1 BOARD VISION STATEMENT All people affected by someone else s drinking will find help and recovery in every community. BOARD MISSION STATEMENT Anticipate the future and Al-Anon s place in it and ensure that the necessary resources are available. October 2015 Dear Al-Anon and Alateen Members, Autumn in Virginia Beach is gorgeous. The orange, red, and yellow hues of various deciduous trees on the office property provided a beautiful backdrop. During breaks and some meals, several Trustees stepped outside to enjoy the colors and breathe. This provided a moment of gratitude as we reflected on the growth gained by being of service and giving back to the fellowship. The Board Week began with a session we call "Board Development." These sessions provide Trustees with information that broadens our skills as Board members. This session focused on discussing the Board and Executive Committee members roles and responsibilities. Although these are defined in our Twelve Concepts of Service and the By-Laws of Al-Anon Family Group Headquarters, Inc., the discussion helped to frame the work of the Board. In keeping with the Board s Mission Statement to "Anticipate the future and Al Anon s place in it and ensure that the necessary resources are available," the Board is utilizing independent consultants familiar with non-profit organizations to review compensation, benefits, and office culture to keep and attract talent as well as be known as an employer of choice. Please visit the "WSO" tab on the Member s Web site for current employment opportunities. During the Strategic Planning session, the Board developed objectives for the Board s goal: The AFG Inc. Board of Trustees will raise the fellowship's awareness of the Trustees' relationship to the Al-Anon groups and WSC, while articulating and expressing the "why" of the Board's work. We want to clearly define and augment our current activities (e.g. Trustee/Delegate calls, TEAM and Meet the Board events) to provide more information about the role of a Trustee. Since this letter is one activity, please continue to share this letter with members of the fellowship, and notice a new addition to the Chairperson of the Board letter - the Conference Leadership Team Update. Since last year, the Board has been discussing succession planning for the Executive Director and Director of Business Services. The timelines for recruitment, formation of a Search Committee, process for interviewing, hiring, and orienting for these positions are being established so the Board can be prepared well in advance of a resignation or retirement. In looking to the future, we are in need of members to serve on the Executive Committee for Real Property Management. To apply, one must be an active Al-Anon member with at least seven years of continuous membership, and have special skills and experience that include: areas of property management; finance; business; accounting; law; business administration; or technology. Since we received no résumés prior to August 15, the Board set a new deadline of November 30. Please contact your World Service Delegate for a résumé form.

2 A big thank you to the 21 Areas that submitted a request to host the 2016 "Meet the Board Event." The Board agreed that the decision on location should be our Higher Power s, since all Areas met the requirements. The Area was drawn and once the hotel/site logistics are finalized, Conference members will be informed of the choice. This event is scheduled for October 22, In August the Chairperson of the Board and the Executive Director traveled to Europe to attend the European Zonal Meeting (EZM). The purpose of the EZM is to bring evolving and established structures together to discuss issues of concern, and offer experience in solving them using good business practices, as well as Al-Anon s Twelve Traditions and Concepts. (See the Service Manual index on "evolving national structures" and "General Service Offices" for more details about international structures and your Board of Trustees legal responsibilities.) Prior to the EZM, the Chairperson of the Board and the Executive Director had meetings with the General Secretaries of both Spain and Portugal. This meeting was held in Barcelona, Spain and included other service members in the Spanish structure, including Committee chairs and Delegates from the surrounding Areas. The meeting offered an opportunity to discuss many topics, many of which were similar to our discussions at the Assembly and World Service Conference level.. The next meeting was with France s Board of Trustees. Again, I found the similarities between the National Structure and ours affirming. While they rely on the wording within our Policy Digest, they have similar questions to interpret for their members. The final meeting was held at Belgium s (French speaking) General Service Office. A workshop on Conflict Resolution was open to all members, and presented by the Chairperson of the Board and the Executive Director. This workshop was well received, and offered strategies to address conflict while working within the framework of the Twelve Traditions and Concepts of Service. The afternoon session was filled with questions and answers. As a result of these visits, I took away three significant facts: 1) our international structures are dedicated to using and understanding our Service Manual, and especially our "Digest of Al-Anon and Alateen Policies" as a guide to healthy groups and service arms; 2) conflict is a part of life however, how one deals with conflict defines one s values; and 3) my immense gratitude to those in service to our fellowship, because without them there would be no unity. The Board heard a technology update from our Web Architect. Clearly, the new AFG Connects is proving to be a significant resource of communication for all service volunteers. The "Discussion" section has already provided a source for many questions, comments, and answers. As a resource to World Service Conference (WSC) members, the Board approved a tracking log on WSC thought and task force presentations. This spreadsheet, available later this year, will list the topic description, original title of the presentation/name of thought or task force, and the year presented at WSC. Members interested in a specific topic should contact their Delegate. The Board continued our discussions on Alateen. Since there are a myriad of questions, we have decided to discuss a new question each meeting. Our question this quarter, "What is needed to support our Al-Anon members so that teens are

