3 GENERAL INFORMATION Information governing awards is found in: Section 5 - Awards & Recognition of the current Guiding Essentials Alberta Council website R.3 Award Application Websites are: Any registered member may apply for an award for a Guider they feel is deserving of recognition. The Council involved may approve the award however, please inform the commissioner at the next level of your intentions. This will enable discussion of awards and help to prevent duplication and confusion within the application process. It also assists to clearly define the financial aspects of the award. Sometimes recognition of a particular Guider has been neglected in the past, or a Guider has given such outstanding service since her last award that she truly deserves an award that would mean skipping over another one. Please apply for the award that you believe the Guider deserves. All adult awards are planned to be presented at the Edmonton Area Awards and Appreciation Dinner in May. If this is not possible, please discuss with the Awards Committee as to specific deadlines for your situation. All girl awards are planned to be presented at the Edmonton Area Girls Awards Ceremony in September. If this is not possible, please discuss with the Awards Committee as to specific deadlines for your situation. DEADLINES TO EDMONTON AREA GUIDE OFFICE Awards may be applied for at any time during the year. The deadlines listed on the award descriptions will enable processing the awards to meet Alberta Council and National deadlines for presentation at the Annual Edmonton Area Awards and Appreciation Dinner in May or the Edmonton Area Girls Award Ceremony in September. For alternate presentation dates, please allow at least 5 months for National Awards, 4 months for Provincial Awards and 6 weeks for Area Awards for application processing. 5 HOW TO NOMINATE SOMEONE FOR AN AWARD If the Edmonton Area Awards Committee is approving the award: 1. FORWARD one copy of the nomination package to the Awards Committee through the Edmonton Area Girl Guide Office. This must include: R.3P or R.3N - Fill out completely. imis Profile - Contact Edmonton Area Girl Guide Office for a copy. Support Letters - Contact your peers to support the award nomination and write a letter of support. See more about support letters on Pages 11 and NOTIFY the nominated Guider s commissioner, adviser or committee chairwoman. 3. PAY the invoice to Edmonton Area when received. If a District council is approving the award for presentation at a District event or at the Edmonton Area Awards and Appreciation Dinner: 1. FORWARD one copy of the nomination package to the Awards Committee through the Edmonton Area Girl Guides Office. 6 AWARDS FOR ADULT MEMBERS Please note: A completed R.3P or R.3N application form and current imis profile must accompany every application imis profiles can only be obtained from the Edmonton Area Girl Guide Office. A profile can be requested from the office or one will be printed when your application is received Letters must document service to Guiding since last award received All original letters will be included in presentation of the award AREA AWARDS MEMBERSHIP PIN Automatically presented annually to a registered adult member by her commissioner and indicates her number of years of service. After 15 years of service, pins are presented every five years. NEW UNIT GUIDER APPRECIATION PIN Presented to each unit Guider in the first year of service in a guiding unit. The unit Guider s District Commissioner presents the pin; no application is needed. This pin is only presented once. LETTER OF COMMENDATION Presented to a registered adult member in recognition of service to Guiding. This award may be given more than once. R.3P and current imis profile One letter of support describing service to Guiding SPECIAL LETTER OF COMMENDATION Presented to a registered adult member in recognition of service to Guiding when circumstances warrant more than the regular Letter of Commendation. This letter is written by the Area Commissioner. This award may be given more than once. R.3P and current imis profile One letter of support describing service to Guiding UNIT GUIDER AWARD Presented to a registered Unit Guider who provides girls with diverse and exciting programs and opportunities that will help them achieve greatness; ensures there are regular bridging opportunities; always welcomes new members; attends trainings; participates in District meetings; and upholds the values of Girl Guides of Canada. Bronze Unit Guider for 1 3 years of Guiding experience Silver Unit Guider for 4 10 years of Guiding experience Gold Unit Guider for 11 + years of Guiding experience R.3P and current imis profile Two letters of support describing service to Guiding COMMISSIONER AWARD Presented to a Commissioner who leads by example; actively welcomes new members and retains current members; mentors adult members; upholds the values of Girl Guides of Canada; and has gained the respect of members, girls and parents. 