Coedffranc Primary School PTA Annual Report Sept 2016 - Aug 17

Chairperson Report Treasurer Report Headteachers Comments Constitution Review / Committee Update Planning the year ahead Recognitions and acknowledgements

Chairperson Report This has been my first year in the position of Chair of Coedffranc Primary School PTA. Last year was very busy for the group. Lots of the traditional events took place, but new and exciting events were also introduced, such a Quiz Nights and a Murder Mystery Night. Our membership grew in the School Year 2016-17, and we continue to aim for further inclusion and participation as we go forward. The group can only function with the dedication and support of the school, the children, parents and the wider community. However, to enable us to continue in our fundraising efforts, we need to encourage wider involvement in the work the group does. So please, if you can spare and hour or two once a month to come to a meeting, or give us an hour or two to help with the Copper Fortnight Count or help sell sweets at the school disco please get in touch. The advantage of having a larger membership is that the tasks of the PTA do not fall to the same individuals, and that managing events can be shared amongst the group. It also helps us to come up with new ideas, new ways of thinking and encourages innovation.

There is an awareness within the group that our continued success may mean we need to apply for charity status. We would hope to receive some support from parents and the wider community to help us achieve this aim. Support with accounting and auditing and legal advice may be required. So if anyone has, or knows, somebody with these skills who may be prepared to offer some pro bono work, please contact the committee group or come to a meeting. My final aim is to encourage a wider use of digital communication. Most people have access to e-mails, apps and social media. This will lead to a reduced reliability on the school office and might aid to increase participation. However, we need to ensure any such platform we may choose is suitable for purpose and can be easily used. In the last week alone, and for the first time, we have been able to promote this meeting via the ClassDojo app. There are many personal thank you s that I need to make, and I will try to ensure I do these at the end of this report and do my best to make sure that no-one is left out! Karen Lewis Leo s mum and PTA Chair

Treasurer Report What a great year of fundraising it has been. We started this school year with a balance of 1163.42. With support from the pupils, parents, teachers and the community we have achieved the following: Income / Renevue A total of 3522.39 was raised. Expenditure The total cost of putting on events and buying supplies for the PTA was 1162.47 Profit / Loss The group made an overall profit of 2359.92 Funded items The group was able to provide funding to the school totalling 1871.26 Balance This left the PTA with a balance at the 1 st September 2017 of 1652.08

In the past year we have provided funds to purchase: Apple TV - 590.88 Easel - 166.65 Water Toys - 317.76 Thrive Room Equipment - 151.36 Easter Eggs (Easter Bonnet Parade) - 14.00 Sensory Room Equipment - 56.00 Library Equipment - 44.00 Netball Kits - 294.00 Pantomime Sweets (Whole School) - 109.67 Teddy Bear s Picnic snacks (Whole School) 126.94

We have also allocated funds for the forthcoming year: School myth mural - 1000.00 although more may be required to cover the actual cost and fundraising will target any outstanding amounts required by the school Tablet chargers and cases - 300.00 The School Lottery continues to raise valuable funds outside of normal fundraising activities. The group need to continue to push this amongst new and existing parents. The money raised by the lottery alone in the year Sept 16 Aug 17 was 1089.10. As part of the new constitution, new measures are in place to make the job of treasurer easier. Further updates will also be introduced in the coming months. Two people are always now required to count money raised and provide signed income sheets which will be shared as part of the accounts themselves. I m sure you will all agree that the PTA had a successful year last year and we are targeting a higher income in the year ahead so the good work can continue. Tracey Woods Brad s mum and Treasurer.

Headteachers Comments As Headteacher I m absolutely delighted with the way the PTA has developed this past year. We have seen a greater involvement from more people than ever before and this has resulted in more money being raised which feeds directly back to every child. On behalf of governors, staff and pupils I d like to take this opportunity to say a massive thank you to all those who have given their time, effort and ideas to supporting the school in this way. The level of dedication and professionalism displayed by all involved is an absolute credit. We are building a powerful and exciting school community here in Coedffranc and the PTA is a big part of it!! Diolch yn fawr Geraint Jones Headteacher

