8 Science Festival: Goals Family engagement! Involve students AND families in a fun, enjoyable shared science experience Help families explore science at their own levels through fun activities Empower kids of all backgrounds to become interested in STEM education and careers

11 Hosting Your Science Festival A Step-by-Step Photo Guide

12 Set Up the Event Space Think about how to make the event welcoming and comfortable for adults and kids. Adult-sized seating says This event is for you, too!

13 Promote Your Event Post flyers at high traffic points around the school at student drop off points, in the lobby, etc. Send invitations home in students backpacks, if possible! Check supply list and supplies received!!

14 Welcome Volunteers Be sure all volunteers know their roles, when to arrive and where to report. Remember to track all volunteer hours for recognition and planning purposes.

15 Welcome Bayer Representatives Assign a specific volunteer to greet and host Bayer representatives and any media members who attend.

16 Assemble Awards Table Display prizes that will be awarded at the end of the event!

17 Volunteer Huddle You will need at least one facilitator for each of your 10 activity stations. You will also need volunteers to staff refreshment tables, greet families and direct them to stations.

18 Review Station Instructions Read through the facilitators guide for each activity. Check that you have all the supplies you will need. Make sure you understand how to do the experiment.

19 Families Arrive! Designate volunteers to greet families and direct them to the PTA Welcome Tables.

20 Welcome All Families Post welcome and directional signs in multiple languages to fully represent your school community.

21 Eat Dinner! Providing a meal is a great way to encourage attendance at your PTA events what parent doesn t love not having to cook?

22 Let the Festival Begin! When students and family members come to each station, make sure they have gotten their passports from the welcome table.

23 The Power of Play Parents and children should be completing the experiments together! Volunteers might need to encourage parents to get in on the fun.

24 Change Stations Volunteers should mark off a star on each family s Passport before they leave the station.

25 Engage as a Family If you see a parent standing around watching their student, please suggest that they join in the fun!

26 Have Fun with Science Research shows that family engagement leads to greater student success.

27 Gather Feedback One of the stations (#10) is a SURVEY asking participants about their experience. Participants should complete at least 5 stations before filling out the survey.

28 Award Prizes After students and family members have all 10 stars marked on their passports, instruct them to go to the Rewards table and turn in their passports for a prize.

29 Thank Sponsors and Volunteers Thank sponsors, volunteers and staff during the event personally through a public announcement and/or with a small take-away gift.

30 Clean Up the Event Space Designating a clean-up crew ahead of time will ensure this happens quickly and efficiently

33 Science Festival: Plan Your Event Do Initial Planning Set Event Date (2-3 months out) How many families do you expect to attend the event? Supplies Supplies from Bayer and NPTA*** Collect supplies The school will need to provide: Venue Volunteers Tables Advertising/promotion assistance

34 Science Festival: Host Your Event Reference the facilitator guides to prepare for each science activity station. Set up tables Welcome volunteers; give event overview Volunteers choose tables and read through facilitator guide for their activity. PTA staff should visit all stations to check on volunteers

35 Science Festival: Host Your Event Greet families at the door Issue raffle and food tickets (if applicable) Issue passports and explain their use Make sure attendees complete Photo Release forms Use photos as part of a social media plan to recap event and promote new ones MC should officially welcome families and give overview of event

36 Science Festival: Host Your Event At least one volunteer should be assigned to circulate through stations to make sure things are running smoothly and provide an opportunity for breaks. Give 20 minute warning to finish all games and submit raffle tickets/passports for drawings Gather passports, do raffles (if planned) MC concludes by thanking everyone for attending Pack up materials, thank volunteers, and clean up as quickly as possible.

37 Connecting with Partners 1. Near a Bayer? CONNECT with your local Bayer facility (ask for community engagement person) National PTA will follow up with you in January 2. Wondering about community partners? Community groups, non-profit engineering, science, technology or math groups, parents with expertise, High school and college teams (i.e., robotics, STEM, Olympiad, etc.) NO for-profit companies

42 State Requirements Review Host two Science Festivals with local PTAs Present a STEM + Families Workshop during your State Convention Please gather a minimum of 5 photos from each event for a total of 15 pictures.

43 Convention proposal: When is your State Convention? Who will lead the presentation? When are proposals due? How can NPTA help?

44 Connecting with Local PTA s A. Tips on finding PTAs -Ask for applications/expressions of interest - Identify a couple of active PTAs B. How to approach - offer benefits - use NPTA materials (this PPT!) Think about what they are active in and how this program would be a benefit to them.
