Aim f the Cde f cnduct The cde f cnduct is a set f rules and guidelines intended t prtect ur students and vlunteers and ensure a safe, inclusive and supprtive envirnment within the rganizatin and its activities. The cde reaffirms ur cre values f unity in diversity, penness, tlerance and respect, and aims t help ur members and thse affiliated with ESN and ESN Agder recgnize and act in adherence t these values. 2. Persns t whm the cde applies The cde f cnduct applies t any individual, rganizatin r grup participating in any activity f ESN Agder, including, but nt exclusive t: buddies, active members, internatinal students, bard members and guests. The cde cvers cnduct at during the fllwing times: All meetings and events held by, r n behalf f ESN Agder All ESN-related nline activity All external representatin f ESN and ESN Agder 3. Behavir in accrdance with the law ESN aims t create a peaceful envirnment which respects and welcmes everyne. As a member f ESN Agder, yu are expected t fllw the laws f ESN Agder, f the University f Agder, f the Nrwegian gvernment, as well as any additinal rules which may be presented. 2 N threatening behavir We have a clear zer-tlerance plicy regarding these pints. Failing t cmply may be met with plice actin, as well as additinal cnsequences internally within the university and rganizatin setting (see Cnsequences ). 4. Behavir twards vlunteers ESN Agder is an independent, nn-prfit student rganizatin. As such, all members f ESN are vlunteers, wh give their time and energy fr free. Be cnsiderate and treat the wrk f ur vlunteers with respect. Otherwise, ur vlunteers will lse their will t d this wrk, which cmes frm a place f lve and passin fr ESN. Dn t be cruel, incnsiderate, r harass ur vlunteers Althugh feedback is appreciated, we ask that criticism is given cnstructively and kindly. It shuld be given t the persn running the event, after the fact and sber, in writing, nt during events, unless it is an item that has t be dealt with immediately. 5. Behavir during events We rganize events t give ur students and vlunteers enjyable experiences and a sense f cmmunity. T make this pssible, we expect everyne participating t behave respectfully and with decency twards ne anther and the wrk every member puts in. Being drunk is n excuse fr bad behavir. All participants are fully respnsible fr their wn actins, and will be held accuntable as such, whether they were intxicated r nt. Yu are expected t leave any area in at least the same state in which yu fund it. If yu make a mess, yu are expected t clean it up. Be aware f the rules f the lcale! Sme f ESN Agder s events will be held in lcatins where alchl cannt be brught in frm the utside. If tld by a bard r active member t leave the event n grunds f bad behavir, yu are expected t d s at nce. We maintain the right t send peple hme if t drunk (by ur standards). IF this means getting a taxi, the csts will g t the persn being sent hme. We take theft very seriusly. Mst parties will pen fr the pssibility f suggesting sngs fr the playlist in advance f the event. During the event hwever, the playlist is clsed. 6. Prmtin f nn-esn events Shuld g via the bard fr apprval, and we reserve the right t deny events that d nt fit with ESN values r directly cmpete with ur wn events. 7. Cnsequences We reserve the right t reject any individual wh fails t cmply with the cde frm any ESN Agder event at immediate ntice. Depending n the level f seriusness, we may chse t infrm the University f Agder, as well as any ther university they might be affiliated t, abut bad behavir. If deemed necessary, any individual wh des nt cmply with the cde f cnduct may be excluded frm future events and participatin in ESN Agder in general, either fr a perid f time r indefinitely. 4 Guidelines fr Buddies and Active Members These guidelines are in particular fr ur registered vlunteers. They are nt separate frm, but rather an additin t the cde f cnduct s pints 1 thrugh Buddies Buddies are expected t fllw ESN Agder s cde f cnduct, t be respectful, pen-minded and kind, but additinally, there s a few unique guidelines specific t buddies: Yu are required t cmmunicate with the ther vlunteers in yur buddy grup. If yu cannt cme t the first events f the semester, be sure t talk t yur fellw members t make sure smene can be there. During the first mnth, we ask yu t wear yur buddy t-shirt t as many events as pssible, as this makes it easier fr bth yu and the students t see wh the buddies are and wh t ask fr help In the Facebk grup fr yur Buddy grup, be active psting infrmatin, sharing phne numbers and answer questins that may be asked, arranging events and get-tgethers, etc. It might be difficult t get respnses, but we encurage yu t keep trying, and t ask directly fr yur students t respnd t yur messages if yur grup is very quiet. Check yur s regularly the first few weeks fr infrmatin prvided by ESN Agder, including yur spam flder. Als keep an active eye n ur Facebk grups, as this t, is an imprtant arena fr infrmatin. Make especially sure that yu read ur buddy brchure thrughly befre semester start. Each buddy grup is required t hld at least ne event each mnth during a semester At least ne event each mnth must be nn-alchlic (If yu nly hld ne each mnth, then this ne event must be ne withut