6 EXHIBITOR REGISTRATION DETAILS EXHIBITOR REGISTRATION All exhibitors must register through AAZV. An Exhibitor Registration Form must be completed and returned, with the registration fee, to reserve a space for this year s conference. We encourage EARLY registration to insure your place in the exhibit area. Payment MUST be received by June 15, 2017, to guarantee listing in the conference program. General conference information will be available in Spring, Exhibitors who are members of the AEMV or ARAV will receive a digital copy of the conference proceedings, continental breakfasts, refreshment breaks and tickets to the scheduled business lunch on Monday. Non-member registration includes continental breakfasts and refreshment breaks. Tickets for the lunches may be purchased separately. Exhibitors are welcome at attend any session of the conference program in which they may be interested, as well as register and pay for any pre-conference workshops. EXHIBITOR INFORMATION The cost for an 8' x 10 booth space is $980, an 8 x 20 booth is $1,710, and an 8 x 30 is $2,445. Exhibit services is provided by The Trade Group. They will contact you directly with your exhibitor package and other pertinent information. Exhibit hall set up will begin at on Tuesday September 26th at 9am. Exhibitors are welcome to join all our conference attendees for the Zoo day at the Dallas Zoo Tuesday afternoon. Exhibits will be open all day on Wednesday and through the afternoon break on Thursday. HOTEL/CONFERENCE SITE INFORMATION The conference headquarters hotel is the Embassy Suites Dallas-Frisco Hotel, Conference Center and Spa, 7600 John Q. Hammons Drive, Frisco, Texas Hotel registration information will be available in late Spring, TERMS OF PAYMENT All payments must be made in US funds and drawn on a US bank. REFUND POLICY A full refund of monies received, less a $75 administrative fee, will be made if written notice is received by September 8, From September 9 18, half of the registration fee will be refunded. NO REFUNDS WILL BE MADE FOR CANCELLATIONS AFTER SEPTEMBER 18th. ANNUAL AUCTION The annual auction will be held Tuesday evening following the zoo tour and dinner.
