1 JOB DESCRIPTION Job Title: Location: Salary: Reports To: Accountable To: Team Administrator London 21,630 (plus London weighting) ImROC Business Manager (Mental Health Network) ImROC Business Manager (Mental Health Network) and Senior Policy Manager (NHS Clinical Commissioners) Date Prepared: February 2014 This is a fixed term contract beginning immediately and ending on 31 March 2015, with a three month probation period at the start. PURPOSE The Team Administrator role is a challenging and varied role supporting two teams within the NHS Confederation. As a member of the Mental Health Network's Implementing Recovery through Organisational Change (ImROC) programme team, you will contribute to the delivery of the busy ImROC programme, working with a range of colleagues internally within the Confederation and externally with stakeholders. As a member of the NHS Clinical Commissioners, where you will be supporting a busy team with keeping up to date on member contact information, website enquiries and ad-hoc administration. The role will require an individual with excellent organisational skills and ability to prioritise a busy workload from across different teams. Your time will be shared between ImROC (3 days per week) and NHSCC (2 days per week). Core days will be allocated to each programme; Tuesday, Thursday and Friday to ImROC, Monday and Wednesday to NHSCC. However at busy periods throughout the year a flexible approach will be taken to allocating time to match business activity and work priorities.
2 NATURE & SCOPE NHS Confederation The NHS Confederation is the membership body for all organisations that commission and provide NHS services. It is the only body to bring together and speak on behalf of the whole of the NHS. The Confederation represents a number of NHS organisations through its membership. The Mental Health Network and NHS Clinical Commissioners, are currently hosted by the NHS Confederation and so employ staff on behalf of these teams. Mental Health Network The NHS Confederation s Mental Health Network is the voice for NHS funded mental health and learning disability service providers in England. The MHN works with government, regulators, opinion formers, media and the wider NHS to promote excellence in mental health services, and the importance of good mental health. It helps to shape and challenge national policy and legislation affecting our members, and make sense of the broader political and policy environment, providing members with up to date news and analysis. The Network also works to identify and spread good practice and innovation in the mental health sector. A core programme within the MHN business plan is the Implementing Recovery through Organisational Change (ImROC) Programme. Implementing Recovery through Organisational Change (ImROC) Programme The ImROC (Implementing Recovery through organisational Change) programme is delivered in partnership between the NHS Confederation and the Centre for Mental Health. ImROC puts recovery at the heart of mental health services. ImROC aims to help mental health providers continually improve the way they work with service users and families, making them partners in care. The objective is to go further than 'just' involvement, creating a culture of working together in partnership in every aspect of the organisation's work. Through a series of information sharing events and a private on-line recovery network, ImROC member sites focus on raising the standards of recovery orientated services across the country. Additional organisations will draw from the expertise of
3 leading ImROC champions to develop and implement a local recovery focused action plan and regularly assess their achievements in meeting their goals. Local partnerships made up of people with lived experience of using mental health services, friends, family and carers, mental health service providers and third sector organisations will carry out this organisational development work at a local level. A small core team manage the ImROC programme: Programme Director (0.2 WTE) Business Manager ( 0.6 WTE) Senior Communications Officer (0.5 WTE) Team Administrator (0.6 WTE) NHS Clinical Commissioners (NHSCC) NHS Clinical Commissioners (NHSCC) is a membership body for Clinical Commissioning Groups (CCGs). Launched in June 2012, it is established to give clinical commissioners a strong, independent and collective voice. It has been set up through a partnership between three organisations: the NHS Alliance, National Association of Primary Care and the NHS Confederation. The role of NHSCC is to help CCGs to be the best they can be - commissioning health services for the best possible health outcomes for their communities and patients. NHSCC supports its members by providing three core benefits: collective representation to give clinical commissioners a strong and independent voice in the media, national policy-making and public debate, with a large range of key stakeholder organisations. opportunities to network, learn from and develop shared solutions to complex healthcare challenges with colleagues from other CCGs, and across the whole of the healthcare industry. practical support and signposted resources that enable effective commissioning at a local level, and helps CCGs continually improve and develop. For more information about NHSCC visit our website at The role The team administrator role will be based in the NHS Confederation office in London and is shared across two teams. As a shared role the post-holder will be expected to be flexible and proactive. Sometimes managing conflicting demands on their time. The post holder's role with NHSCC is to support its member services. This will include maintenance of NHSCC s membership database, supporting its renewals process and website data maintenance as well as other ad hoc tasks and activities appropriate to the scope and grade of the role.
4 For the ImROC programme, the team administrator will support the coordination of events and meetings including arranging travel for the ImROC team, assist with updating the ImROC database and membership renewals as well as coordinating member mail-outs. 5 ACCOUNTABILITIES Specifically, the post holder will: NHS Clinical commissioners Managing user data on the NHSCC website (wordpress), ensuring consistency with the CRM by manually updating member data. Regular updating and maintenance of member contact records and tracking of member and stakeholder communications through the customer relationship management (CRM) system. This includes bounce backs from any marketing s. Provide support to the wider team in the use of the CRM system, ensuring that NHSCC member designations, groups and lists are set up accurately and that team members are using them appropriately to manage communications with members and stakeholders Manage hardcopy mailings to members, in order to support membership activity, particularly renewals and recruitment, including preparing documents for printing and postage. Support the team to log membership renewals and applications, using existing processes i.e. monitoring a membership inbox and directing queries. Provide ad hoc administrative support to the team appropriate to the scope and grade of the role. ImROC Provide admin support to ImROC learning set networks, ImROC webinars and an annual conference including sending invitations, printing delegate packs, preparing name badges, collating delegate lists and coordinating venue bookings Book travel and hotel accommodation for ImROC core staff, consultants, associates and event speakers, as required Scan consultant and associate contracts to a contracts database and post fully signed contract to the consultant /associate Monitor the ImROC inbox and action or distribute messages as appropriate Provide ad hoc support as required to ImROC meetings such as printing papers, note taking, greeting attendees and providing refreshments Upload content on the ImROC website under the guidance of the senior communications officer. Create, review and update ImROC contacts on the Customer Relationship Management (CRM) database Send mail-outs via post or to ImROC members to announce publications such as briefing papers or events
6 KNOWLEDGE, SKILLS AND EXPERIENCE Essential Experience of working in a busy office in an administrative and supportive role Good interpersonal skills and confidence when dealing with very senior individuals Excellent organisational skills with an attention to detail Ability to work on own, as well as part of a team Experience of working under pressure and meeting deadlines Flexible and able to reorganise and reprioritise work at short notice Excellent computer skills (MS Word, Outlook, Excel and PowerPoint) Desirable Experience of managing events/large-scale meetings Prior experience of administrative support and CRM/database administration, in a membership body. A personal interest healthcare provision and commissioning including mental health ImROC values the lived experience of mental health problems within the workforce. We welcome applications from individuals who have personal experience of mental health problems however this is not a requirement for the role.
