1 SAA BOD Positions President Executive Board Oversees SAA as a whole and acts as the face of the organization Acts as the liaison between CAAA board of directors and SAA board of directors Works with all councils to make sure that all events are properly organized and executed on time Acts as the problem solver for the organization Responsible for making all room reservations Booking everything needed for SAA conferences: o Flights o Hotel o Putting together SAA marketplace items Attends all e-board meetings, SAA BOD meetings, and weekly meetings with advisor Speaks at various CAAA events Responsible for assigning and writing applications for CASE ASAP awards Responsible for writing and sending correspondence with all SAA members Help out wherever is needed and make sure that e-board is on task and completing all responsibilities In charge of building relationship with ASUCD Executive Vice President Executive Board Working closely with the executive board to ensure all tasks are completed on time Provide support to the VP s Responsible for SAA bank account and keeping finances organized Attends all e-board meetings, SAA BOD meetings, and weekly meetings with advisor Speaks at various CAAA events Help out wherever is needed and make sure that e-board is on task and completing all responsibilities Vice President of Events Executive Board and Events Council Responsible for overseeing all SAA Networking events Responsible for making sure all SAA Networking events are on time and executed in a professional manner Schedule and lead all council meetings Makes sure everyone in council has all the support they need
2 Attends all e-board meetings, SAA BOD meetings, and weekly meetings with advisor Reach out to other student groups on campus to educate them about SAA events and programs Responsible for preparing (along with event director) information to be presented at prep meetings, or coordinating with the Center for Leadership Learning Recruit, oversee, and delegate tasks to members of the Events Committee Attend weekly meetings with event directors while their events are being planned and executed Sit in on all initial marking meetings for each event Events Director (We are accepting 3 Events Directors) Events Council Responsible for attending all BOD meetings year round and meetings with advisor while event is being plan and executed Works collaboratively with two Co-Event Directors to execute SAA s three networking events: Aggie Diner, Interview with an Aggie, and Take an Aggie to Work Create Facebook event and send invitations out to all members Create event description and registration blurbs for both students and alumni o Meet with CAAA staff member to get registrations online Meet with Director of Alumni Relations to discuss number of alumni attendees Work with Marketing Director to create a flier or to market the event Recruit alumni and students for event Reserve rooms through President Act as main contact for students who have questions about the program Delegate jobs to committee member or within the council if needed, and help other council members with their events as well In charge of catering, location, theme, decorations, program, slideshows, etc. Create pamphlet showing alumni seating arrangements; include UCD degree and career information Print out business cards for all registered students Print out name tags for all registered students and alumni Work with VP of Events to plan prep meetings Work with VP of Events to plan prep meetings and résumé workshop Work with Director of Alumni Relations to match students with alumni for interviews Match students with alumni and distribute contact information to each Follow up with students to ensure they are contacting alumni Write and send thank you cards
3 Alumni Relations Director Events Council Attend all council and BOD meetings Create and cultivate relationships between SAA and alumni participants stewardship of alumni Responsible for working with all event planners to contact alumni through CAAA databases Keep track of all alumni list serves Keep track of who attended which events Responsible for ing all alumni for every event Work with CAAA Alumni Communication Officer to solicit alumni volunteers through e-newsletters, magazine, LinkedIn, and Facebook Reach out to various campus departments to find alumni in specific fields Vice President of Community Service Executive Board and Community Service Council Responsible for overseeing council making sure deadlines are met in a timely and professional manner Schedule and lead all council meetings make sure everyone on council has support they need Attend all e-board and BOD meetings Attend all weekly meetings with SAA advisor Recruit, oversee, and delegate tasks to members of the Community Development Committee Work closely with Aggie Classrooms Director to ensure that the program is successful and that all projects are completed in a timely manner o Help decide which classrooms to sponsor at the different levels of involvement o Apply for grants for classroom field trips to UC Davis o Keep connected with previous Aggie Classrooms schools o Liaise with Aggie Classroom sponsors Support Community Development and Community Service Directors for the planning of events and programs Aggie Classrooms Director Community Service Council Attend all council and BOD meetings Responsible for the award winning Aggie Classrooms program making sure that all tasks are completed in a timely manner Help decide which classrooms to sponsor at the different levels of involvement In charge of all mail and s directed to and from Aggie Classroom teachers
