INTERGROUP BUSINESS MEETING.3/14/12 MINUTES ~Open Meeting--------------------- Serenity Prayer---------------- Read 12 Traditions~ Declaration of Unity: This we owe A.A. s future: To place our common welfare first; To keep our fellowship united. For on A.A. unity depend our lives; and the lives of those to come. Chairperson: Steve Y.: If everyone can please turn off or silence your cell phones so not to disrupt the meeting that would be terrific. Just a reminder that all committee reports shall be submitted to the Intergroup Secretary after the meeting, or within 24 hours after tonight s meeting. We will be conducting elections this evening for new standing committee chairs as well as our liaison positions, these are 1 year commitments. The newly elected chairs will begin their service in May, so it will give you 2 months to work with the previous chairs until you take over. If you have stood and taken a position during the middle of the term you are fulfilling the commitment until May of this year. If you wish to re-stand for that same position by all means please do so and you will have to be re-elected for May of 2012 until April 2013. To our new reps., please make sure you have filled out the blue form with your home group name and pertinent info, and hand it to the registrar Gary B., before leaving tonight s meeting. If anyone has any questions throughout tonight s meeting please feel free to raise your hand, don t be shy Alternate Chair: Leroy H. This event has the amount of Speakers the Spaghetti Dinner has ever had in the history of its event. There are 30 Speakers with 1,219 years of sobriety. Thank you for the reps for taking the tickets. Tickets will be available at the door.. Need Intergroup rep volunteers. HUGE EVENT FOR INTERGROUP PLEASE FIND A WAY TO SHOW UP GIVE BACK TO THOSE WHO HAVE GIVEN. For volunteer work the times to show up are 10am at the Finland House for set up and 5:30pm. It s up us to set up and break down with in one day, also to help the event run smoothly. The count down will start at 7: 15pm. Treasurer: Mark H.: Total revenue is 37% higher in 2012 than 2011, mostly because of higher literature sales and higher group contributions. Additionally expenses are also higher, but only 16%, mostly because of higher literature purchases. Overall, the Intergroup s finances are strong. Registrar: Gary B.: The minutes were e-mailed to the database as per the By-Laws of PBC Intergroup The minutes were sent to the database upon receipt from the Secretary. The database was updated after the last PBC Intergroup Meeting. Office Manager: Ed B.: Total Office Activity for February was 649 compared to 679 for last year. Total Website Activity was 1,985 compared to 2,481 for last year. We have the Spring, 2012 Where & When meeting lists in stock. The Intergroup Office is open Monday to Friday from 9 to 5, and Saturday from 9:30 AM to 1:30 PM. General Service/ Intergroup Liaison: Jude F. (elections): District 8 Founders Day Dinner is June 16 th. There will be 2 speakers and tickets are for sale $10 each. It will be held at the Finland House. The meeting is free. (elections): SC Intergroup Business Meeting held 2-29-12 Chair - Sheryl opened the meeting at 7:00 PM with the serenity prayer and welcomed new group representatives. She asked the committee chairs to keep their reports brief as they had a full agenda. She also stated that the Intergroup Inventory will be conducted on March 24th from 2PM to 5PM at Delray Central House. Vice Chair Liz Liz advised that 58 group survey forms have been turned back in so far Treasurer Sarah The financial report is in the SCAAN and has a new easier to read format Secretary Cheryl No report Office Manager Pam T. Gave an update on the cost analysis of the Intergroup Office she has been working on for the past few months Committee Chair Reports: Archives Michael G stated that there will be a state archives convention in Cocoa Beach in the beginning of October Bridge the Gap Willie B 4 calls were handled this month Group Information Taylor no report Telephone Relay Zach reported that they need Groups to volunteer for the months of July through December, 2012 Where & When Todd Nothing to report Twelfth Step Bari W reported that they need more volunteers for the committee H & I Carey reported that all meetings are covered at this time Public Info Kathleen reported that the area libraries and the Delray Beach PD have been restocked with pamphlets and Where & Whens. She also requested and was granted an annual budget increase from $50 to $200 in order to continue stocking literature. SCAAN Maryanne Requested members email in article submissions Special Committees: Annual Picnic April 15th at John Prince Park. Billy was elected chair of the committee Serenity Scramble Golf Tournament Sarge stood for chair of the committee. Event will be on Oct.14th. Old Business: A tabled motion to form an ad hoc committee to examine the practices of the steering committee and the financial practices of intergroup was reopened for discussion. After some discussion, a motion was made and passed to call the question. A vote was taken on the original motion and failed to pass by a vote of 37-24 and the committee will not be formed. Minority opinion was given and there were no vote changes. New Business: None

