1 Do Something Amazing this Christmas Whether in your family, church, place of work or school, you can do something at Christmas for St Vincent s and give the gift of hope this year. Some Ideas Coffee morning o Use your town or church hall and sell hot drinks and cakes, giving people an opportunity to meet up and chat o You could also make bacon sandwiches or go festive and sell mulled wine. Bake sale o Bake buns, mince pies and other festive treats to sell. Tombola o Ask local shops and businesses for donations and set up the tombola in your church or church hall. o Try a bottle stall with everything from whisky to ketchup for a tombola with a bit of a difference. Carol Singing o Get a group of people together to spread Christmas cheer and get your community in the festive spirit. Craft Stall o Get creative and set up a stall to sell handmade crafts. Christmas decorations, cards and stocking fillers are always popular! Hold a Christmas Fair o Combine as many of these ideas as you like with your own and hold a fun and festive Christmas Fair

2 Fundraising Checklist Keep on track for a fantastic fundraiser! If you need some inspiration look at our A to Z of ideas or check the St Vincent s website to see what other supporters have been up to in the community. First Steps Choosing what you are going to do! Do your research and know your audience. o What is going on in your community already? o Who would you like to attend or participate? What do they enjoy? Chat with the team here, we re on hand to talk through any ideas you have for your event. Preparation Let us know what you have chosen to do; we can help with support and resources. Recruit people to volunteer o Think about what skills and knowledge the people around you have and how they can help. Make a timetable for your event to keep you organised and on track. o Give yourself time to prepare and organise each stage of your event. o Let your volunteers know when and how you want them to help Set a date, check other local event calendars to prevent conflicts and be mindful of bank Holidays, school term times and big sporting events. Pick a venue or location. o Book early as places can fill up very quickly, particularly on weekends. o Make sure that it is suitable for the time of year and type of event you will hold. o Make sure they can accommodate your requirements. o Think about what equipment you will need and whether this can be supplied by your venue. o Ask about licencing! If you are serving alcohol or holding a raffle you might need a licence from the council, get in touch with us at St Vincent s and we can help you with any applications.

3 Set a budget! o All events cost a little bit to run, plan early to avoid any nasty surprises. You may decide to take expenses out of the amount you fundraise from your event or fundraise separately for these. Set a target! o Get motivated by setting a goal, look at the shopping list and see what your event could fund. o Be realistic about where you aim, and remember that every penny makes a real difference. Promotion o Let everyone know about your event! Tell family, friends, colleagues and anyone else you can think of! o Put posters and flyers around your community, you can use the St Vincent s empty space posters and fill in your own details. o Put out a Press Release, we can help you write one and get the most publicity possible. o Social Media is a great tool for promoting your event and getting lots of attention! Follow us on and Facebook and we can share your event with all our followers. o Online sponsorship can help raise money and awareness! Look in your pack for help making your own JustGiving page.

4 On the day Write a checklist to help you remember everything you need to bring on the day. Prepare a float in case people need change. Brief the volunteers to make sure everyone know what they are responsible for. Make sure you have information on St Vincent s available so people know how their help and support is making a difference and changing lives. Take photos for press releases and newsletter articles. Have fun! Following up You can use the example event plan as a guide! Let us know how it went! We would love to feature your event in the St Vincent s newsletter. Say thank you to your volunteers and everyone that helped, if you send us names we can send certificates or letters too! Pay in your money to the Support Centre, we can accept cheque, cash or BACS. 5 Holding a Christmas Fair for St Vincent s St Joseph s parish in Wetherby has been hosting the St Vincent s Christmas Fair since The fair has grown every year and raised an impressive 1818 for the Support Centre in 2014! Cathy Overall has been helping since the first fair, and co-ran the event for the first time in Cathy shares her thoughts on getting involved with St Vincent s and running the Christmas Fair; Cathy: I have been involved with the SVP for about 3 ½ years since I moved close to Wetherby to be near to my family. I feel very strongly about giving to charity, I have worked as a nurse and a health visitor so I know about deprivation in Leeds and the struggles people can face. I initially joined the SVP to help other people. Through my SVP conference I found out about St Vincent s Support Centre and I feel it is a cause more than worth supporting. Organising the fair has helped me get to know more people in the local area; so many people have been very helpful and keen to get involved. The Christmas Fair has been a fantastic way of bringing the parish together as a community. Everybody got involved in some way, either through the planning and organisation, baking and creating things to sell, helping on the day or coming along to buy things and support the event.