4 Schedule and recruits board members to help with all levels of involvement with each classroom o Packing boxes o Pen pal letter writing o Classroom visits Helps find sponsors for all classrooms Community Service Director (1) Community Service Council Attend all council and BOD meetings Support other council and board members as needed In charge of organizing community service events once per quarter o Includes rides, locations, what the event entails, etc. o Decide if the event should be an SAA BOD event or an open SAA event Plan SAA s involvement in Relay for Life o Attend all captains meetings for UC Davis o Come up with theme for teams o Plan fundraising events External Community Service Director (2) Community Service Council Attend all council and BOD meetings Support other council and board members as needed In charge of organizing community service events once per quarter o Includes rides, locations, what the event entails, etc. o Decide if the event should be an SAA BOD event or an open SAA event Grow and coordinate Senior Technology Night Coordinate Together we Can during Winter Quarter Reach out to other on campus community service organizations and establish a relationship with SAA o Coordinate involvement with community service listservs Vice President of Outreach Executive Board and Responsible for overseeing council making sure deadlines are met in a timely and professional manner Schedule and lead all council meetings make sure everyone on council has support they need Attend all e-board and BOD meetings
5 Attend all weekly meetings with SAA advisor Recruit, oversee, and delegate tasks to members of the Membership and Public Relations Committee Oversee all promotional materials (flyers, posters, etc ) Work with CAAA Special Interest Program Officer and Regional Chapter Programs Administrator to reach out to local and remote alumni Sit in on all initial marketing meetings for each event Work with event director for each event to schedule board member tabling, reserve tables at the MU and dining commons Help membership director plan and execute SAA Info Night (1 per quarter) and any SAA social events Marketing and Public Relations Director Attend all council and BOD meetings Work closely with each event director to design marketing plans Work in the CAAA office to design, format, and print all flyers, posters, and buckslips o Responsible for creating promotional materials that are attractive to students Get all promotional material approved by SAA advisor and SAA president Maintain the Aggie Traditions Facebook page in conjunction with the Traditions Director Expand SAA s online presence through Facebook, creative media, and Instagram Technology Director Attend all council and BOD meetings A new position for the year Have the responsibility of building the new SAA website Working with Creative Media to improve the Aggie Traditions App on the ios and Android platforms Work with SAA Media Director to design graphics and edit promotional videos Traditions Director Attend all council and BOD meetings Responsible for planning and execution of both Pajamarino (homecoming weekend) and SAA presence at Picnic Day (Spring quarter) Responsible for attending all BOD meetings year round and 1x1 meetings with advisor while events are being planned and executed For Pajamarino o Secure sponsors and vendors research appropriate food and beverages
6 Thank you cards to all sponsors and vendors after event o Book performance groups on campus o Contact Band-uh and athletics o Obtains police permits o Plan out games and prizes o Responsible for writing and sending press release Market and plan events around the other 50 Aggie Traditions Membership Director Attend all council and BOD meetings Liaise with CAAA membership manager and membership assistant to promote SAA membership and the Check it Off Program Recruit and coordinate volunteers for membership tabling Plan and execute SAA member recruitment events o The Buzz, activities fair, resource fair Help VP plan and execute social events o SAA Pool Party, Bowling and Pizza Nights, etc Responsible for planning and execution of SAA Info Night (1 per quarter) with help from the VP Maintain the Buddy Mentorship Program with recruitment of buddies and at least two buddy events per quarter *all positions are subject to change depending on the needs of the board next year
