3 PROCEDURE FOR PROJECTS PROCEDURE FOR PROJECTS 1. Cmplete the prject plan and request ethic apprval. 2. Prepare study materials and sftware - including cnsent frm (please read Example: Cnsent Frm n page 10), survey link, and any sftware testing etc. 3. Prepare participant payment.* 4. Using the Researcher Checklist (please see it n page 12) send the fllwing t the Lab Manager by the 5th f each mnth): 7. Receive data and data quality ntes frm Lab Manager - nline data and digital cnsent signature are returned autmatically t researchers. Paper pencil data will be campus mailed back t researchers upn cmpletin f data cllectin. Electrnic data quality ntes are sent t researchers upn cmpletin f studies by Lab Manager. 8. Send a cpy f yur paper nce submitted - We are keen t see the results f the research that has been carried ut in the lab! Once yu have cmpleted yur research paper please send a cpy t us fr ur recrds. 4 LAB FACILTIIES/LAB AVAILIBILITY STUDY TYPES If yur research prject requires data cllectin in ur n-campus labratries, tw main types f labratry studies can be cnducted in the lab: Individual and grup experiments: using nline surveys r experimental sftware. Participants sit at cmputer wrkstatins t cmplete the survey. In sme circumstances surveys can als be administered utside the lab. Cmputer-based and/r paper-pencil experiments: participants cmplete tasks either n cmputer r n paper. LAB FACILITIES Our lab has three cmputing lab rms, and a large cllectin f equipment, hardware and sftware t facilitate varius types f research. T ensure the participants dn t affect ne anther, they will be allcated a seat, either side f which will be left empty. CKY 513/514: up t 13 cmputer statins (nine in CKY513 and fur in CKY514) (There is a divider between CKY 513 and 514 that yu may use if necessary.) CKY 515: up t 12 cmputer statins SOFTWARE AND EQUIPMENT We currently have the fllwing sftware applicatins t cllect data and recruit participants: Qualtrics Online survey applicatin fr academic institutins. Flexible and easy t set up. Faculty staff and students can request a free accunt frm Rb Giles rb.giles@ plymuth.ac.uk. Sna Participant sign-up and management system. Yur study will be psted n Sna s that participants can sign up yur study. As a researcher, yu will be given a Sna researcher accunt nce yu submit yur study materials. Yu can reach the participants thught Sna and participants are als able t cntact yu via . LAB AVAILABILITY All Faculty f Business academic staff and PhD students are welcme t cnduct research in the lab. When lab space r resurce is limited, pririty will be given t PhD students, junir faculty and then senir faculty staff in that rder. PhD students are permitted t use the lab facilities under guidance frm a supervisr. External researchers frm utside Plymuth University are nt currently permitted t use the lab, althugh this may change in the future. Due t the capability, the lab can cnduct a maximum f eight hurs labratry study per mnth with 10 participants in each sessin (ne sessin takes half an hur r ne hur). Fr ther types f study, there is n data cllectin time limit since the study will be entirely cnducted by the researcher. LAB WORKING FLOW In rder t ensure the labratry data cllectin is as efficient as pssible, the lab fllws a mnthly cycle: Week 1: Receive submissin (deadline: 5:00pm, 5th f each mnth) Week 2: Schedule the time slts, recruit participants, and prepare payments Week 3 & 4: Data cllectin and data return The figure belw shws the general lab wrking flw. 5 LAB WORKING FLOW Fr labratry study: The Lab Manager will be present fr cllecting data fr yur study and t ensure everything is set up crrectly. Researchers are required t be present at the first several sessins in rder t answer any questins frm participants. The Lab Manager will arrange the cnsent and payment. Fr ther types f study: Researchers will submit all the materials and the Lab Manager will help t recruit participants in Sna and prepare the payments. Hwever, the Lab Manager will nt be respnsible fr cnducting study and data transfer. The researcher needs t pass the Payment Receipts Frm after the cmpletin f study. Please nte, if yur submissin is sent befre 5th f the mnth, yur data cllectin wuld be expected t ccur in Week 3 & 4 f that mnth. If yur submissin is sent after 6th f the mnth, the expected time yur data cllectin will begin, wuld be the fllwing mnth. Fr example: Study submissin n 2nd July - yur data cllectin will begin in mid-july; Study submissin n 7th July - yur data cllectin will begin in mid-august. Researchers send the fllwing n the 5th f each mnth and expect yur study t start latest ne mnth frm the submissin date. 6 RECRUITING PARTICIPANTS RECRUITING PARTICIPANTS Once yu send in yur study materials (as requested n Researcher Checklist), yur study will be created in the Sna System by the Lab Manager. Yu will get a researcher accunt that enables participants t reach yu. Please d nt make any changes in Sna after yur study ges live! Sna is an nline research system that the Plymuth Charity Lab utilises t