1 Michigan Chapter, American Fisheries Society 2013 Business Meeting Minutes February 20, 2013 Treetops Resort, Gaylord, MI Call to Order and Determination of Quorum Dave Clapp Dave called the meeting to order. A quorum of at least 25 current chapter members was determined to be present. Approval of Agenda Dave Clapp The Business Meeting agenda was approved after the motion carried unopposed. Approval of 2012 Minutes Dave Clapp The 2012 Business Meeting minutes were approved after the motion carried unopposed. President s Remarks Dave Clapp Dave wanted to thank the Excomm and Patrick Hanchin for the amount of work over the past year Dave wanted to highlight some of the past years events including: formation of the MSU subunit, water quality committee accomplishments, continuing education workshop on case studies, and expanded Excomm calls to include all committees. Dave wanted to see improvements in chapter participation, even a small amount of effort can make a huge difference. Also Society membership was discussed and everyone was encouraged to become a Society member as well. Dave wanted a concerted effort to get our story across over the next year. Secretary - Treasurer s Report Billy Keiper Billy went over the treasurer s report. As of December 31, 2012, MIAFS had a balance of $13,849. This is a $10.34 increase from last year but not included in that amount were out outstanding donations ($750) to the equal opportunities and Hutton scholarship programs. We have $13, in our checking account, $5.00 in our savings, and $10.34 in petty cash. The majority of our income comes from dues rebates from the Parent Society, workshop registration fees, membership and meeting fees. The majority of our expenses are in the form of travel grants, donations, meeting expenses, and continuing education expenses. Despite the large amount of money we award in travel grants we still get very few applicants. It s free money so students should try harder to apply. The treasurer s report was approved after the motion carried unopposed. North Central Division Updates Gary Whelan

2 The North Central Division is here to serve us and the Chapter. The officers of the North Central Division are: Gary Whelan, president, Gwen White, past-president, Phil Moy, president-elect, Jason Goeckler, secretary/treasurer, and Brad Parsons, AFS nominating committee. The Role of the NCD is to advance Society goals by coordinating and complementing Chapter activities related to information exchange, outreach, aquatic stewardship, and governance at a regional level, and to maintain a liaison role with regional resource stakeholders. The NCD has 13 chapters which represent 16 states and provinces, ranging from our smallest 34 member Nebraska Chapter to our largest 255 member Michigan Chapter. The NCD has 1452 dues paying members, 27% of which are students and 8% are young professionals. Trends in young professionals and life members are up slightly. The purpose of the NCD is to serve as a liaison between the chapters and student subunits, the technical committees, and the Parent Society. The NCD represents and serves all chapter members. Many chapter members do not belong to the Parent Society but may belong to other professional societies. The purpose of the NCD s technical committees is to promote resource conservation and enhancement within the Division and to serve as the focal point for the collection and dissemination of information concerning important resource issues. The NCD technical committees and their respective chairs are: Centrarchid, Mark Kaemingk, Esocid, Jonathan Meerbeek, Ictalurid, Kirk Hansen, Rivers and Streams, Lucas Borgstrom, Salmonid, Mark Ebbers, and Walleye, Justin VanDeHey. The NCD has 21 active student subunits representing 12 Chapters, with Michigan, Illinois, Indiana, Missouri, and Wisconsin having multiple student subunits. Each year the NCD awards the Joan Duffy Student Travel Award to one student from each chapter for travel to the Midwest Fish and Wildlife Conference and the Young Professional Travel Award to one young professional for travel to the AFS annual meeting. Each year the NCD also recognizes one fisheries student and one wildlife student with the Janice Lee Fenske Memorial Award ($500 scholarship and plaque). Twenty-five students are selected as finalists each year and attend a breakfast with fisheries and wildlife professionals. Students are encouraged to apply Society Presidents plan for 2013 includes focus on: 1) global leadership, 2) increased science based fisheries policy, 3) creating value in membership, and 4) professional development. Global Leadership The NCD will continue to support science based initiatives. It will work on strengthening the connection between the units and the Parent Society and encourage officer attendance at Chapter meetings and annual meetings in. The NCD will