8 EDMONTON AREA DISTINGUISHED SERVICE AWARD Presented to a registered adult member who has given distinguished service to Edmonton Area for at least 15 years. Approval will be based on the Guider s total contribution to Girl Guides. Any years as Member-At-Large are not included. A maximum of three awards will be presented each year other nominations will be held and considered the following year. R.3P and current imis profile (on the R.3P write Distinguished Service beside Area Award) Three letters of support describing service to Guiding in Edmonton Area Application approved by Edmonton Area Commissioner Deadline: 1 st Wednesday in January MERIT AWARD Bronze Merit for dedicated service to Guiding Silver Merit for excellent service to Guiding Gold Merit for outstanding service to Guiding Presented to a registered adult member in three levels for service to Guiding in any field beyond the basic requirement for the position held. R.3P and current imis profile Two letters of support TEAM AWARD Presented to adult and girl registered members who have been part of a team that planned and carried to completion an extraordinary event or project. This award gives special recognition for the teamwork, creativity, diligence and synergy that goes beyond the basic expectation when a group works together. Note: This is an adult award, but if girls are part of the team they may receive the Team Award. There is no award for an all-girl team. Application must be made within one year after the event or project is completed. 9 PROVINCIAL AWARDS PROVINCIAL COMMISSIONER PROMISE AWARD Presented to registered long serving members of Guiding who continues to actively participate within the jurisdiction of Alberta Council. R.3P and current imis profile Minimum 25 years of Adult Service Four letters of support Application approved by Alberta Council or Executive Deadline 1 st Wednesday in January MEDAL OF MERIT Presented to registered adult members for exceptional service to Guiding at any level, beyond the basic requirements for the position held. R.3P and current imis profile Two letters of support Application approved by Alberta Council or Executive Deadline: 1 st Wednesday in January ALBERTA ROSE Presented to registered adult members who are making an outstanding contribution to Guiding within the Province of Alberta. The Guider must still be serving and intend to continue to serve Guiding. Her service must be above and beyond the requirements of the position. Service need not be to Alberta Council or be known to Alberta Council other than through the supporting letters. R.3P and current imis profile (on the R.3P write Alberta Rose beside Provincial Award) At least three letters of support Application approved by Alberta Council or Executive Deadline: 1 st Wednesday in January NATIONAL AWARDS BEAVER AWARD Presented to a registered adult member for exceptional service to Guiding at the Provincial or National level. 10 HONORARY LIFE MEMBERSHIP Presented to a registered adult member while still actively involved in Guiding or upon retirement. Nominee must have a current Police Record Check. R.3N and current imis profile Three or more letters of support followed by Alberta Council or Executive Application approved by National Board of Directors The required fee must accompany the application (currently $ ). Cost of pin and handling charges will be charged later Deadline: 1 st Wednesday in December FORTITUDE AWARD Presented to a registered adult member who has shown great courage and endurance in adversity. Fortitude must have been demonstrated within the past twelve months. May be awarded posthumously. R.3N and current IMIS profile Two or more letters of support (see R. 3 for details) followed by Alberta Council or Executive Application approved by National Board of Directors Deadline: 1 st Wednesday in December VALOUR AWARD Presented to a registered adult member who has shown heroism in risking her life to save, or attempting to save the life of another person. Application must be made within one year after the incident. Level determined by the degree of risk involved. May be awarded posthumously. 12 AWARDS FOR GIRL MEMBERS EDMONTON AREA GIRLS SERVICE AWARD Presented to a registered girl member, 14 years of age and up, for service to Guiding. Additional criteria may include service outside of Guiding: church, community, school participation and family commitment. This award can be initiated by a parent, Guider or Commissioner. Letters of support are encouraged from a Guider and one other: parent, teacher, clergy, coach, etc. R.3P and current imis profile (on the R.3P write Girls Service beside Area Award) Two letters of support one from Guider and one from either a member or nonmember of Guiding Recipient will receive invitation to Edmonton Area Girls Awards Ceremony Deadline: Last Wednesday of June for presentation at Edmonton Area Girls Awards Ceremony in September GOLD THANKS PIN Presented to a registered Ranger member for excellent service to Guiding. R.3P and current imis profile One letter of support describing service to Guiding Recipient will receive an invitation to Edmonton Area Girls Awards Ceremony Deadline: Last Wednesday of June for presentation at Edmonton Area Girls Awards Ceremony in September FORTITUDE AWARD Presented to a registered girl member who has shown great courage and endurance in adversity. 