recruit and manage participatin in ur studies. The Lab Manager is the administratr n Sna. Belw is sme infrmatin regarding yur participant recruitment in Sna. Psting Studies and Timeslts Annymus Participant IDs Participant N-Shw Plicies Pre-screen Study display t participants 1. Psting Studies and Timeslts Yur study will be psted with several timeslts n Sna s that participants can sign up t yur study. When multiple studies are cnducted in the lab in a perid, yur study may be bundled with ther researchers studies. If that is the case, yu need t prvide filler tasks requirement (eg. n study causing emtinal effects befre yur study). Belw is infrmatin regarding psting: a. Ethic Apprval: N study can be psted n Sna withut an ethic apprval and the prtcl expiratin date. b. Reservatins and Timeslts: Timeslts fr a study can nly be psted after yu have received cnfirmatin frm the Lab Manager that yur study request has been fulfilled. 2. Annymus Participant IDs Sna assigns all participants a randm, annymus 4-digit ID cde. This ID cde is the nly way yu will be able t identify any participant. Yu will nt be able t get their names r s. Please make sure t ask participants fr their ID cdes during yur study. In sme cases, if yu need t cntact yur participants, please cntact the Lab Manager first. Yu may cntact yur participants by sending them a message thrugh Sna, r by given s with ID cde but nt their names. 3. Participant N-Shw Plicies When the Lab Manager r the researcher has finished running a study, he/she will mark participant attendance by using Payment Receipts Frm. Participants can be marked as participated, excused n-shw r unexcused n-shw. The cmplete frm shuld be passed t the Lab Manager nce the study finishes. If a participant reaches three unexcused n-shws during the semester, his/her accunt will be autmatically deactivated and they are n lnger able t sign up fr studies. All unexcused n-shws are frgiven at the beginning f each semester and deactivated accunts are reactivated. 4. Pre-screen Every participant must take the pre-screen survey befre they can sign up fr studies. Researchers can chse qualified participants t jin their study based n the prescreen respnses. 8 ETHICAL APPROVAL/FREQUENTLY ASKED QUESTIONS ETHICAL APPROVAL Befre yur study begins, all the lab research needs t have apprval frm the Faculty Research Ethics Cmmittees (FREC). Yu shuld cmplete the Ethic Frm and send it t Cher Cressey, secretary f the FREC at: ccressey@plymuth.ac.uk. Please nte that it usually takes three t fur weeks t get a respnse frm the Ethics Cmmittee. We suggest yu t submit ethic frm fr apprval at least tw mnths befre the start f yur study. After yur study is apprved, please send a cpy f yur Ethics Frm and Apprval Letter fr ur recrds. The Lab Manager will crdinate with the principle investigatr n issues regarding implementatin, testing, scheduling, subject recruitment, and ther technical matters. FREQUENTLY ASKED QUESTIONS This page lists sme frequently asked questins. If yur particular questin is nt addressed belw, please d get in tuch. 1. What des the Plymuth Charity Lab d? Plymuth Charity Lab was set up by the Faculty f Business at Plymuth University. Studies cnducted in this lab will advance ur scientific understanding f human behaviur. These tpics may be studied frm the discipline f psychlgy, marketing, entrepreneurship and educatin etc. The main rms are the cmputing lab CKY513/514, CKY515. This is intended fr research that invlves cmputer-based studies. 2. Wh can carry ut research at the Charity Lab? All Faculty f Business academic staff and PhD students are welcmed t cnduct studies in the lab. When lab space r resurce is limited, pririty will be given t PhD students, junir faculty and then senir faculty in that rder. Based n statistics gathered in 13 Nv 2015, ur participants are 16% fundraising engaged, 94% UP affiliated, 42% frm PBS undergraduate student and 46% frm all ther departments, 65% female, with 34% aged 16-20, 45% aged 21-25, with 81% frm the UK/Ireland, 6% frm Asia/Pacific and 6% frm the rest f Eurpe. Researchers need t fllw the Researcher Checklist and send the essential study material t the Lab Manager (dejie.kng@plymuth.ac.uk) by the 5th f each mnth during a semester. T check the lab availability, please cntact Lab Manager as well. 5. Hw d I get research ethics apprval? All the lab research needs t have apprval frm the Faculty Research Ethics Cmmittees (FREC). We have an active participant pl f 1141 participants (up t 13 Nv 2015). Once yur study has been set up in the participant sign-up system, timeslts created and apprved by the principle investigatr, an will be sent advertising yur study and participants will be free t sign up fr an available timeslt. 7. If I cnduct a labratry study, what happens n the day f my study? The Lab Manager will be present fr cllecting data fr yur study and t ensure everything is set up crrectly. 