Our conference provides a medium in which mental health clinicians come together to exchange innovative ideas about how to better serve our clients. It is important to keep a high level of connectivity in order to exchange new approaches as well as to educate as many people as we can about what services we offer to those in need. The Florida Mental Health Counselors Association (FMHCA) is the only organization working exclusively for the mental health counseling profession. Mental health counselors diagnose and treat psychological disorders, support clients through difficult life experiences, and teach the skills and attitudes needed to bring about positive behavioral change. The FMHCA Annual Conference is the premier gathering for sharing ideas, discussing challenges, gaining insights and finding solutions in this field. 6 CANCELLATION POLICY FOR SPONSORSHIP More than 90 days prior to the start of the conference, receive 50% refund. 31 to 90 days prior to the start of the conference, receive 25% refund. Less than 30 days prior to the start of the conference, no refunds will be issued. TERMINATION POLICY: We reserve the right to terminate your registration and sponsorship at any time prior to the start of the conference. If we exercise this right, we will provide you with a notice of termination no later than 72 hours prior to the start date and refund your sponsorship fee. We further reserve the right to immediately terminate your registration at any time through the end of the conference, and your sponsorship fee will be forfeited, if you engage in behavior or activity that has or may cause damage to our brand, image or has or may impair our management or operation of the conference, each as determined in our sole discretion. LIMITATION OF LIABILITY: We will have no liability with respect to any loss, liability, claim, damage or expense arising from or under this agreement or your registration or sponsorship, except to the extent and amount of your paid sponsorship fee. It is the responsibility of sponsors to take all banners, brochures and marketing materials with them upon the conference s close. All items remaining on the show floor will be discarded. It is the responsibility & discretion of the conference participant to provide event or liability insurance for any damage caused by their own negligence. By registering to occupy an exhibit table, the exhibitor maintains full responsibility for any damage caused to the hotel/ event venue by your own exhibit materials. You shall not tape, nail or glue any materials on property owned by the hotel/event venue. Any damage or labor hired as a result will be the responsibility of the exhibiting company.

7 EXHIBIT DESCRIPTION Table top exhibits will be set up in the main registration hall/conference foyer. Sponsors will have a table assigned to them. Sponsors will have access to these exhibits for all days of the conference. (Please see SET UP and BREAKDOWN for more information.) Electricity and other special requests can be made when filling out the Exhibit/ Sponsor Form. Tabletop Inclusions 6 draped table and 2 chairs PRE AND POST-CONFERENCE ACCESS TO THE CONFERENCE ATTENDEE/ EXHIBITOR LIST: This list is available by request beginning two weeks before the conference start date and by request immediately following conclusion of the conference. TABLE ASSIGNMENTS Booths will be assigned by conference management and will be sent out approximately two weeks prior to the conference. SET UP SETUP & BREAKDOWN Tables will be available starting Thursday, February 1st at 5:00pm. Check in will be at the registration desk. 8 SHIPPING EXHIBIT DESCRIPTION Any freight or delivery needs that exceed five boxes under 20 pounds each must be communicated to the Convention Service Manager in writing and will be priced at the time the Hotel receives the details. The Hotel will not load, unload, package, crate, or move any items without prior notice as stated and charges agreed upon by both parties. Charges are as follows: 1-5 Boxes up to 20 lbs each$8.00 per box 6-10 Boxes up to 20 lbs each$12.00 per box Boxes$15.00 per box Bulk weight 100 lbs intervals $65.00 per/ 100 lbs. Over 500 lbs$.80 per lbs. Larger shipments must be coordinated in advance to ensure proper storage and shipping procedures. Should you be shipping boxes for your meeting, they must be addressed to the attention of your group s On-Site Contact and marked with the name and date of your function. Due to limited storage space, we request that shipments not arrive any earlier than three days prior to the group s arrival.