14 PROGRAM AWARDS AND SCHOLARSHIPS PROGRAM AWARDS Girl Guides of Canada offers several additional challenges and awards for girl members. Please see the specific branch program books for further details. These can be recognized at Edmonton Area Girls Awards Ceremony; however, this will be in the form of a certificate only. The awards should be presented at an earlier date at the unit level. Guides: Pathfinders: Rangers: Lady Baden-Powell Challenge Canada Cord Chief Commissioner s Award (Bronze, Silver & Gold) Commonwealth Award Duke of Edinburgh s Award (Bronze, Silver & Gold) SCHOLARSHIPS Girl Guides of Canada offers scholarships and bursaries at the National and Provincial levels. These scholarships are designed to assist members in financing further education. Please consult the National or Provincial website for the more information and the application form for each respective scholarship. 15 TIPS FOR WRITING A LETTER OF SUPPORT This section is taken, with permission, from the Provincial Awards Information Booklet Begin with an introduction that identifies the Member being nominated, the award being applied for and a summary of the Member s role(s) and accomplishments. In the body of the letter, explain why the individual is deserving of the award. Use specific examples within the letter. You can break the examples down into paragraphs and refer to her accomplishments in the areas of: o Guiding o Family / Home life o Work o Personal (illness, disability, challenges) o Community life (other volunteering) Be sure to include all aspects of the individual being recognized to offer a complete picture of the person. Use clear, concise language that states, in your own words, why you think this person should receive this Award. Try to tie in as many Guiding examples as possible. You can include: o positions held o mentoring roles o creativity of unit meetings o support of girl greatness o Link or Trefoil Guild involvement o special events or committees o parent, girl and other Member feedback. Letters can come from Guiders, parents, girls, friends, other volunteer agencies, employers/colleagues, professors etc. Every person asked to write a letter of support should be given a copy of the sample letter included in this booklet. The imis Profile provides us with the details of service and positions held; the committee needs to know why you feel she deserves the award. Please use a business letter format; if you are unable to type it, be sure it is neatly hand written. Your letter will be read by several people and the original is given to the recipient when she receives the award. You will find a sample letter on the next page. Every person asked to write a letter of support should be given a copy of both pages don t assume everyone knows what is expected! Page 15 Handy Awards Guide update January 2017
16 SAMPLE SUPPORT LETTER May 4, 2010 Dear Members of the Awards Committee It gives me great pleasure to write this letter in support of the application for the Medal of Merit for Suzy Q. Guider. I have known Suzy since 1994; she has given unselfishly of her time and energy to the girls and to Guiding. We have worked together at the Unit level as well as on the District Council. Suzy is always the first to "Lend a Helping Hand" when volunteers are needed. In 2008, when the Contact Guider of the Brownie Friendship Camp took ill and had to leave the position, Suzy volunteered to rearrange her family vacation to ensure that the girls were still able to go to camp. In 2008, she also became a member of the food services staff at a Provincial Event. Suzy was "a ray of sunshine" despite the rain that fell every day of the camp! Both the girls and staff will remember her sunny disposition. She played a large part in making this event a wonderful experience for everyone. In 2009, she agreed to be the chairwoman of an Area event for approximately 1500 participants. Her organizational skills were very evident as everyone enjoyed the day of games, food and fellowship. In 2009, she sat on the committee for the "Anniversary of Guiding" and ultimately became responsible for the invitations and food for the day. Suzy recruits leaders at work and tells all she meets they really are missing something if they are not involved in Guiding. Her positive comments about Guiding make her a great ambassador for our organization. Suzy's husband and family of two daughters and a son are also very supportive and involved in numerous activities in which she participates. She is also an active member in her church and community; and in her spare time, she loves to sew. Suzy is truly deserving of the Medal of Merit.