9 FREQUENTLY ASKED QUESTIONS 8. Is there a link between the persnal data in the participants database and the data cllected during a study? There will be n link between researcher and participants persnal data. As a researcher, yu will nly identify participants by their unique ID cde. If yu need t cntact participants individually, please cntact the Lab Manager. Yu may cntact them by with ID cde nt their names. Only the Lab Manager can access the full database. All the participants will be tld t take their ID cde when participating in studies. 9. Des the lab ffer any training r IT/prgramming assistance? The lab ffers a series f training in Qualtrics, E-prime, Sna, etc. The faculty IT team can help with general IT issues, please cntact Rb Giles at rb.giles@plymuth. ac.uk. We d nt currently ffer any prgramming supprt. 10. Hw d the participants get paid fr participating my study? The lab will arrange the payment fr participants in Participants shuld be paid a minimum f 4 shw-up fee fr up t 30 minutes, and 8 fr up t an hur. Participants can be paid in either cash r gift vuchers. If yu are planning a study with financial incentives, an alternative payment structure is permitted prviding a similar level f incentive fr participants. If yur study is nt a labratry study, r if yu have a study that includes extra financial incentives, yu are respnsible fr keeping track f hw much each persn shuld be paid, and making sure yu have the right amunt f mney t pay them. Plymuth Charity Lab has n cash reserves. After the study finishes, a cmpleted Payment Receipt Frm must be passed t the Lab Manager. 12. Will the registered participants get an invitatin by ? Yes, nce yur study is created and active in the Sna system, the qualified participants in the pl will get an invitatin. They will knw abut yur study and be able t lgin t Sna and sign up yur study. 13. Will the study be cancelled because f a lack f participants? Yu culd cancel yur study if the number f participants is nt sufficient at least 24 hurs befre the time slt. The sign-up participants will get an ntificatin with the cancellatin infrmatin. 14. What if I have ther questins? Please cntact the Lab Manager Sphie Kng at dejie. kng@plymuth.ac.uk. 11. Hw d I rganise participant payments? This is the arrangement fr calendar year Fr the lab funded studies, the Lab Manager will arrange the payments. The Lab Manager will withdraw the cash and pay the participants after a study finishes, at which pint a Payment Receipt Frm must be cmpleted and signed by participants. Payments will be given t participants nce they have cmpleted their participatin and signed a Payment Receipts Frm. If yu wuld like t pay by gift vucher, please get in tuch with the Lab Manager at least seven days befre yur study. 9

13 PRIVACY POLICY PRIVACY POLICY (Adapted frm Plymuth University Research Ethics Plicy) Researchers must ensure apprpriate pen access t primary data resulting frm publicly funded research after its current use in research. Data relating t identifiable individuals must be held in accrdance with the principles f data cnfidentiality legislatin and any guarantees given t data subjects. Such data must be annymised befre it is made publicly available and researchers may place an embarg n access when annymity and cnfidentiality cannt be guaranteed. Researchers must decide what cnstitutes primary data in each research prject. This will nrmally be an achievable data set, but may als include labratry ntebks, cmpleted questinnaires, vide and audi files, and interview transcripts. Research ntes d nt nrmally cnstitute primary data fr the purpses f this Cde. The University expects that primary research data is held securely fr a perid f ten years after the cmpletin f a research prject, r fr such lnger perid as may be required by a research funder. The University has an bligatin t ensure that apprpriate strage facilities are available. Nn-current primary data frm research funded at the University must remain in strage at the University when a member f staff changes jb t anther institutin. Research Cuncil requirements fr the central archiving f data in electrnic frm must be bserved. Publicatins arising frm publicly funded research shuld be available thrugh a system f pen access wherever pssible. Subjects will either self-reprt their behaviur r an experiment design will be used whereby subjects will be asked t cmplete a shrt, un-taxing exercise (e.g. t click n an bject n screen fr 3 minutes in rder t dnate mney t charity the mney will be a small amunt ( 4) and will be prvided by the Centre fr Sustainable Philanthrpy) r make a hypthetical giving decisin after reading a giving scenari (e.g. Nw, please imagine that yu have been listening t a public radi statin every day fr the past fur years. Assume that this statin is currently having its n-air fund drive Yu called the radi statin in rder t make this cntributin. Subjects will be asked t fill in an nline survey (using qualtrics) cntaining nn-sensitive psychlgical scales, cmmnly used demgraphic questins and behaviural questins/ undertake the task as set ut abve. Subjects will be recruited via tw key methds: 1) Via Charity Lab: subjects will be ver 18 and will vluntarily signed up and recruited via advertisements.
