days; Uncheck any day unchecks the All selection Booking Rules Instructional label: Leave fields below blank or unchecked to maintain existing booking rules. Allocation Sets number of rooms allocated for combination of rate plan and/or room types; Textbox; accepts numeric characters only Default state: See below (checkbox) o Checkbox Allocate All = if checked, textbox is disabled and populated with All to indicate that full inventory is allocated; Default Value = All selected MinLOS Minimum length of stay; default value = no selection; numeric up/down control cannot be greater than MaxLOS MaxLOS Maximum length of stay; default value = no selection; numeric up/down control; cannot be less than MinLOS CTA Checkbox; Close to Arrival; default value = unchecked Open Checkbox; Open Inventory; default value = unchecked Close Checkbox; Close inventory for date(s); default value = unchecked Update Booking Rules Workflow User selects 'Update Booking Rules'; Selection bar displays; User selects rate code (checkbox list), room type, and 'apply to' target; view is populated by options shown User can enter DOW, rules as applicable - business rules will allow for multiple rules for same business date Save 4

6 View Booking Rules/Booking Rules Report (Print) Upon Click, the Retrieve button is enabled, and the Booking Rules Report is enabled. o The selection bar is enabled; the selection bar is displayed; # Weeks drop-down is added to the selection bar for the user to select 1, 2, 4, or 8 weeks to view. Selection Bar Rate Code Drop-down List; single-select only; lists all active rate codes (with NO All selection); Default selection = <blank> Room Type(s) Checkbox list; lists all room types with All selection; Default selection = <blank> o Note: Multiple room Types may be selected, but will affect the presentation of the grid to show accurate Rate/Room Type combinations Apply To: Single-select drop-down list; Selects target where booking rules are applied; options are: o Local Inventory applies booking rules to be enforced in CloudPM o CRS 1 Interfaced CRS with CRS Master Settings active, if applicable o CRS 2 - Interfaced CRS with CRS Master Settings active, if applicable Start date Start date to begin reporting # Weeks Number of weeks from start date to include in retrieved data for display; Valid options are 1,2,4, and 8 weeks. Retrieve button is used to query based on criteria selected on the selection bar; this button is enabled when the selection bar is displayed Workflow: Click View Booking Rules; Retrieve is enabled; Booking Rules Report is enabled Select rate code, room type, apply to, and # weeks parameters Click Retrieve - Booking Rules queried by parameters are displayed in a read-only grid (See Figure 4) Optional: Click Booking Rules Report to +Print+ The Booking Rules Report will no longer use a pop-up to configure the report parameters. The view rates function creates a query that can be used by the Booking Rules Report; once a query for View Rates is executed, clicking the Booking Rules Report will export the retrieved data to the Booking Rules Report in the CloudPM Report Viewer The Booking Rules Report will also remain available in the CloudPM Reports Module for ondemand reporting Figure 3 5

7 View Booking Rules: Grid Properties The View Booking Rules Grid is used to display booking rules set in CloudPM for CloudPM or for an interfaced CRS. The Grid is read-only Only one Rate Code may be viewed at a time; multiple room types may be selected; each row will represent a single Rate Code/Room Type combination. Columns: o Date o Day of Week o Room Type o Allocation will show actual rooms allocated; if value is set as All, will show total number of rooms on-market for room type o MinLOS If set, shows value for MinLOS o MaxLOS - If set, shows value for MaxLOS o CTA Checkbox column; if applied to date checkbox is checked o Open - Checkbox column; if valid for date checkbox is checked o Close - Checkbox column; if valid for date checkbox is checked o Last update Date of last update make to booking rule for date, rate code, and room type combination; blank if no rules have been set for date and rate/room type combination o User if booking rules are set, User ID of user making last update; blank if no rules have been set for date and rate/room type combination 6

8 Booking Rules Report The CloudPM Booking Rules Report will retain the existing format for displaying Booking Rules entered. However, the report provides the choice to display, (using Report filters) Local or one or more CRStargeted Booking Rules. The filters are added to the Reports Module version of the Report. o The Report generated in the GM Functions Module will continue to show all Booking Rules for the date range entered, with the available Rate Plan and Booking Rule Type filters. o The Apply To column on the report will remove the (Local, CRS, Web) notation on the column header o Like the Booking Rules UI, the Apply To column will list Local and all CRS types where a Booking Rule is targeted Booking Rules Report Reports à Reservation Reports à Booking Rules Report Filters (New Configuration): [See Figure 8] o Date Range Start Date Date Picker End Date Date Picker o Optional Filters Booking Rule Pick list Lists All Booking Rules Rate Plan Pick List Lists Rate Codes (PMS) Select Report(s) Text /Label All Checkbox Default Value = CHECKED CloudPM (or Local ) Checkbox Default Value = CHECKED [CRS 1] Checkbox - Name of CRS - Checkbox Default Value = CHECKED [CRS 2] Checkbox - Name of CRS - Checkbox Default Value = CHECKED [CRS 3] Checkbox - Name of CRS - Checkbox Default Value = CHECKED Modified (Standard) Booking Rules Report Header (Options/Filters) Figure 4 7

9 Standard Booking Rules Report (Sample) Figure 5 Standard Booking Rules Report Updated Apply To Column Confirmation Numbers CloudPM must support confirmation numbers for multiple CRS systems running concurrently. The impact of having multiple CRS applications will be that when a full two-way CRS is running (i.e. Best Western Two-Way CRS), when a booking is delivered to CloudPM from a third-party CRS, CloudPM will create the reservation, which will also trigger a new booking to be sent to the two-way CRS in this example. Therefore, there may be up to three confirmation numbers that CloudPM will need to recognize for the purpose of reservation search, as the guest will only have one confirmation number where CloudPM must be able to locate the reservation by any of the associated confirmation numbers. Requirements: CloudPM must display all Confirmation numbers on the reservation The CloudPM Find à Reservation (search) utility must be able to locate a reservation by any; existing functionality currently used by CloudPM should be able to search for any confirmation number issued by a CRS The following reports and documents should be able to display all confirmation numbers: (Figures 10, 11, 12) o Guest Name List Detail Report only o Confirmation Letter o Cancellation Letter o Guest Folio 8

12 Reservation Multi CRS Confirmation Numbers The Reservation view Title Bar will display all confirmation numbers related to a Reservation, including PMS, and multiple CRS number, when applicable. This meets business rules for our supported CRS brands, and does not represent a design change from prior CloudPM versions. Figure 9- Reservation Title Bar highlighted CRS Message Log Changes to the CloudPM CRS Message Log: CRS Names: o One or more CRS Interfaces: Share general CRS Message Log; Change: CRS will no longer be used as a label. Each CRS in the Message Log must be denoted as the CRS type, to avoid confusion between messages of disparate CRS interfaces From Column o A new column will be inserted to the immediate right of the To column; the To column indicates the target destination of PMS<>CRS messages. The From column will indicate the origin of a CRS message, to help alleviate confusion over the overall path of CRS messages. Figure 17 shows the placement of the new From column.
