May. 31, Grace Lutheran Church Miccosukee Road. 4:30 p.m. to 6:03 p.m. In attendance: Susan R, District 1 Representative; Adrienne S., Public Outreach Chair, GR, Serenity AFG; Erik R., Secretary and acting Group Records Chair, GR, First Things First AFG; Joe K., GR, Northside AFG; Melvin B., website chair; Pam L. Gr, Hope For Today AFG; Alicia, AFG member. The meeting was opened with the Serenity Prayer followed by the 12 Steps, 12 Traditions, and 12 Concepts of Service. Susan then read a meditation dealing with the topic of Service, from the Al-Anon pamphlet, Al-Anon s 12 Traditions Illustrated. OFFICER REPORTS: Secretary (Erik R): Minutes of the last meeting were approved. Treasurer (Lori S): Lori was not present but sent in her Treasurer s report as follows: District Income Groups District Meetings Individual Donations 0.00 Other Income Total Income District Budget Y-T-D Expense Public Outreach Travel 1, Office Expense Miscellaneous Total Expenses 2, Difference Newcomer Meeting Income Newcomer Meeting Expense Difference Savings Balance Jan 1, 2015 Checking 1, Balance Jun 11, 2015 Checking 1, Balance Difference GROUP REPRESENTATIVE REPORTS:
2 2 Joe K: Northside AFG had a discussion about issues raised at the recent Assembly. Joe talked about Alateen outreach. The AFG will have one or more group consciences based on these discussions. Joe expressed great interest in the minutes/reports of the Assembly that will come out this summer. He hopes to use them to initiate further discussion in District 1 AFGs Adrienne S: Serenity AFG has started their group inventory. Attendance at the Serenity meetings has grown larger since January. Erik R: First Things First AFG is continuing their once a month meeting using the 12 Steps as a topic (usually the 3rd Sunday of the month) and another monthly meeting using the 12 Traditions. Attendance at the First Things First meetings has grown larger since January. Pam L: Hope for Today AFG completed their Group Inventory. Attendance at the meetings went down slightly during that process. Melvin B: Tallahassee AFG meeting attendance has grown larger since January. Melvin B for the Friday Night Wonders AFG: This meeting continues to gather with about 4-8 people currently in attendance. Alisha, AFG member: Suggests that all AFGs consider a Fellowship time after the formal meeting to continue discussion of the topic(s) addressed at the meeting in an informal way that includes directly speaking to one another and asking and answering questions. She also suggested that this informal fellowship time could be conducted at a coffee shop, ice cream parlor, fast food or other kind of restaurant to increase the level of enjoyment of fellowship. DISTRICT REPRESENTATIVE REPORT Susan, Joe, Pam, Adrienne, Liz W., and Cindy J. attended the May 1 3, 2015 Area Assembly near Orlando. Susan s notes from the meeting follow: The Area website, afgarea9.org will have all minutes from the May Assembly available in the future (sometime this summer) Group Representatives who were present at the Assembly voted to approve Lisa P. s submission of her resume for Regional Trustee position. See pp in the Service Manual for Board of Trustees selection process and responsibilities. Members participated in thought force activities on several topics (pp. 68-9, Service Manual) thought force to brainstorm the thinkers task force how to implement the doers *** District 1 has been asked to consider being in charge of the Raffle for the September, 2016 Convention in Jacksonville. Susan has a list of guidelines and responsibilities if the District agrees to take on this project. We would get other Districts to help provide the baskets of goodies to be raffled. We would need to provide a chairperson to supervise and coordinate the raffle project and 3-4
3 3 people from the District 1 AFGs who would be willing to participate with the chairperson in soliciting baskets and conducting the raffle at the Convention. Three topics were discussed in the Red Light/Green Light portion of the Assembly (All the Districts in the Area suggest topics to be considered, 3 topics are chosen, and those 3 are discussed and possible solutions/strategies are suggested). These were: How can Districts financially support Al-Anon programs in prisons, shelters, etc. where there is no possibility of members being financially self-supporting? / Suggest use of Potlucks, Raffles, Collection jug campaigns for AFG members How can Districts raise money with raffle baskets and remain true to the self-supporting and spiritual nature of our program? / Suggest