6 It was a good way for our Conference to show the SVP in action, helping local people. It also helped spread the word about the community projects and the other good works the SVP does across Leeds. Have you done anything similar to the Christmas fair in the past? I really like to make the jams and chutneys that I sell at the fair, so I treat running the event and preparing for it like a hobby. Before I moved to Leeds, I lived in Salisbury and had a big garden, so I taught myself to make jams and sold them for charity. I retired early and took on three allotments, giving me a lot of fruit and veg to work with; I improved on my baking and developed my own recipes for preserves, pastries and cakes. I find that making things for charity is a good use of my time and uses my abilities to help others! How did you initially become involved with St Vincent's? The first Christmas Fair, in 2012, was held in the church hall of the church I attend. I offered to bake for the fair- and became more involved over time! This is the first year I've taken on the full organisation of the event. I am generally very busy with my family and other commitments, so I don t feel I have time to support St Vincent s more regularly throughout the year. Taking on the Christmas Fair I can use my skills to support St Vincent s in a way which fits into my schedule, and with what I enjoy doing in my free time! Do you have any advice for anyone considering holding their own event? Involve other people as soon as you can, you have the opportunity to find out what skills there are available in the people around you. I am always surprised how many people are happy to join in and lend their talents to helping out.

7 I would also advise people to plan their event in lots of time, to make sure they have thought about everything and left enough time to prepare. For a Christmas fair, I start planning and looking for Christmas around March, to give the designers plenty of time to source materials and ensure that their things are available. Holding an event, whether large or small, has so many other benefits as well as fundraising. A bake sale or coffee morning can be a social element after mass and let people get to know each other better. When a group of people work together to make an event work, it becomes something they can own and be proud of, growing a sense of the parish as a community. Look at the resources you have within your parish, the spaces available and the places to publicise your event. We used our parish bulletin and newsletter to spread the word. Some people can spare time to help, but not money, while for others in the parish it is the opposite. Let people know that they can help in any way. For any event you hold, there will always be a level of expenditure. At St Joseph s we feel it s very important that all the money raised goes to St Vincent s, where it will be put to use helping local people in need. You can quite easily fundraise to cover the costs of expenses for an event. For the Christmas Fair, I am selling marmalade after mass and we are planning to hold a coffee morning. The conference ran a meeting of the Wetherby Friendship Society, providing tea, cakes and a talk for older people in the parish. At a cost of 1 each we raised 50. The cost is 1.46 per serving with no profit. Use a budget to track expenditure. If you are selling food or refreshments, work out the right price to charge to get a good return on your investment. Sell 30@ 2.00 = 60 ( ) = cash profit Sell 30@ 2.50 = 75 ( ) = cash profit Sell 30@ 3.00 = 90 ( ) = cash profit

9 A Christmas gift that makes a real difference Your fundraising will make a lasting difference to families and individuals in need in the local area. Money you raise can give: 5 A one-to- one support session for someone struggling with long term unemployment, a trained adviser can offer practical advice to help write a CV and search for jobs. 10 A food parcel for a family in crisis to ensure three full meals a day for three days. In the hardest times they face, your support can make sure they do not go hungry. 20 Christmas presents for a child whose family or carers could not afford gifts for them, making sure that as many children in Leeds as possible have something to open on Christmas morning to show they are cared for. 100 A place for an adult on a basic skills course and all the equipment they need for a term. This teaches reading, writing, maths and ICT in a supportive and non-judgemental environment to develop skills and self-confidence. 200 A full Christmas dinner, games and a gift for ten vulnerable adults at the St Vincent s Christmas Party. For people who would be alone over Christmas, the part gives festive fun and an opportunity to build new friendships. 500 Expert help and ongoing support to a person in debt, helping them to manage their own finances and keep themselves and their family out of debt in the future.

10 Christmas Case Studies 1) Ethan is 5 years old. He lives with his mum Amy in supported housing. Amy is a young mother and had fled previous domestic violence from her mother s partner in their family home. On Christmas morning, Ethan woke up to presents from Father Christmas, and enjoyed a Christmas lunch with his mum. St Vincent s had given Amy a hamper of food with Christmas treats, and gifts that Ethan would enjoy. Without this support, Amy would have been unable to afford gifts for Ethan. Amy had told her support worker that she was considering taking Ethan to spend Christmas in their family home. Despite the risk of violence to herself, Amy knew that Ethan would have presents to open there. Without worrying about how she would afford food and the gifts Amy wanted her son to receive, the pressure was reduced and Ethan had a calm, trouble free Christmas playing with his mum. 2) Julie, a support worker who had given a hamper for a new client, a young single mother, told St Vincent s: I ve just witnessed a young mum, having found out she has no income until the New Year, arrive destitute with nothing at all for Christmas, she left with presents for her three children and food to last her until the food banks open again. Most importantly she left with a renewed faith in humanity; it s what Christmas is all about. 3) Thank you so much for the food parcel and toys for my boys, the food made Christmas a lot less stressful. We had nice chocolate and biscuits for the kids but also tinned food that will last us into the New Year. The toys were a lovely thought and the boys were so pleased with them.