3 expand the information content of its website and will better communicate issues which impact members. Creating Value in Membership The NCD will continue to support student travel to meetings and will try to make membership more valuable to Canadian members. The NCD will continue to make improvements to its website and will continue researching virtual meetings. Key Society issues and updates: o New Executive Director o Governance Review o Society Budget will be on a 2 year operating revenue o Library subscriptions are up 4% which are a main source of income for the Society o Distance conferences using web applications will become available soon o Society award due dates will be moved to April 1 Committee Reports Auditing Troy Zorn reported that our financial records are complete and accurate. Awards Mark Tonello reported for Bob Stuber reported that last year s recipient of the Hazzard Award ($100) was Mart Williams. The purpose of the Hazzard Award is to recognize excellence in student research in fisheries or aquatic biology at a college or university in Michigan. This year we had two nominations for the Justin W. Leonard Award. The purpose of the Leonard Award is to recognize outstanding professional competence and achievement of a professional employed in the field of fisheries or aquatic biology in Michigan. The 2013 recipient of the Leonard Award is Andy Nuhfer, retired MDNR Fisheries Biologist. This year we had two nominations for the Grayling Award. The purpose of the Grayling Award is to recognize outstanding contributions to Michigan s fishery related resources, to Michigan s fishery profession, or to the Michigan Chapter by a person, industry, agency, or organization. There were no nominations for the 2013 Grayling Award. Centrarchid No updates were presented Communications Mark Tonello reported for Heather Hettinger that this year MIAFS now has a Facebook page and is receiving positive feedback. Tonello thank Heather for her hard work and quality of work on the newsletter. Janice Lee Fenske Memorial Award - Jessica Mistak could not make the meeting and no updates were provided

4 Continuing Education Hanchin reported for Sharon Baker that the continuing education committee had one successful workshop this year here at the Annual Meeting. Dave Clapp and Patrick Hanchin lead a case studies in fisheries management workshop. Hanchin reviewed a membership survey about continuing education workshops and noted that though not many folks attend the workshops, most tend to return. Currently the committee is seeking a co-chair Membership Ralph Tingley reported that list updates are going well. Tracy Kolb has been helping organize membership database. Currently there are 433 active members, of which 8% are Society members. Overall MIAFS membership is 47% students. Communications Mark Tonello reported for Liz-Hay Chmielewski that Liz is stepping down from her role as the Communications chair so we re looking for a new volunteer to take over. The primary duties of the position are chairing the committee and serving as the newsletter editor. Mark recognized Scott Miehls for his great work on the Chapter s website and Doug Workman for his great work running the listserv. Nominating To be covered in new business. Program Hanchin reported that a review of a meeting attendance survey suggest most people only make it one out of every five years. Location is the biggest issue. Joint meetings are not as popular and often attendance is low. Day and a half meetings are the most popular time frame. Resolutions Jay Wesley reported that we did not have any new resolutions this year and it has been slow the last couple years. New energy is needed and anyone interested in helping should talk to him. Rivers and Streams Chris Iilers could not make it and no report was given. Student Concerns Jared Ross reported we re still receiving low numbers of applicants for travel awards. Students are encouraged to apply for these awards. LSSU Student Subunit Tyler Jackson reported that the LSSU subunit was awarded the NCD most active subunit. Currently they are working on a memorial for a past student. Activities for the year included: assisting with the Aquatic Research Laboratory s Atlantic salmon egg take, attending an environmental summit, continuing work with the Hiawatha Sportsman s Club, and assisting with senior thesis projects. MSU Student Subunit Rebecca Blundell reported that new subunit has 40 members and 4 committees responsible for planning events. Their past activities include a river cleanup and recyclable collection. Also hosting an annual harvest banquet. Water Quality - Doug Bradley was not present and no report was given

5 Old Business Dave Clapp reported that election closed January 28 th and Dan Okeefe was elected as president elect. Installation of New President Patrick Hanchin was installed as the new Chapter president. Installation of New President-Elect Dan Okeefe was installed as the new president-elect. Installation of Secretary/Treasurer Billy Keiper was reinstalled as secretary/treasurer. New Business Awards Presentations Dave Clapp presented with Past-President Award. Mark Tonello presented Mart Williams with the Hazzard Award and Andy Nuhfer with the Leonard Award. Patrick Hanchin introduction and goals for 2013 Asked membership for committee help. Currently there are no Ictalurid, Salmonid, and Walleye committee chairs. Contact Patrick if interested. Plans of work for the year include following in Dave s footsteps with focus on telling our story. Patrick will solicit members for articles that help tell our story (i.e. Commercial fisheries in the Great Lakes). Announcement of a movie contest to help tell our story. New subunits and how voting on Excomm will handled Nominating committee is currently the Excomm. Need to vote on bylaw change Adjournment - The 2013 business meeting was adjourned at 5:00 pm
