4 How will the Testing Page help? DHS By easily identifying the screening and assessment needs of our client population. Providing a centralized location to find information related to screening and assessments. DHS Staff By providing the necessary skills and tools to better serve applicants and recipients of DHS programs Providing a centralized location within TRACS to check and see if screenings or assessments have been offered, accepted, and whether or not follow up was needed. Taking the guesswork out of screening and assessments. No need to search through 400+ narratives to find the information you need. Ability to apply the disqualification procedures correctly and without discrimination based on disability by accessing Testing Page. DHS TANF/JOBS Applicants or Recipients By affording equal access to TANF/JOBS benefits and services Providing accommodations or modifications when needed Eliminating discrimination based on disability Providing appropriate services based on individual client needs Ensuring that in the event a disqualification is applied, they are applied correctly and without discrimination based on disability. 4
5 Section I. Testing Page Overview The TRACS Testing page is designed to capture screening, assessment, evaluations and other testing information in one, easily to access location in TRACS. You get to the Testing page by clicking on the Testing Page button. When the Testing page opens you will see the following: The above picture is the Test Categories Test categories are used to identify the broad category of test being administered. Let s take a look at the categories you will find on the Testing Page. Alcohol and Drug DDS Testing (Used in the State Family Pre-SSI Program) 5
6 Education Employment Learning Needs Mental Health Program Psychological Test Types Test Types refers to the test that was offered or provided to the client. Test Types include but are not limited to the following: GAIN-SS-AD GAIN-SS-MH CASAS 1 st Math Pre-Test AccuVision Learning Needs Screening There are also generic Test Types found in categories like Alcohol and Drug, and Mental Health. For example: Test Category: Alcohol and Drug o Test Type: Screening Test Category: Mental Health o Test Type: Assessment These generic Test Types are designed to capture screenings and assessments that are not in the list and may have been provided outside the. 6
7 Test Status The Test Status lets the viewer know the outcome of a particular test. For Alcohol and Drug, and Mental Health the outcome will not be detailed. Example: Test Category: Mental Health o Test Type: OQ-45 Test Status: Completed Follow Up Needed Other tests will have different status selections. Example: Test Category: Learning Needs o Test Type: Learning Needs Screening Test Status: Completed Referred to Specialist Test Date The Test Date, for most instances, would be the date the client took the test. However, what if you offer the client a test and they refuse or do not show or do not finish the test, what do you do then? Simple, just follow these guidelines. Client is offered and refuses a test. Use the date the client refused. This would be entered as a Test Status = Refused. Client is offered and accepts the test. Prior to the date of the test the client contacts DHS and decides not to take the test. Use the date the client contacted DHS. This would also be entered as a Test Status = Refused. 7
8 Client is offered and accepts the test but fails to show on the date of the test. Use the date the test was scheduled. In this instance the Test Status would reflect No Show. Test Score/Results In the example picture above you can see a box for test score. Some of the Test Categories or Test Types within categories will not require a Test Score. Those include any Alcohol and Drug or Mental Health tests. TRACS does not require entry of a score for either of these Test Categories. The Learning Disability Assessment will not require a score as well. You will also notice that there are a couple of features on the bottom right of the Test Page window. Here you have Entered By and Entered On. These will let viewers know who entered a particular test and on what date that test was entered. Entering a Test In many areas around the state, our contracted alcohol and drug, and mental health specialists enter the testing information when it is offered and completed or declined. However, this may not be how it is in your local area. As a DHS staff, or contracted staff you may have a need to enter a test into the. Let s take a look at how this is done. The Steps You have offered a test and the client accepted. You completed the test and now want to enter the information in TRACS. 8
9 Testing Page Open TRACS and locate the client s information. Client on the Testing Page icon at the top of the TRACS Page. The Icon resembles a person sitting behind a desk. The Testing Page window will now open. You will see whether or not previous tests have been entered. Right click in the window and select Add Test. At this point you are able to open the drop down windows at the bottom of the page to enter: Test Category Test Status Test Score or Results Test Type Test Date Review the information you entered for correctness. If good to go then save your test. If you find an error after saving, you can select the Test in the window and right click and choose Delete. Viola!!! When you need to find out whether or not your client has been screened, assessed, evaluated, or tested you now have a nice centralized location where you will find all the information. 9
