1 Student Organization Name: Hippies For Hope Date Prepared: August 26, 2016 Date Amended: Date Approved (LEAD Center staff): Approved by (LEAD Center staff): Article 1: Name This organization will be known as Hippies For Hope on campus and can be abbreviated as HFH. In relation to other Hippies For Hope Branches, this branch will be referred to as the UC Berkeley Branch of Hippies For Hope. This name will be used on our main website, Facebook page, Instagram and brochures. Article 2: Purpose/Mission Statement Hippies for Hope is a grassroots, youth-powered, charitable organization working to better the education of children overseas, and spread smiles around the world. By creating and selling tie-dyed shirts, we give children in local hospitals a reason to smile, and help to provide students across international borders with the opportunity of Secondary Education. The objectives of Hippies for Hope do not end with the mere donation of shirts, but involve the empowerment of young people everywhere to feel connected to one another and support one another by means of positive energy. Created with the intention of brightening the days of families in hospital settings, Hippies for Hope has evolved into a movement toward solidarity between the youth of the Northeast United States, on college campuses, in high school settings, and across international borders. Shirts are sold at local craft fairs and online, one shirt is donated to a local hospital for every shirt sold. Proceeds are also donated to a partnered organization that helps to improve the education of children in other countries. Each branch of Hippies for Hope donates to a unique case that supports education abroad. This includes donating to help education in Tanzania, Africa, Nicaragua and more. The UC Berkeley branch of Hippies For Hope will donate tie-dyed shirts annually to Benioff Children s Hospital and monitory donation to the SEGA Girls School in Tanzania, Africa.
2 Article 3: Goals of the organization Spread smiles and positive energy to local children in Benioff s Children s Hospital through the donation of homemade tie-dyed shirts. Empower children and teens overseas in third world countries through yearly monetary donations to each branches partnered organization of choice that supports education. Teach our members the power of positive energy. Teach our members important skills dealing with sales, entrepreneurship, organization, marketing, group work, and donations. Students who volunteer for the organization have the option(s) to sell shirts, promote the organization through social media, add our logo to t-shirts, and/or hospital donations. Article 4: Motto Wear a Shirt. Give a Smile. Spread Hope. This motto is present on business cards, brochures, posters, websites, and social media. Article 5: Membership Those eligible for membership in the organization must have a cumulative grade point average of 2.0 of higher on a 4.0 scale. Only currently registered students may be active members in a registered student organization. Only active members may vote or hold office. Non-active members will include those in the Berkeley area who are between the ages of 14 and 18. These members must in enrolled in a local high school and can participate in certain events through Hippies For Hope. High school students may attend tie-dying events and craft fairs. These students can work towards bringing Hippies For Hope to their future college or university. Presidents and vice presidents are encouraged and help students prepare to start a new branch and/or direct them to someone in another branch who would be able to assist them. We will not haze according to California State Law. We will not restrict membership based upon race, color, national origin, religion, sex, gender identity, pregnancy (including pregnancy, childbirth, and medical conditions related to pregnancy or childbirth), physical or mental disability, medical condition (cancer related or genetic characteristics), ancestry, marital status, age, sexual orientation, citizenship, or service in
3 the uniformed services (including membership, application for membership, performance of service, application for service, or obligation for service in the uniformed services). Hippies For Hope is a youth powered organization that is run by students, high school and collegiate, across the country. Because of this, it is encouraged greatly that only youth (as an organization we consider youth below the age of 25) are members of the organization. Article 6: Officers & Elections -President (or co-presidents) The President is responsible for holding tie-dye events around campus, holding regular meetings with volunteers and the executive board, making sure the branch is participating in craft fairs, making agendas for meetings, setting up hospital donations, and promoting the organization in school and around the community. Volunteers and other executive members are expected to help with these events, however it is the presidents job to make sure these are getting done. This individual is responsible for recruiting volunteers to the branch and successfully training those in line for the role of president. The president must also oversee all other members of the e-board to make sure they are doing their jobs correctly. This officer will serve as the primary contact and will serve as the organization signatory. -Vice President The vice president is responsible for filling the duties of the president when they are not available. They are responsible for assisting the president went needed and should help organize events along side them. The vice president is responsible for booking a room or finding space to hold the meeting. They are also responsible for overseeing all other members of the executive board and for making sure that records are being kept accordingly. -Secretary This position may also be filled by any other e-board member. For example, the treasurer may hold the position of treasure and secretary.
