1 FRIENDS OF TOLLCROSS PRIMARY SCHOOL Annual General Meeting 20 th March :30 19:00 MINUTES Attendees Juliette Young- Chair Beatriz Gonzalez- Secretary Sarah Corbett- Treasurer Apologies Jayne Scott- Trustee Mairi Bannerman Laura Ewing Maggie Page- Trustee David Hewitt- Tollcross Community Centre 1- Annual accounts of the Charity by the Treasurer. The Treasurer presented the annual accounts of the charity, as will be submitted to OSCR. Summary of annual accounts for financial year ending 10 th March 2017: Unrestricted funds: 13,754 Grants (Blackrock): 7,233 Receipts from fundraising activities: 3,618 Fundraising activities were carried out in partnership with the PTA. Funds from donations confirmed in the past 2017 are not included in these totals and will account for during the new financial year. The Treasurer will ensure the accounts are checked, signed off and sent to OSCR (together with Trustees annual report).
2 2- Report by the Chair of the activities of the Charity Charity Status and Meetings FRIENDS OF TOLLOCROSS PRIMARY SCHOOL was officially declared a Charity on the 3 rd May This report covers the period 3 rd May 2016 to 20 th March 2017, representing our first annual report. Since inception the Charity officers have met regularly to review progress and agree plans - at least twice a term. The meetings have been advertised in advance and open to attendance by trustees and other interested parties e.g. teachers, parents. In the reporting period we have held 8 meetings, including the AGM. One of meetings was held prior to becoming an official charity in order to prepare documents and governing bodies. Support from parents and school representatives has been consistent, with typically 5-7 individuals attending. Decisions taken in each meeting have been captured as actions in meeting minutes and progressed against them reviewed at the subsequent meetings. Generally most of the actions have been successfully achieved between meetings. Charity Promotion and Awareness To promote the charity and our objectives, we have created a website and Facebook and Twitter accounts. The website includes a video recorded at school and a document to explain the Charity objectives and background to formation. Charity meetings and significant updates are also posted on the Tollcross Primary Parent s Council Facebook account and by . Fundraising Activities As Charity we have organized several fundraising events during the reporting period: Fund raising events held at the school o 2 Cinema nights 13 th May 2016; 27 th January 2017 o 3 Discos including a very successful Halloween night 24 th June 2016; 28 th October 2016; 17 th March 2017
3 Fund raising events held outside the school o Fountainbridge Canal Festival- 18 th June 2016 o Blackrock raffle 28 th October 2016 We have applied for multiple grants from neighbouring businesses and national companies that offer support to projects like ours. Of note, we have successfully achieved donations and contributions from: Blackrock Gives Program Tesco s Bags for Help South West Neighbourhood Partnership Scotmid Waitrose Unfortunately we applied, but did not receive donations or help, from BAA Edinburgh, Aberdeen Asset Management, DWF foundation, Hunter boots, CCG Builders and WHSmith. In addition to grants and fundraising activities we have contacted many offices and building companies working in the school area. By doing so, we have significantly increased our funds with generous donations from both Martin Currie and GSS Developments. Companies including Hymans Robertson, Co-op, RBS and Tesco have also fundraised for us, selecting Friends of Tollcross Primary as their chosen charity for specific periods of time. We have not only had financial support from various companies, but also volunteer help to improve the school playground. Blackrock and Bowmer and Kirkland staff have not only given their time to work on the school but also they have provided tools and donated materials necessary for the work. We have had fantastic support from other local businesses including cafes, cinemas and food outlets that have helped us with donations for raffles and food and drinks sold at the different fundraising activities hosted at the school. The students of the Edinburgh College of Art were invited to engage in fantastic workshop with Primary 4 pupils to collect ideas to design and paint a mural in the garden area. Due to our status as a registered Charity some of the parents of pupils at the school have been able to claim match giving support from their companies, having contributed their time and efforts in support of fundraising events.
4 We have opened an account in Total Giving to receive any financial donations from the general public. Summary Overall it has been a very eventful first year where we have received a high level of support from the school, Tollcross Community Centre, Tollcross Community Council and Tollcross environment in general. A playground committee has been created in which the children have designed logos and thank you cards for the Charity. However, there remain goals that we haven t been able to address. For example, relocating the Wikihouse from the Grove to the school playground, making the shed functional and finding a sponsor to support sale of our Bags for Life designed by the students. Progress against objectives We have contacted and met several playground equipment companies and we have received detailed plan and quotes from 3 of them: Kompan, Sovereign and Russell Leisure. Russell Leisure s design for the P1-P3 climbing frame area has been chosen by the Charity officers and Trustees and the school. The proposed plans have been submitted to the Council and we are currently waiting for the Council s feedback or approval to proceed with this first phase of the playground improvement work. 3- Re-election of members: Chair, Secretary, Treasurer. Chair: Juliette Young nominated by Maggie Page seconded by Sarah Corbett. Secretary: Beatriz Gonzalez nominated by Juliette Young seconded by Maggie Page. Treasurer: Sarah Corbett nominated by Beatriz Gonzalez seconded by Juliette Young. Juliette and Beatriz gave notice of their intention to resign their posts in summer 2017 provided replacements for the members are found. A potential problem of duplication of effort and meetings with PTA has been observed Agreed action: Reduce number of formal charity meetings by holding them after to PTA meetings. This will also allow more parents to be involved in the charity work.
5 4- AOB A point of discussion was raised regarding future use of the shed and a potential financial contribution to the Charity by the Tollcross Community Centre. As they are not related to the AGM they have been moved and treated as action points in the Charity meeting following the AGM.