alchl). This is t ensure best pssible inclusivity, as we have experience with many students uncmfrtable at events with drinking, and we want t ensure the buddy grups and ESN Agder is pen t these students as well. Failure t shw up r ntify the Buddy Manager abut why ne is nt available during the semester start perid may lead t exclusin f the buddy prgram in the future ur exchange students and fellw buddies trust yu t d yur part dn t let them dwn! Active Members As an active member yu are required t fllw ur cde f cnduct like everyne else, but given yur special rle, there is a greater emphasis n the fact that yu act as representatives f ESN Agder, and shuld act in a way that represents the rganizatin well. Additinally, there s a set f guidelines mre specific t yur rle: Be smene ESN can cunt n! As active members make up a very imprtant part f the rganizatin, we need t be sure that we can cunt n them. This includes, but is nt limited t: Adhere t the cntract yu signed! Answering all psts n ur Facebk grup and any messages r s frm the bard. This is OBLIGATORY! Even if yu cannt d what we ask, answer! Even if yu cannt attend an event, reply. If yu sign up fr a task, we expect yu t stand by it, r give ntice at least tw weeks in advance if yu can n lnger fulfill the task In cases f immediate illness this may be verlked. Active Members need t send a shrt reprt r summary f yur activity each week t the Vice President, s the bard keeps updated. This can be dne ver Facebk r the Vice President s , and des nt have t be mre than a few lines lng. Even if yur activity r task is nt happening that week, r yu re away fr a week and nt ding anything ESN related, let the Vice President knw. Active Members are required t attend bard meetings regularly, and we are aiming fr at least nce a mnth. Invitatins t bard meetings where we d like Active Members t participate will be issued befrehand, and it is bligatry t respnd t these, and t ntify us if and why yu cannt cme. Nte that it is required t attend at least tw bard meetings r active member meetings per semester. Any Active Member can request t sit in at a regular bard meeting r t request an extra active member meeting if they have an issue they d like t bring up. The bard reserves the right t say n t access t regular bard meetings if matters n agenda are deemed sensitive. Take Initiative! Many f ur new ideas cme frm the active members, and we lve t get feedback and hear frm yu. We als have many tasks and psitins cvering a range f areas, s dn t be afraid t take initiative! 6 Althugh we encurage initiative and new ideas, we ask yu t always run yur idea by the bard befre putting it int actin, as this is necessary fr it t be fficially ESN Agder prjects. Keep us infrmed! Any fficial ESN Agder event shuld aim t fulfill ur cre values f being pen, inclusive and prvide a safe space fr anyne invlved. If yu wish any supprt frm ESN Agder in running the event, in the frm f ecnmic supprt, in bking f rms, buying material r similar things which require planning frm the bard, yu must send an applicatin at least 1 week befre the event t the bard at bard@agder.esn.n. The bard reserves the right t refuse any requests which are deemed unsuitable fr the rganizatin at the time. Requests made infrmally, such as rally r thrugh Facebk, will nt be granted withut the written applicatin. Guidelines regarding the running f events Fr each bigger event, such as parties, a wrking grup shuld be created with a crdinatr in charge f cmmunicatin and making sure duties are cmmunicated and maintained. Active members in charge f events shuld be given checklist s they knw what their duties are. Questins are then redirected t this individual. Fr parties at alibiet: If there is less than 2 sber guards and 2 cleaners, the event must be cancelled. One bard member must be available t pen and a detailed checklist shuld be given t sber guards ver tasks, and things t remember (these are given t crdinatr f wrking grup, which any cleaners and sber guards are part f) Recmmend: Sign up fr all yu can, we wn t put yu n all, but we need t make sure we have peple fr all f them A persn must stand behind the cunter, n ne except sber guards and bard members allwed Parties held at alibiet shuld be n fridays, t ease clean-up and access t ffice. Rules fr music: A playlist is made in advance, but we maintain the right t edit it s that it fits t the theme r ther. Peple can make suggestins fr it in advance, but n changes will be made r suggestins taken during the party itself. Music is nt changed during the sng if peple are dancing t it. 7 Cnsequences Active members face the same cnsequences fr breaking the cde f cnduct as all thers, but als face cnsequences if their cntract is nt upheld. Fr a majr vilatin f rules as set ut in the cde f cnduct, they will be kicked ut f the rganizatin. Fr minr misdemeanrs such as nt answering messages, nt attending bligatry meetings withut ntificatin, etc, a warning will be given the first tw times, whereas after last warning, they will be excluded withut certificate, n grunds f inactivity and breach f cntract. Althugh if deemed apprpriate, since we knw smetimes things just get in the way, despite best intentins, the individual can be given a chance t plead their case. Erasmus Student Netwrk Agder 7
