Five Steps to Success 1. Planning Start Early! a. Determine the types of event(s) you would like to hold b. Create invitation & sponsor list 2. Teamwork, Planning Support & Benchmarks 3. Outreach a. Create a committee, consider working with local partner organizations b. Make sure you have board & leadership support a. Invitations to local, state, federal elected officials b. Seek Sponsors Start with a list of potential sponsors and begin getting the word out c. Don t forget the media TV, Radio, Newspaper, Online 4. Persistence a. Create a timeline to continue reaching out to elected officials, the media and other invitees leading up to the event b. Make sure your communications plan includes regular updates for sponsors, attendees, and the public 5. Thank You s & Notes of Success a. Always say THANK YOU to attendees, sponsors, etc. b. Let your supporters participants AND nonparticipants know how your event turned out

Understanding Elected Officials Elected by the public or appointed by someone who was elected by the public. Collaborate and negotiate with other elected and/or appointed officials. Seek funding for projects and programs in their district. Listen and address the concerns of the people they represent. Obtain testimony from people who are concerned about an issue or who are likely to be impacted by their actions.
Engaging Sponsors Vendors, businesses, corporations, organizations with a local presence Alignment with their mission, vision or goals Branding for their products/services Opportunity to increase revenue Leverage to get in the door Be direct with how they can assist Documentation of community giving and/or service
Creating Engagement Through Events Back to School Immunization Drive Media Brunch Legislative Breakfast Community (Outreach) Partners & Volunteers Appreciation Community Partners & Legislators Round Table Discussion Sponsor Existing Community Health Fairs & Events Meet/Ask the Doctor
Easier said than done not really 1. Involve your state association. 2. Include representatives in your Social Media and e-mail exchanges. 3. Publicly acknowledge your presence & partnerships at community events. 4. Gain permission to use their names/images. 5. Acknowledge dates that are important to them. 6. Serve as their direct contact. 7. Keep records of your interactions. 8. Add partnerships and supporters to your website. 9. Use elected officials, partners, sponsors, and media representatives as speakers. 10. Arrange opportunities for your CEO & other executives (including Board of Directors) to interact. 11. Support their events & initiatives. 12. Set regular times to connect. 13. Allow use of your center as a meeting place. 14. Ask representatives to serve as honorary chairs, co-chairs and event committee members. 15. Involve your staff and Board of Directors in making the ask. 16. Leverage advertising representatives to meet the news team. 17. Allow partners to promote appropriate products and set up displays in your lobby. 18. Include elected officials, partners, and media in volunteer recruitment & document their support. 19. Create Co-Op advertisement opportunities. 20. Ask them to host patient round table discussions regarding your products & services. 21. Give awards & recognitions; name wings of care or programs in their honor. 22. Host voter registration drives. 23. Connect them to resources. 24. Know and include their staff and/or family, as appropriate. 25. Say Thank you!
