AUGUST MINUTES OF THE BOARD OF DIRECTORS August 2, 2010 CALL TO ORDER Marcia Conway called the meeting to order at 7:35 p.m. Location: At the home of Barry Newman Present: Marcia, Dave, Liz, Barry, Kathy, Dick and Sue Absent: Tim and Fran PRELIMINARY MATTERS The minutes of the July 12, 2010 Board meeting were reviewed, corrected, and approved. Motion to accept: Dave Seconded: Kathy In favor: All in attendance TREASURER S REPORT After discussion about items on the report, The Treasurer s Report was distributed, read and approved. Motion to accept: Barry Seconded: Dick In favor: All in attendance There was a general discussion about various item charges/expenses regarding the Classic event and the Board questioned what funds were determined as Unrestricted vs. Special Event and could NVSC s Treasurer combine special events, in addition to the Classic, income and expenses for purposes of reporting. Barry made a motion that we define Special Event as an event or events relating to a venue where NVSC charges its members an entry fee and that matters of revenue and expenses would be reflected in the NVSC s Treasurer Reports in Special Events category. Sue seconded the motion.

COMMITTEE REPORTS Dance Committee: Joan McKinney, Liaison Tim Farris Marcia reports that on August 14 th, a dance instructor is needed to volunteer (to take Fran Mong s place) to teach a lesson with David Rodgers at the Harris Pavilion, Old Town Manassas, where The BelAires will perform that evening. Instructors are to be there at 7. Marcia handed out Joan s Dance Committee Report which states that Gene and Nancy Pope Pro Division Dancers, have agreed to teach the Fall Workshop in October and the Board should decide on how much to pay them. Also, Joan was very pleased with Jason and Holly s teaching, among the best we ve had. Tootie Brown had a great time and hopes to be invited back. Social Committee: Cris Gaines, Dick and Marion Prosser, David and Nancy Guilliams Sandra Traylor, Sam Wray, Barbara Jones. Marcia indicates that we need help with organizing the food for the Fall Workshop and Dance to be held at Ft. Myers in October. Dick and Marion are not available and Marcia will ask for volunteers. Charity/Fundraising: Kathy Miller & Nancy Cox, Co-Chairs Kathy reports $369 worth of merchandise was sold at the Classic. Public Relations: Barry Newman Barry reports that 7 surveys were completed and mostly good comments were made. Communications: Hello Shagger: Valerie Swiger, Liaisons Marcia Conway No report. Communications: Shag Rag: Liz Kestler Newsletter is ready for posting 8/3/10. Membership: Valerie Swiger Liaison, Marcia Conway There are approximately 250-260 members in the shag club. 2010 Capital Shag Classic: Sue Young and Marcia Conway, Co-Chairs Sue reports that the Classic was a big success. Sue is looking at other venues for possible party next year. However, many of the long time volunteers do not encourage an event next year, perhaps due to burn out. Marcia will poll newer members to get their take on this subject. Discussion followed. Music: Fran Mong, Chair No report. (p.s. Fran is absent due to broken bone in her foot.)

Web Site: John Romito, Chair Liaison Marcia Conway No report. OLD BUSINESS The fall workshop scheduled for October 16. The board discussed the matter of what to pay the instructors and deejay. Dave made a motion that we pay to the Pro-Instructor couple, an amount as stated in the Dance Committee s report attachment. Barry seconds. Since the dance lesson will be 90 minutes, with 30 minutes of practice, the start time was determined to be: 6 to 7:30 for the lesson; 8 to 11:30 for the dance. Food will be served immediately after the lesson. There was a lengthy debate about the admission fees. Members vs. Non-members; those taking lessons, or not; separate bookkeeping records; problem with change, etc. However, to benefit the club, it was determined and motioned as follows: Dick made a motion that NVSC charge one entry fee of $20 each for all attending. Liz seconds. In favor: Dave, Liz, Dick, Sue, Barry Opposed: Kathy The NVSC picnic on August 14. Not a lot of responses as many members are away on that date. Marcia will follow up with the food list. There were not many people at Rene s last week and recruits for food were slim. NEW BUSINESS The NVSC party at Fat Harold s during SOS. We need to make a decision as to how much we can expend for this free pour party for NVSC members only. Marcia explained that there would be more in attendance for Fall SOS and the costs were not as high as expected at Spring Safari SOS. After much discussion it was determined that we could reduce the formerly two free drinks per member, to one per member plus food for the event. Barry made a motion that an amount, not to exceed $350, which includes bar tip and food, would be allowed for the one free drink per NVSC member. Kathy seconded. The Free Drink at Rene s during SOS was discussed.

Dick made a motion for the Club to pay for 1 drink at Rene s for each member coming to Rene s during Fall SOS (September 22, 2010). Barry seconded. The Virginia Clubs party at SOS: Craig Jennings has requested that NVSC once again participate in this party at Fall SOS. It is a free pour for members of the many participating Virginia shag clubs. There was much discussion among the Board members as some feel our members don t participate as originally intended, and, some feel we should get an accounting (as we do at Fat Harold s) as to the expenditures. Dick made a motion for NVSC to contribute $200, with a stipulation that we get full accounting and receipt(s) for what the money is spent on, and suggested that future Board(s) make one donation per year for the SOS Club Parties. Kathy seconded. Note: the Board will invite Craig to present his opinion at the next board meeting. Gene Griffin, a dee jay at former Legends in Manassas has proposed Friday nights at Tommy s in Manassas. The Manns, Salpinis and Rapsons went there to see what it was like and had an enjoyable time. Board discussion, then, Sue made a motion to endorse Tommy s as a place for NVSC members to dance on Friday nights. Barry seconded. ANNOUNCEMENTS Barry announced that he needed someone to carry the flyers, etc. in the Green Bag and Dick agreed. The next board meeting will be August 30 th in lieu of September 6 th.