3 welcome in Al-Anon meetings?" provided a lively discussion. We recognized that a teenager attending an Al-Anon meeting does not mean that person was ever an Alateen member. Since Al-Anon has no age requirement, anyone affected by another s drinking is welcome to attend meetings. Some members are fearful when a teen attends an Al-Anon meeting. This fear may be related to anonymity, language used during meetings, intimate discussions, etc. However, we acknowledged that a review of "Groups at Work," use of a Sponsor, and courtesy may offer guidance and assuage this fear. With each Chairperson of the Board letter following the Quarterly Board meeting, there is an opportunity for a Delegate/Trustee call. The purpose is to: clarify any questions related to the content of this letter; gain insight on a question that is typically presented; and offer an independent resource for potential Area concerns. It is not a venue to voice concerns or advocate a position to the Board of Trustees, since those are submitted to the World Service Office for proper routing. The last two letters contained questions from the Finance Committee and Conference Leadership Team (CLT). We want to express our gratitude for the wealth of information received (please see Finance and CLT Updates). There will be no formal question with this letter. I want to continue encouraging you to save up for Al-Anon s Sixth International Convention, to be held in Baltimore, Maryland July 6 8, It is an exciting time to meet friends and family from around the world, and hear the similarities in our stories of courage and wisdom. A final note to our outgoing World Service Delegates THANK YOU! Thus, we continue this journey in recovery Yours in Al-Anon service, Paula Burleson Chairperson, Board of Trustees Al-Anon Family Group Headquarters, Inc World Service Conference Theme: Realizing Our Spiritual Potential Reconociendo nuestro potencial espiritual Reconnaître notre potentiel spirituel Policy Update October 2015 Judy Kirby, Chairperson The purpose of the Policy update, sent each quarter by the Chair of the Policy Committee, is to report progress and provide information regarding the following: Topics discussed by the Policy Committee that are generated by the fellowship and need clarification or interpretation in light of the Tradition and Concepts Pending policy motions presented to the World Service Conference (WSC) Policy motions passed by the WSC The Policy Committee has completed its work on preparing language for a proposed motion to bring to the 2016 World Service Conference (WSC), requested by the 2015 WSC. The proposed language pertains to a memorial contribution for a deceased Al- Anon member from a family member who is not a member of Al-Anon. The Financial Matters Task Force will now decide on a title for the section and where to place it. The

4 final motion will be provided with the January update. The background discussion on this topic is available in the 2015 World Service Conference Summary, available electronically on our members Web site or by ordering a hard copy. The Policy Committee continues its work on reviewing and revising sections in the "Digest of Al-Anon and Alateen Policies" (Pages ) on financial matters, incorporating spiritual principles. The goal of the revisions is to offer language that incorporates spiritual principles into financial matters. The Policy Committee also continued its work on clarifying what events to announce at meetings. It is important for the fellowship to know that this question was brought to the Policy Committee by a member. This query prompted the Committee to consider the topic because the Committee has a responsibility to clarify current policies about which the fellowship may have repeated questions or concerns. It is important to note that the Policy Committee makes no decisions, but only explores significant issues raised and attempts further interpretation or clarification based on Al-Anon s Traditions and Concepts that may then require possible changes in the text to be submitted to the World Service Conference. Finance Update October 2015 Jennie McCann, Treasurer The following update is based on the unaudited financial statements for the period ended September 30, The General Fund recorded a loss of $176,337 for the period, compared to a loss of $106,949 for the first nine months of last year. Literature sales are lower than last year by $283,398 and contributions are higher by $56,399. Forum subscriptions fell behind last year by $8,202. In total, income is lower by $157,881, compared to this period last year. Income: Literature sales at September 30 totaled $2,617,502, compared to $2,900,900 at September 30, 2014 a decrease of 9.77%. Gross profit on literature sales was $2,177,526 (83% of sales), compared to $2,271,774 (78% of sales) last year a decrease of 4.15%. Contributions are $1,138,805 so far this year, compared to $1,082,406 at this time last year an increase of 5.21%. Forum subscription income is $173,238 this year, compared to $181,440 last year a decrease of 4.52%. Income is falling behind projected income for the first nine months of the year. A Conference decision supported the idea of working to increase contributions, rather than relying on transfers from the Reserve Fund. Thank you to all of you who shared the ideas from your Areas on ways to increase contributions and close the projected deficit. We will be sharing some of those ideas on AFG Connects. As of September 30, 2015, contributions are 67% of budget, falling below the 75% mark as we are threequarters of the way through the year. It is encouraging that contributions have increased compared to those received at this point last year, and we are hopeful that as more Delegates have a chance to brainstorm with their Areas, it will have a positive impact on revenues received in the coming months. Literature sales appear to be in decline, which makes us more dependent on contributions. Expenses: Operating expenses are $3,709,572 so far this year, compared to $3,798,065 at this time last year a decrease of 2.35%. Expenses are slightly below budget.

5 Reserve Fund: The fair value of investments in the Reserve Fund totaled $4,773,157 at September 30, This amount includes an unrealized gain of $275,270. In compliance with a Board of Trustees motion, 4% of the average balance of the Reserve Fund over the prior 36 months, an amount estimated to be $200,000, may be transferred to the General Fund. However, the budgeted transfer amount is $65, Budget: Total Income at September 30, 2015 is at 70% of budget, which is below the 75% mark for this time period. Expenses, however, are at 72% which is also below the 75% mark. As we aim to preserve the Reserve Fund as a prudent action, we are hopeful that the fellowship will respond favorably to the efforts to be self-supporting in providing services to our members as they support each other and reach out to those still suffering.
