Hospitality (Rachel) Completed Events: General Meeting Number of Participants 95 Total Expense ($321.00/$91.00 off with King Soopers card) Budget Review (actual vs budgeted) o $1, budget for the year o Good turn out and great food o Good speakers Areas for Improvement o Confusion with facilities over set-up / Ran out of time o Next year have the kitchen staff come out and speak to moms about volunteering in cafeteria. o Next general meeting November 2 nd Muffins with Mom Evening General Meeting October 12 (starts at 6:00 in Steele Center) Committee Chair Rachel and Jeanne Tasks Completed Café Rio, Kristen Kraus Speaker, invited Lark to speak Open Tasks finalize count and set-up Social (Judy) Completed Events: First Football Game Tailgate Number of participants Budget review (actual vs budgeted) n/a o Next year need to have an actual budget to pay for protein so board members do not have to pay out of pocket o Everyone enjoyed themselves o Food seemed to be a success Have a Top 5 list of things to do at their first tailgate: Make sure you are in your seats, camera s ready at 6:30 for the Freshman Make sure you see the Senior girls overalls, it s never too early to get ideas for your daughter! (explain the tradition)

3 Make sure you catch the bagpiper (explanation of the tradition) Rowdies explain the tradition of why we use them instead of chearleaders Make sure you join the team on the field for prayer after the game let them know everyone is welcome! I think a few board members at our tailgate and some roaming around introducing themselves and letting others know about our tailgate Have a sign up sheet for newsletter with their contact name, and maybe have the board members available to let people know what events we have. o We need a tent and a sign so people can tell where the Moms Club tailgate is. o Advertise in R&W along with the First Football Game o Schedule the Freshman Moms Night before the First Football Game/Tailgate 5 th Quarter Number of participants: 50 RSVP/30 attended Total Expense $151 Budget review (actual vs budgeted) $151/$200 o Big turnout for first event o People really enjoyed it o Now that we had the event there and Cheddar s knows what we are trying to do maybe they will be more open to staying open later for this event. o Possibly have in the bar o Discussed having in the Houlihan Room. Problem if people bring younger siblings. Freshman Moms Night Number of participants: 95 Total Expense: $1225 catering; $60 student gifts; Total: $1285 Budget review (actual vs budgeted) Actual $1,285 vs Budget $1,200 o Good food- more salad/ less bread o Good turn out o Timeline good o When mom s walk in the door have the moms fill out questions, and during the dinner have the kids answer the questions o 6 kids too many. Kids need to be more rehearsed. More structure. o Have a way to mix up seating so moms can meet new moms.

4 Service (Tami) Completed Events Update: GD Transfer Student Lunch 8/28 - Total Attendance: 31 (9 students, 9 friends & 13 staff) o In Houlihan Room BD Transfer Student Lunch 9/13 - Total Attendance: 21 (10 students & 11 staff) o 7 sophomores, 3 Juniors Co-Chairs: Tami Elliott & Michelle Clock (Jeanne M.) Menu: Pizza, Salad w/italian Dressing, Cookies, Lemonade, Tea & Water o Next year maybe something other than pizza. They get that school all the time. Goody Bags: RJ Tee, Mint Tin, Pen, Stickers (girls), Plastic Cup (boys) & Certificate for Free Cookie o Next time more kids to speak TOTAL SPENT: $ **This event was expected to and did exceed the budget of $ If there are additional lunches in January, more funds will need to be approved.** o Pie Day - BD Need info. and Chair- Beth Whiteknight volunteered o Cookie Day - GD Need Info. and Chair- no one to chair. Kathy Maroney has information from last 2 years. Need a budget. o Service & Social Day - Jan. 16th, Trying to get 40 spots. Possibly invite alumni. Open Items: 1. President Elect 2. VP Elects 3. Volunteer Chairperson and committee 4. Condolences- Feel it is not the Moms Club duty unless the individual is directly involved with the Moms Club. Maybe should be the responsibility of GCS. Other Items Discussed: 1. Carnival- Student Council in charge. No one knew what was going on with the Cake Walk. Moms Club needs to be more organized and have more clarification for next year. 2. Jeanne brought up how we need to keep good records to pass on to the next year s board. We need to start bringing in new people to fill next years open positions. Maybe put announcement in R&W for open spots. 3. We need chair for After Prom Upcoming events: Oct. 8 M/D Mass Oct. 12 Evening General Meeting Nov. 6 Fall Retreat Nov. 19 Grandparents Mass Nov. 20/21 Pie Day
