1 Dear GSQ Members, It is time for us to celebrate a much awaited NAVRATRI - Garba and Dandiya Festival GSQ Ex.Com is pleased to announce most awaited festival of the year- Navratri The Gujarati Cultural Dance Event is scheduled form 5 th October 2013 to 14 th October This year, the Navratri 2013 festival in Qatar is going to be most memorable. First time in the history of Gujarati Samaj Qatar, the Navratri is going to be celebrated with the tunes of live Garba by professional artists group from Vadodara. GSQ is growing very fast and hence the need of a bigger venue for Navratri is felt since last few years. During last few months GSQ committee had worked quite hard to find out alternate location (big Hall), and we are pleased to announce that we are in process of finalizing a bigger venue for Navratri The details of venue will be announced very soon. Considering the present strength of GSQ Members and to restrict unauthorized entry, GSQ Ex.com has decided to issue single pass for each participant along with his/her photograph. The Photo Identity Card (Entry passes) will be a mandatory for each adult and children above two years, who are attending the event. Please find below the guideline to get your passes. Entry Pass Process:- Charges: Category 1: GSQ Member Family Pass: QR 200/-for family pass (Family includes member his/her spouse/husband, their children and ONLY Visiting parents/in-laws) Visiting Brother(s), sister(s) and other relative(s) shall purchase the Single entry One Day Guest Pass ) Category 2: GSQ Member Single / Bachelor Pass: QR 100/- for GSQ members who are registered under single status (in GSQ record). Category 3: ONLY Visiting Parents of GSQ members Pass: FREE and require to register their name in attached FORM as mandatory. Category 4: Daily Guest Pass (for Single Person): QR 30 for GSQ Member and Visiting Relative (For visiting relative, Ex-com member may ask for additional proof to verify that 1
2 2 Gujarati Cultural Dance Event Navratri they are on visit visa sponsored by the GSQ member). QR 30 for Non-GSQ Member. (This pass will not be available for Thursday and Friday. Thursday and Friday will be exclusively for the category 1, 2 and 3 pass holders only.) For non GSQ members: GSQ member s reference is mandatory. Visitor must collect the Guest pass in minimum of one DAY in advance from nearest Ex-com member. Pass for same day will not be issued at venue. Mandatory Requirements: 1. GSQ Member shall provide above mentioned charges to nearest EX.COM member listed below & send filled form (File attached) by to nearest GSQ EX.COM member. 2. Two recent Passport Size photographs with light and clear background for each family member attending the event or scanned photograph through /attached in form to nearest GSQ EX.COM member along with the filled form with details of GSQ Membership and detail of committee member to whom you submitted the charges. 3. One ready filled form is attached here for your reference, take guidelines from reference form. 4. GSQ Executive Committee Member may request you to provide the identity proof to confirm the details of any family member. 5. The last date for submitting the completed form along with Fee and Photograph is 25 th September 2013 midnight. 6 No Navratri registration request will be entertained after 25 th Sept Collection of Passes: 1. The passes for the each individual will be made available from 30 th September GSQ member has to collect passes from the same Ex-Com member with whom they have made the registration. For the Event Attendant. Gujarati Samaj Qatar and Bharathi-Indian Association of Al Khor is jointly organizing Garba and Dandia-Ras Cultural Dance Event on 11 th & 12 th October For attending this event at, registration is must with GSQ volunteer at venue on 5 th October Location of Event will be International School Indian Stream Sports Hall. Entry will be through Gate No.2 only ( speed limit is 25km/hr inside community) Parking will be available as per attached map. (Reverse parking is mandatory in community). Food/Drinks will be available on Food Stalls. Entry to the event is with either GSQ category 1, 2 or 3 pass holders or Bharathi pass only. No entry without pass. Please do not bring visitors. Daily pass is not available for this event. Qatargas and RasGas employees residing outside community have to show their RLIC badge at the security for entry at Al Khor.
3 Gujarati Cultural Dance Event Navratri Gujarati Samaj members to come in car pool to the extent possible. Friend of Al Khor community residents can provide details of resident person at security gate for entry to Al khor. It is the responsibility of parent to control their children during Dandia festival. Extra care to be taken and to make sure children does not damage any property or display in school which is the venue of event. Photography by individual during Dandia event is not allowed. Park your vehicles properly as per attached map and as guided by Security. Other Important Notes 1. Category 1, 2 & 3 passes will NOT be issued on site or after due date of document submission (25 th September 2013). Any members forget to do so and want to attend the event, then they have to purchase the Category 4 passes. Category 4 passes will not be issued on Thursday and Friday. (If some member is not present in Qatar they may ask their friends to collect the passes for them, alternatively they have to send their request to nearest GSQ EX.COM member mentioning subject as Request for Navratri Pass, and Proof may be asked to confirm that they were not present in the country from today till 25 th September 2013). 2. All Entries to the event shall be strictly checked against Entry-pass. GSQ Members / guest arriving at the gate shall show their pass. 3. In case any GSQ member forgets to bring his pass at venue, he has to buy Temporary daily pass with fees as QR 30/- per person per day. 4. Carrying food and beverages inside venue hall are STRICTLY PROHIBITED. 5. This year GSQ has got official permission from Government of Qatar to organize Navratri- Cultural dance festival, and hence we are bound to follow rules from the ministry of Culture-Qatar. We are expecting anytime, an inspection from Qatar Cultural ministry members. All GSQ members are requested to wear appropriate traditional clothes which MUST respect the culture of Qatar. 6. We are making all efforts to make this event successful, all members are requested to cooperate with volunteers and GSQ Ex. Committee. Daily Prasad 1. Group or individual interested to sponsor LIGHT REFRESHMENT (Prasad) for this event shall register their names to Mr. Jitendra Solanki ( ) / Mukesh Patel ( ) / Archnaben Joshi ( ) at least 3 days prior to their proposed date. 2. An individual may donate/register their contribution for Prasad, well in advance or at venue to Jitendra Solanki / Mukesh Patel / Archnaben Joshi or at Help desk. 3

Members, who did not change / update their membership status [single to family], please update your membership status as soon as possible.