4 The secretary is responsible for attending all meetings and recording what was said and discussed. These documents must be stored in a computer folder, in an organized fashion. Attendance must be recorded at every meeting, the date, and the length of the meetings. The secretary is also responsible for recording the inventory of shirts and shirt sales within a spreadsheet. A new spread sheet should be created at the beginning of every school year. -Treasurer This e-board member is responsible for keeping any records dealing with money and running our bank account. This individual is also responsible for purchasing any needed supplies after it has been discussed and agreed upon at an executive committee meetings. It is the treasurers job to keep all records dealing with the account as well as how much money is donated and made during each craft fair. They are also responsible for sending 25% of the branches yearly earning to the SEGA Girls School and Tanzania, Africa. This can be sent vis or online through -Sales Director (Will be held by the vice president if the position is not filled.) This e-board position is in charge of finding local craft fairs, participating in the craft fair, finding volunteers to help, bringing the shirts, supplies, setting up the table, and interacting with customers. This individual should be friendly, outgoing and knowledgeable about the organization. This way, they can explain to customers about how we spread smiles to our local community and abroad. This e-board member is also in charge of keeping track of the shirts sold during a craft fair and report them later to the secretary. Shirts should then be returned to the president or where they are typically stored and any money made should be given to the treasurer after the craft fair. General Member: Anyone who attends general meetings and/or tie-dye events, craft fairs or hospitals donations is constituted as a general member. These members are encouraged to help out during events and should be contacted via when volunteers are needed.
5 All officers listed except for general members are on the executive committee and must attend executive committee meetings. Officers will be voted on at general meetings the last meeting before winter break. Those running for a position have the option to give a small speech and inform others about their experience and why they believe they are a good fit for the position. New officers will be voted into office on a majority vote. Officers will hold positions for one year, until the following December. Officers can choose to rerun for their position. Officers will be removed and/or replaced if they miss over two execute committee meetings a semester. Officers can also resign at anytime and a vote will be cast at the next general meeting to fill the position. If an officer is not completing their duties, the executive board has the right to remove them from office. ALL executive committee members must agree to impeach the member who is not fulfilling their duties. A new individual will be chosen at the next general meeting to fill the position. Article 7: Meetings The organization will typically meet once a month for all members and every two weeks for E-Board members. If all executive board members agree that a meeting is not necessary, a meeting is not required. ALL members on executive board must agree, not a majority rule. The president of the club is responsible for holding meetings and the vice president is responsible for running the meeting if the president is not able to make it. The vice president is also responsible for booking a room or finding space to hold the meeting. A time should be chosen that works for all E-board members. All but one E-board member must be present for the meeting to be considered valid. Special, emergency meetings are very unlikely. However, meetings may be more frequent if a large event is approaching including tie-dying, craft fairs or a hospital donation. These meetings will be used to prepare and organize for the event. Article 8: Shirts and Sales: Only tie-dyed shirts, long sleeve and short sleeve, and infant onesies may be sold by Hippies for Hope. Red, blue and yellow dye must be used. Specifically, only dye from Dharma Dye Online may be used to dye our shirts. This dye is used by all branches of Hippies For Hope and standardizes the way our shirts are made and look. Other colors may be used depending on if the branch has the funds and its needs. All short sleeve shirts, children's and adults, will be sold for $10 regardless of size and color. All long sleeve shirts will be sold for $15, regardless of size and color. Branches have the option of selling infant onesies for $10 if they choose.
