2 YOUR SUPPORT IS PERSONAL Whether you re motivated by a personal experience or you simply want to support an important community resource, hosting a fundraiser on behalf of Children s Minnesota is a meaningful way to impact the children and families in our care. Anyone, from kids to corporations, patient families to volunteer groups, can fundraise on behalf of Children s Minnesota. The type of fundraiser is up to you and the possibilities are endless. Proceeds from fundraisers can go to the Children s clinical area or program of your choosing. THANK YOU.
3 GETTING STARTED Thank you for thinking of Children s Minnesota. We truly appreciate the generous support of our community friends and neighbors. Follow these three easy steps and you ll be well on your way to planning a successful fundraiser. STEP 1 Take the time to fully read through this resource kit where you will find important information and best practices for planning your event. This kit includes: Frequently asked questions and tips for planning your fundraiser Fundraiser proposal form Poster templates to promote your fundraiser And more! STEP 2 Complete the fundraiser proposal form and return it to Children s Minnesota Foundation at giving@childrensmn.org. Please allow up to two weeks for proposal review. Once approved you can officially start planning your event. STEP 3 Consider scheduling time after your event for a check presentation and public spaces tour at one of Children s hospital campuses in Minneapolis or St. Paul. Contact Children s Minnesota Foundation at or giving@childrensmn.org to schedule your visit today. 4 FREQUENTLY ASKED QUESTIONS The following are answers to some frequently asked questions to help you as you plan your fundraiser. If your question isn t answered below please contact Children s Minnesota Foundation at or giving@childrensmn.org. Why support Children s Minnesota? Children s is the largest pediatric health care system in the region, treating more than 130,000 kids a year. By giving to Children s, you are helping to ensure that no child is turned away, regardless of ability to pay. You re also helping to ensure patients and their families receive the best care and experience. How long does it take to approve my fundraiser proposal? Please allow two weeks processing time for a response. How do I make my donation? We welcome the opportunity to personally thank you by hosting a hospital visit and public spaces tour following your event. Event leaders will be invited to the hospital for a tour and a photo with our big check. Donations can be made at that time or sent to Children s Minnesota Foundation at the address below within 30 days of the fundraiser. All checks should be made payable to Children s Minnesota Foundation. Children s Minnesota Foundation Mail Stop CBC-3-FOUN 5901 Lincoln Drive Edina, MN What will my donation fund? As the organizer, you get to decide what you would like your donation to fund at Children s. Below is a list of our top areas for funding needs. Urgent Hospital and Patient Needs Arts & Healing Cancer Kids Fund Charity Care Child and Family Services Diabetes Program Eating Disorders Program Heart Program Maternal and Fetal Care Mental Health Program Neonatal Program Neuroscience Nursing Education Pain, Palliative and Integrative Medicine Program Will each of my donors get a receipt for their donation? Because your event is a community fundraiser and not directly planned through Children s, donors will not receive a receipt for their donation unless it is directly made out to Children s Minnesota Foundation and contains their full contact information.
5 FREQUENTLY ASKED QUESTIONS (CONTINUED) What are Children s financial best practices for community fundraisers? Event expenses should be less than 30 percent of the total amount raised, excluding in-kind donations. If event expenses are greater than the total collected, the group conducting the event is responsible for payment of these additional expenses. A separate bank account should be established for your event. The title of the account should be [event name] to benefit Children s Minnesota. Only event expenses may be deducted from this account and all donations are to be held in trust for Children s. Will a representative from Children s be present at my event? Unfortunately, we are unable to provide a representative to attend or speak at your event. How can I promote my event to the community and local media? You ll find tips from Children s marketing team on how to share the news about your event in the resource section of this kit. Do you have a one-page flyer about Children s? Yes. An About Children s flyer is available in the resource section of this kit. What event support is Children s unable to provide? Children s is able to support your event in many ways, however, we are not able to provide the following: Donor mailing lists Insurance Raffle coverage* Patient family speakers Children s representative at your event Volunteers Event expenses Giveaways Media contacts and publicity Exposure on Children s social media channels Celebrities for appearances Can I use Children s logo on my own materials? In the resource section of this kit, Children s has provided a few poster templates to use to promote your event. If you choose to create additional materials, please keep in mind the following: The Children s logo is a registered trademark and cannot be legally reproduced without permission. Any additional materials must be reviewed and approved by Children s before they are used. *Must be a certified non-profit in order to conduct a raffle.

