6 2013 Exhibit/Sponsor Contract Rules and Regulations This is a wonderful opportunity to showcase your services to the attendees of International Association of Eating Disorders Professional Foundation s (iaedp ) Symposium 2013 and to be included in our virtual exhibit hall on iaedp.com. The undersigned, hereafter referred to as the participating organization, hereby applies for space at the iaedp Symposium The participating organization understands that this becomes a binding contract once it is completed, signed, submitted and iaedp returns the signed acceptance copy of the contract. Participating organizations hereby acknowledge receipt of and agree to abide by the Exhibitor Rules and Guidelines of iaedp Symposium 2013 which are made a part of this contract. This contract must be completed and signed below in order for processing to be completed. 1. Participating organizations are permitted to display only products/materials owned by the organization. There may only be one participating organization per booth and it will be listed as shown on the application. 2. Each booth space includes a draped table display (for both tabletop) and 1 chair. Additional costs for electrical, audiovisual, etc., are the responsibility of the participating organization. Upon acceptance of the application, order forms will be distributed by the convention services provider chosen by iaedp. 3. iaedp will not be responsible nor provide additional security or storage space for participants over and above the general security requirements of the building. 4. Only written cancellations are accepted and must be received at the iaedp office no later than January 15, One half of the registration fee will be refunded on requests received on or prior to January 15, No refunds will be issued after January 15, The organization agrees that neither the Association, the City of Henderson, and the State of Las Vegas and their officers, directors, members, agents, and employees shall be liable for any damage, loss, harm, or injury to the person or property of the organization or any of its officers, directors, agents or employees resulting from theft, fire, water, accident or any other cause. 6. The organization shall indemnify, defend and hold harmless the Association, the City of Henderson, and the State of Las Vegas and their officers, directors, members, agents, and employees from and against all claims, demands, suits, liability, damages, losses, costs, attorney s fees, and expenses of whatever kind of nature, which might result from or arise out of any action or failure to act on the part of the participating organization or any of its officers, directors, agents, or employees. 7. Participating organizations will assume all costs arising from the use of patented, trademarked, franchised, or copyrighted music, material, devices, process or dramatic rights used on or incorporated in the organization s booth space. The participating organization shall indemnify, defend, and hold harmless the Association, their officers, directors, members, agents, and employees from and against all claims, demands, suits, liability, damages, losses, costs, attorney s fees, and expenses of whatever kind of nature, which might result from or out of the use of any such material(s) described above. 8. 9 This year at the The Westin Lake Las Vegas Resort and Spa, iaedp will partner with more than 50 organizations to create an exciting and innovative Exhibitor Show. Our exhibitors are introducing themselves to iaedp members and visitors online through the Virtual Exhibit Hall. It is suggested that you create a unique portal or landing page for these visitors. The following illustrates how the logos will be used on iaedp.com. Each logo will be a hyperlink to the organization s designated website page. Participants will be listed by Category. Category 1 is Presidents Council; Category 2 is Symposium Sponsors; Category 3 is Exhibitors. Categories 1 and 2 will be arranged alphabetically. Exhibits will be listed in the order their exhibit contract, registrations, and payment is received and their logo has been electronically received by iaedp. Logo must be 144 pixels wide by 89 pixels high in jpeg format. The virtual exhibit hall will open in October 2012 and close on May 31, Exhibitors must provide word description of your treatment facility or organization, with contact information and website, to be included in Symposium Program Book. If you do not provide, you will not be included. Please note: You must submit your description, logo, and url information each year. Last year's information was deleted.