6 All items being sold must have the Hippies for Hope logo on them. Logos are placed on the top, back of shirts and in the back, middle of onesies. The logo must be 3inx3in in size. The logo may be added to the shirts via screen printing, stamping, or vinyl. A method that fits the branches options best should be used. The logo can be found in Article 13. No other apparel items are allowed to be sold. Hippies For Hope stickers not considered apparel and are sold for $1. Washing instructions must be verbally told and given to every customer. Washing instructions are on all business cards therefore a business card should be given with every shirt sold or donated. Article 9: Donations to hospitals: Donations of our tie-dyed t-shirts will be donated to Benioff s Children s Hospital in Oakland, CA. One shirt is donated for every shirt sold within two years of making the sale. This rule is in place due to the fact that hospitals have a limited number of children in them. If a branch sells over one hundred shirts for the year but their hospital only needs fifty shirts for the fifty children, the branch has to option to wait up to two years and donate more shirts at a later time, within the two years of the sale. Shirts should first be given to all children in the hospital. Branches may choose to also give shirts to family members, siblings and staff of those in the hospital. Especially for young children in the hospital with siblings, it is important to ask siblings if they would like a shirt too, if the branch has the funds to give away the shirt. This spreads even more smiles throughout the hospital and avoids conflicts between siblings who may feel jealous when seeing a family remember receive a shirt. Items including stickers, business cards and brochures are encouraged to be given out with donations. A business card should be given out with every donation and verbal washing instructions should be given to all who receive a shirt. All records of shirt donations must be kept neatly in an online spreadsheet for that academic year. Article 10: Monitory Donations: Monitory donations will be made to a partnered organization/school abroad that helps to improve children s education. Currently, the UC Berkeley Branch of Hippies For Hope will be
7 donating to the SEGA Girls School in Tanzania, Africa. This organization is subject to change every five years and must be renewed by E-Boards members every five years. This organization must be outside of the United States and it is encouraged to be donated to third world countries. This can include having scholarships for children to apply for, donating directly to the school to help them purchase supplies or purchasing needed material upon request from the organization. These yearly, monitory donations must be sent to the chosen cause during the month of December. Donations should be carefully recorded and receipts should be kept. Receipts and records should then be forwarded by to the national treasurer. The amount of money donated depends on the yearly income of the branch. Twenty five percent of the branches yearly earnings should be donated towards your cause to help education, this rule does not apply to branches in the first two years of operation. New branches are encouraged to donate what they can, but should be more concerned with the financial state of the branch so it will be set up for long term success. The UC Berkeley branch of Hippies For Hope is not required to make a monitory donation in December of Earlier donations are encouraged depending on the funds of the branch. Article 11: Constitutional Amendments An amendment to the constitution can be proposed by any active executive board member of the UC Berkeley Hippies For Hope. Amendments must align with the core values of Hippies For Hope. Amendments will first be presented at an executive board meeting. If over 2/3 of the board agree s to the change, the amendment can now be presented to the presidents of all branches of Hippies For Hope. Board members have one week to discuss and decide on their vote towards the amendment. This amendment can now be send via or during a group phone conversation to ALL branch presidents across the country. 2/3 of the branch presidents must agree on the amendment for the amendment to pass. If below 2/3 believe the amendment will not be valuable, the amendment can be rewritten. At least two weeks later, a new amendment would once again have to start by being voted on by the E-Board. If the voting reaches 2/3 by the e-board, the amendment will move to branch presidents where 2/3 will be needed to put the amendment in place. Having branch presidents ensures that all branches remain very similar in the way they operate, sell, and donate. All amendments, additions or deletions to this document must be filed with the LEAD Center in 432 Eshleman Hall.
8 Article 12: Dissolution Dissolution will be decided first during an executive board meeting. If a 2/3 majority vote agrees to dissolution, the next step will be contacting all other branches of Hippies For Hope to discuss the matter forward. Other branches should be able to help with funds and support if needed to keep the organization running in Berkeley. If it is decided that the Berkeley branch cannot sufficiently sustain itself, the branch will announce it s dissolution at the next general meeting. General members are able to step up into executive board positions if they wish to continue to organization. These members should contact other Hippies For Hope branches for guidance. If three executive position s become filled during the general board meeting, the organization will not dissolve. However, if 2/3 of the executive board agrees to dissolve the group, no general members step up into executive positions, and other branches have been contact and can lend no assistance, the organization can dissolve. If the organization is ASUC or GA Sponsored, all unspent ASUC funds shall return to the ASUC; all Graduate Assembly funds shall return to the Graduate Assembly. If the organization is defunct for five (5) or more years, any privately obtained funds (including any funds left in miscellaneous accounts) shall be donated equally to the other branches of Hippies For Hope across the country. All inventory should be donated to the Benioff Children s Hospital. In the event that the designated nonprofit organization no longer exists or has ceased to be a nonprofit, then the unspent funds shall be donated to the ASUC.