theme of the baskets relate to spiritual principles; use conference approved literature; do not endorse products or companies (no business cards); use humor, color, costumes How should Districts address issues in meetings related to bringing pets into meetings, bringing infants and small children into meetings, using the Lord s Prayer to close meetings? o Use of conference approved cards entitled Conflict Resolution using the Twelve Traditions. Contact Susan if you would like to o borrow these. The use of an AFG business meeting to determine group conscience for these and other issues brought before the AFG by a member or members. There is a discussion on Group Business Meetings and Group Conscience in the Service Manual pp o Bringing babies: suggest a baby sitter (see Service Manual, p. 99) may use group funds, or may take up a special collection to pay babysitter, some groups allow child to be present o Lord s Prayer: (see Service Manual, p. 22) It is suggested that groups close in a manner that is agreeable to the group conscience. Many groups say the Al-Anon Declaration after their closing. If agreed upon, the meeting chairperson may choose which closing to use. COMMITTEE REPORTS Public Outreach Website-Melvin Do we want past meeting minutes to remain on our District website, in an archived location there? After discussion, we all agreed that would be helpful. Melvin will create this archive of past District meeting minutes. Melvin announced that our previous inclusion of the Group Representative s s and phone numbers, violates the anonymity of
4 4 our program and may leave us open to hackers. He therefore has taken down all but the 3 anonymous addresses of the D.R., Treasurer, and Webmaster. He suggested that our E-Z Contact list should only circulate in hard copy or private in the future. Public Outreach Chair Report- Adrienne Phone Contact Volunteers Adrienne: 4 people are now ready and have started answering phone inquiries; Susan and Adrienne put together a phone contact handout for volunteers to use when talking to an inquirer It was suggested that Handbook definitions of open meetings and closed meetings (page 11) should be added to our list of meetings in District 1. Erik will make that addition as soon as possible and circulate it. The definitions are as follows: *This is an open meeting; we welcome visitors seeking information about Al-Anon as well as newcomers and members of Al-Anon. **This is a closed meeting for Al-Anon members and prospective members only. Anyone who has been affected by someone else s drinking is welcome. SERVICE TOPIC OF DISCUSSION: PUBLIC OUTREACH Susan reported that the thought force activities at the May assembly used the KBDM (Knowledge Based Decision Making) questions and shared these questions with the group. One of the thought force topics was Public Outreach. Many interesting ideas were shared on the topic of outreach in the community by other districts. A task force was set up to further explore ways in which we can reach out to the community to share the Al-anon message. Adrienne, Melvin and Alicia agreed to participate in this task force. Group Representatives are asked to offer the opportunity to participate to members in their meetings. They are to contact Adrienne if they are interested in being on the task force. The task force will report ideas for Public Outreach at the August 9 District Meeting. Susan and Adrienne will explore an upcoming opportunity to share Al-Anon information with a workshop for Florida School of Addiction Studies to take place at Disc Village on July 13 and 14 th. It was agreed that we will order new Al-Anon Faces Alcoholism 2016 booklets by the July deadline. Cindy J. has offered to put in the order and will be notified by Susan of approval to do so. NEXT MEETINGS Susan brought up the idea that members of the District and their Group Representatives would be better prepared for votes coming up at the October Assembly if we change one of our previously agreed meeting dates. It was agreed that the District Meeting dates will be:
5 5 Sunday, August 9, :30 p.m. Grace Lutheran Church. UNCHANGED Sunday September 27, :30 p.m. Grace Lutheran Church. NOTE: this is a CHANGE from the schedule we set up at our last meeting, when Sunday, October 11, 2015 had been agree to. We will not meet on October 11. This change is to put our meeting between the North Florida AFG Convention on September and the October 2-4 Area Assembly. Those in attendance passed the basket, then rose and joined hands to repeat the Al-Anon declaration. We adjourned at 6:03 p.m.