(elections): During the month of February there were no new requests for P.I. Services.I made contact with Yellow Cab Company of West Palm Beach requesting information regarding placement of a bumper sticker on all of their vehicles with the Intergroup Hotline Number and a message about helping problem drinkers with help in quitting. I am still awaiting their response to this request. Also continued with inventory of AA literature at the various agencies who already have some supplies. 2. 12 Step List: Ed W. (elections): Always looking for men and women to do 12 step calls.3. Phone Volunteer: Luiz C. (elections): Hi, first I d like to thank the opportunity to serve our fellowship in this position, it has been a privilege. And also I d like to thank all the volunteers and friends that have supported and helped me.i will be rotating out with the other chairs, and am looking forward to my next service position. At the moment, all shifts are covered; still having a little difficulty with some forwarding because of the recent changes on various shifts, but it will hopefully be straightened out within the next few weeks. 4. Today: Alex A. (elections): The March issue of the Today is before you. This month s issue contains an insightful article by Dr. Silkworth regarding relapse. Make sure to mark your calendars on June 16 th For District 8 Annual Founder s Day Dinner to be held at the Finland House in Lantana. More information can be found the in the Tomorrow section of The Today. I would like to thank everyone for allowing me to serve as the editor of The Today for the past year. It has been a challenging and rewarding Service commitment. I am looking forward to handing over the duties to the next editor and will work with them for a smooth transition. All Groups are continued to be encouraged to submit group activities to the Today and all members are encouraged to share their experience, strength, and hope as well. Please send all submissions to: today@aa-palmbeachcounty.org and remember that all group activity submissions ought to be at least 2 months in advance of the event. 5. B-day Club/Today Subscription: Dennis C. (elections): 11 CELEBRANTS THIS MONTH. EVERYTHING IS GOING WELL. THE MEDALLIONS FOR JANUARY WENT OUT & WE WILL BE SENDING OUT THE MEDALLIONS FOR FEBRAURY THIS MONTH ALSO. I will be stepping down in May and my Position needs to be filled. Anyone interested, please see me after the meeting. 6. Website Committee: Trish D. (elections): I performed the following updates/changes to the website since the last Intergroup meeting: - Updated the meetings list online- Uploaded the Today and Minutes from February. 7. Group Contact Committee: Ryan R. (elections): I am new to this position so hopefully I will pick it up soon, but I have already formed a subcommittee with volunteers made up of men and women. We have visited a few groups and got some new contact(s) and I will be giving them to Gary B. (registrar) so they and their perspective groups can start be included in our monthly minutes. Hopefully this we start to bring new reps to our monthly business meeting as well. 8. Bridging the Gap: Carol G. (elections): We have added a couple of people to our volunteer list and it would be great if more Intergroup Reps. would remind their group members that we are

still looking for volunteers. I forwarded 6 clients information out of state and 1 to South County. We were able to connect a client with an AA member after her release from BHOP. Also, I take a BTG meeting into BHOP on the last Tuesday of the month at 3:00. If anyone is available I am looking for a speaker to fill the slot for March 27. 9. Where and When Committee: OPEN (elections): 10. Institutions: Katie C.: Your Institutions Committee currently brings 101 meetings a week to 41 facilities. We had 13 new volunteers this month. There are still plenty of opportunities for all interested in the rewarding service work. Plan to attend our regular meeting at the Triangle Club on Sunday, April 01, 2012.Orientation for new members at 4:30pm followed by the full committee meeting at 5:00pm. New volunteers need to have six months of continuous sobriety and will observe 2 meetings in facilities prior to active service. Hope to see you in April. Unfinished Business: none New Business: 1.