Constitution Review / Committee Update Early on last year and with the idea of the group looking to achieve Charity Status, it was advised that we look at our constitution and if appropriate amend and agree it s adoption. The constitution has been re-written and reviewed throughout the last school year and we are very proud to say, we now have a constitution on which the group will seek approval to implement at the AGM. It tightens up our aims and objectives, how requests are made for funding by the school and how money is accounted for at the end of each event to make the work for the treasurer easier. The constitution document will be vital as we move forward and seek to obtain Charity Status. I also believe that going forward shared responsibility within the committee roles can be effective. As the chair and vice- chair work together so too can co-secretaries and co-treasurers. I would strongly recommend this continues, not only to ease the burden on one person but with the potential for further delegation within the roles (for example: one secretary responsible for digital marketing /social media presence and the other for minute taking / letter writing). The current roles are: Chair / Vice Chair / Secretary x 2 / Treasurer x 2 / Teacher representative All incumbent officers are eligible for re-nomination, having all served one term of a maximum three.

Planning the year ahead As this report is being drafted, events are being planned or are already underway. Due to the timing of the AGM, to date we have planned only for this term. Copper fortnight is already underway. A Halloween Disco is planned and we look forward to working with our stand in DJ s! Quiz night date tbc and we hope that we can hold this in the school itself. Further discussion needed with the school around planning, before any official notice can be made. Christmas Fayre Still in planning as this is a Coedffranc Community Council run event. However, requests for raffle prizes and silent auction prizes are now being made. More information will follow shortly. Christmas Disco 20 th December 2017.

Recognitions and acknowledgements It is important to recognise everyone who has played a part in making this past year so successful. There are probably too many individuals to thank personally. The Pupils of Coedffranc Primary School. The children are the focus of this group. Lets not forget that they nag their parents to attend the cake sale, get us all to collect the coppers and make sure they don t miss the discos. It is for them and for the school, of which they are so proud, that we continue to fundraise. The Parents / Guardians / Carers To those of you who give the money, provide the cakes to sell, help at events and enable the PTA to run, we thank you. The Staff of Coedffranc Primary School Firstly we try our best to clean up after events sorry if it s not always left the way we found it. The staff at the school are extremely supportive and attend as many events as they can. They also know what the pupils of the school need to help their education (academic and social), and without their input we wouldn t really know how and where to spend the money we raise. There are also support staff who attend our meetings and serve on the committee and spend time supporting the work of the group in ways not always seen. Then

there is Pat the Caretaker always the last to leave and always able to lend us an extension lead when we need one. Thank you all. The Community We rely on community support to achieve our goals. We have local and national businesses donate to our fundraising activities. The community attend events such as the Christmas Fayre and help us to hit fundraising targets. The ongoing support of the community cannot be stressed highly enough. I hope these bonds can be strengthened in the years to come. Mr. Jones This is a personal thank you as well as a thank you from the entire PTA. Mr Jones attends as many meetings as he can. He is always supportive of the group and has the most amazing ability to throw a quiz together! We are also about to see him and Mr Astley debut as our stand in DJ s I m not sure how many other headteachers would man the decks for the PTA. Personally, since I became chair, he has been nothing short of amazing. He has encouraged me and takes time out of his busy schedule to meet with Emma (Vice-Chair) and I, making sure we are working together on planned events and shared objectives. So Mr Jones, please accept my thanks and gratitude for your support over the past year.

The PTA Committee group Yes, it lots of fun, but behind the scenes are a committee that have to deal with my e-mails, texts and messages. Every person sitting on the committee has a proper job and yet they give their time to the PTA outside of normal meetings, events and other family commitments to ensure the smooth running of the group. Each committee role comes with responsibilities and is not taken on lightly. Yet, every one of them fulfils their role with professionalism. A massive thank you to all who have volunteered their time and skills to these roles in the past year: Emma Jenkins, Gemma Addis Fuller, Gemma Jenkins, Rachel Begley, Tracey Woods and Natalie Dyer The PTA Members You know, this wouldn t work without everyone who attends the meetings, spends time making hot dogs, teas and coffees or serving sweets, stapling raffle tickets to letters, wrapping prizes and nagging others to attend the events we put on. Every PTA member has a role to play and the successes we ve had would not have be achievable without you. You are all truly the heart and soul of the group. It is wonderful to have had new members join this year I hope you have felt welcomed and involved. So finally, to our amazing gang of volunteers: Thank you!!!