Before you hold or publicize your fundraiser, you must submit this application to Children s Minnesota Foundation for approval. the completed application to giving@childrensmn.org. Please allow two weeks for approval. Information provided on this form is correct and accurately describes the proposed campaign. The campaign will be bound by the terms of the proposal submitted to Children s Minnesota Foundation. The undersigned agrees to all guidelines outlined in Children s community fundraiser resource kit. o I agree to the following: THE ORGANIZATION/GROUP SPONSORING THE EVENT ASSUMES ALL RISKS AND LIABILITIES ASSOCIATED WITH THE EVENT AND HEREBY RELEASES AND HOLDS HARMLESS CHILDREN S HOSPITALS AND CLINICS OF MINNESOTA AND ITS DIRECTORS, OFFICERS, EMPLOYEES, AGENTS, AND SUCCESSORS, AND ASSIGNS FROM AND AGAINST ANY AND ALL CLAIMS, DAMAGES, LIABILITIES, COSTS AND EXPENSES, INCLUDING REASONABLE ATTORNEY S FEES. ARISING OUT OF OR INCLUDING, WITHOUT LIMITATION, ANY PERSONAL INJURIES OR DAMAGE TO PROPERTY WHICH MAY OCCUR IN CONJUNCTION WITH THE EVENT. CHILDREN S PARTICIPATION AS A BENEFICIARY IN NO WAY IMPLIES A BUSINESS AGREEMENT WITH ANY SPONSORS OR COMMITTEE MEMBERS. o I agree on behalf of the organization/group that I represent that Children s will receive all revenues from the event within 30 days of the event or within alternative terms mutually agreed upon. I agree that all printed materials and publicity for the event must be approved by Children s prior to being released, printed, etc. and that I will abide by the policies and guidelines provided to my organization/group by Children s. 8 PROMOTING YOUR EVENT Here are tips from our marketing team on how to share news about your event with the community and the media, as well as suggestions on how to pitch local media to cover your event. If you are inviting media to your event, keep in mind they often don t confirm attendance until the day-of as it s very dependent on the news of the day. Please contact Madeline Riggs at Madeline.Riggs@childrensMN.org with any questions or requests for Children s spokespeople to speak with the media. PRE-EVENT (IDEALLY 3-4 WEEKS PRIOR) If open to the public, post event details to online event calendars. Look for these on local newspaper and TV station websites, as well as community pages on Facebook. a media alert (template can be found on page 2) to local newspapers, radio and TV stations asking if they can share information about the event, or are interested in interviewing a spokesperson about the event to raise awareness. You can also use the media alert to invite reporters and photographers/ videographers to attend the event in-person. Tip: find reporter contact information on media outlets About Us or Contact Us pages. You can also /call the newsroom. Create a list of 3-5 talking points for spokespeople who will be participating in media interviews and/or speaking at the event. These should highlight the goal of the event, the reason the event was created, personal story or connection and why people should participate or donate. If open to the public, share information about the event on social media and your website. Create an event listing on Facebook. Consider creating a hashtag that you and others can use in social posts. Tweet event details to media outlets, reporters and local influencers asking them to help spread the word, but be selective and creative. Sending the same tweet in quick succession to multiple outlets or reporters is considered spamming and may deter an outlet or reporter from pursuing a story.
9 PROMOTING YOUR EVENT (CONTINUED) EVENT DAY If you d like media to attend, resend the advisory the day prior or morning of the event and call media outlets to remind them and gauge their interest. Designate a point-person to meet media at the event and arrange interviews and photo/video shots as requested (list this person as media contact in the media alert). Ensure people giving remarks and/or participating in media interviews are prepped on the talking points. Post event photos, videos and content to your social media channels. Encourage attendees to share content with their followers and/or on your page, or use your hashtag. POST-EVENT If reporters attended the event: thank them, follow-up on any outstanding needs and inquire when the story will run. Send photos to photo desks at local newspapers and to TV stations. Consider drafting a short statement about the funds, supplies, etc. raised at the event to send with the photos. Also post this statement to your website and share via social media channels. Watch for media coverage and share with your group or social media followers. COMBINED COMMUNITY FUNRAISERS DONATE OVER $500,000 A YEAR TO SUPPORT CHILDREN S PATIENTS AND THEIR FAMILIES.
10 MEDIA ALERT TEMPLATE MEDIA CONTACT Name, phone, MEDIA ALERT/PHOTO AND INTERVIEW OPPORTUNITY Invitation to WHAT Give the key details about the event and describe its purpose. Details to include: Date and time Location Name of organization, group/family or individual hosting the event What the event is (grand opening, open house, fundraiser, providing tours, etc.) 1-2 sentences describing the event and its purpose (e.g., if it s a fundraiser, what s the cause?) WHY Provide the rationale behind the event why it s important to people and who/what will benefit from it. Details to include: What s the goal of the event, or what are you asking people to do? Donate money or supplies, raise awareness, etc. Why is this cause important to the community? Is there a community member receiving care at Children s that this will benefit? What will be done with the funds or donations? (event name or description/location) WHEN Date, time optional: call out any specific moments in time to note (e.g., speeches or key part of event) WHERE Location, address optional: any important directional, parking instructions PHOTO & INTERVIEW OPPORTUNITIES List who will be the spokesperson/ spokespeople for media interviews and anything that may be of interest to photographers. Details to include: Is there a patient or patient family that your event will impact who is willing to speak to media? Is the event organizer willing to speak to media? Is anyone from Children s attending who can speak to media? Are there any specific things to call out for photographers? (e.g., patients available for photography, will there be a local celebrity there? Are you making something knitting caps, creating a mural, etc.?) Our vast experience translates into better outcomes, higher quality and better efficiency the patient. We just don t treat the patient. CHILDREN S CARES FOR MORE KIDS than any other health system in Minnesota, representing kids from every county in the state and over 60% of the counties in surrounding states. MINNESOTA S ONLY LEVEL I TRAUMA PEDIATRIC TRAUMA CENTER in a hospital dedicated solely to kids. Children s is the leading training facility for pediatric specialists and primary care providers.
