3 Recruitment Managed by the CBS Donor Relations Team staff across Canada Danny, OneMatch Registrant Canadians register to become a potential stem cell donor by attending a donor recruitment and stem cell registration event or by registering online 3

4 Recruitment Canadian Blood Services holds approximately 1,200 stem cell registration events annually Events are scheduled at key locations to help recruit the optimal stem cell donor (17 35 year old, male) and increase diverse representation of the stem cell registry 4

15 Extended Typing or Verification Typing Donors identified as a potential match may be requested for additional testing (CAN or INT donors) Donors reserved (on-hold) for patient until Transplant Centre decides how to proceed Health Screening and Infectious Disease testing (ensure donors healthy and safe to donate) (Any patient risks are reported to the Transplant Centre) Confirm donor s interest in proceeding and availability 15

17 Workup The most suitable donor is selected by the Canadian or International Transplant Centre to proceed with workup (donation process) Activations Administrators (AAs) coordinate workup requests for International donors OneMatch Case Managers (CMs) coordinate workup requests for Canadian donors Typically 4 6 week time frame requested 17

18 Donation Process Bone Marrow (BM) collection is a surgical procedure performed under general anesthetic, 1 day collection Traditionally BM was the exclusive source of stem cells and still the primary source for transplant in children

19 Donation Process Peripheral Blood Stem Cells (PBSC) is now the most common source of stem cells, about 80%, can be a 1 or 2 day collection *Donor Leukocyte or DLI for 2 nd donation requests

21 International Donor Workup AAs liaise with the Canadian Transplant Centre and the International Donor Registry to coordinate the workup and collection of the donor Ensure effective communication through out the entire process and that the strict timelines are met Provide Transplant Centre dates for donor physical exam and donation (collection)dates and Courier instructions for the specific collection centre Manages urgent issues as they arise such as postponements or cancellations Donor Centre (DC) or Apheresis Centre (AC) 21

22 Canadian Donor Workup Performing Health Screening and a detailed donor Information Session CMs liaise with the Canadian Collection Centre and the Transplant Centre and also work directly with donors Coordinates the donor physical exam and bloodwork at collection centre; CBS infectious disease testing (IDMs) Arranges donor/companion travel and/or hotel accommodations, if required Follow-up post-donation until donor fully recovered CMs carry emergency pager/cell phone 24/7 22

25 Product Transport Applicable airports notified of courier travel; Courier info and Itinerary sent to collection centre Couriers arrives day before collection (long flights) Pickup product same day of collection or next day Product delivered to Transplant Centre usually within hours after collection (No more than 72 hours should elapse) 25

29 Airport Notifications Some airports require their Customs office be notified that a courier is travelling with a Stem Cell Product which include: Canadian Airports: Toronto (Pearson) Montreal (PE Trudeau) Ottawa ( MacDonald Cartier) Halifax (R.L. Stanfield) Vancouver International Calgary International Need to report to the Special Services Counter when clearing with the Canadian Border Service Agency (CBSA)

30 Airport Notifications The notifications will hopefully assist with the expediting the courier through security International Airports: Paris (Charles De Gaulle) London ( Heathrow)

32 Reminders for Couriers Ensure maintain strict confidentiality and discretion Product itself should not pass through x-ray equipment; can remove product and scan empty cooler ( prefer cooler not x-rayed either) Have or be provided with a cell phone (International roaming ability, if required) Do not accept gifts/letters etc for the recipient from the collection centre. OneMatch has a process for exchange of letters/cards etc Airport notification memo is only provided when entering Canada from another country (point of entry) Additional blood samples from donor may be required and travel with the product

33 Challenges for Couriers Difficulties reaching contact person at the donor centre or collection centre Discrepancies with the product transport instructions on the product prescription and the instructions given to the courier Wrong product given to courier different patient/donor IDs Last minute flight changes Icelandic volcano eruption! Labelling errors OneMatch needs to be informed if changes to flights to ensure applicable airport notification letters are provided
