This includes morning and afternoon breaks, as well as dessert/coffee following lunch. Representatives are asked to be available during these times. EXHIBIT REGULATIONS All Exhibitors must submit their applications and rep names by no later than June 19, 2017. All installations and removal of equipment and supplies must be executed by your company representatives. Hotel policies must be adhered to. Neither the hotel nor the University of Miami will be responsible for any displays, literature or product material left behind. Moving and/or relocation of any equipment in the exhibit area must be done by the authorized hotel personnel, and all electrical hookups and/or disconnection must be carried out by the hotel personnel authorized to perform this function. SPACE ASSIGNMENTS Exhibit placement will be assigned two to four weeks prior to the start date of the conference and only after completed exhibit registration and payment has been received. Exhibitors must complete an exhibitor application no later than June 19, 2017. Preferred space placement will be given in the order in which applications are received. Exhibitors wishing to avoid assignment of space adjacent to a particular competitor should indicate this on their application. The University of Miami has the right to alter the floor plan at any time to accommodate these requests. 5 EXHIBIT INFORMATION HOTEL ACCOMMODATIONS SPECIAL CONFERENCE RATE A block of rooms has been reserved for conference participants at a discounted rate of US $122/night + 13% tax/day for a one bedroom guest room. A Bayview room may be reserved for US $142/night + 13% tax/day. The rate is guaranteed only until July 3, 2017 based on the hotel s availability at time of reservation. The hotel extends the group rate 3 days pre and post conferences dates based on availability. After July 3, 2017, reservation requests will be considered on a space available basis. RESERVATIONS Reservations for the event will be made by individual attendees via online reservations at the Miami Marriott Biscayne Bay: Online reservations coming soon. For more information, call (305) 374 3900 and request the Motor Control 2017 Conference group rate. All reservations should be received by the hotel no later than July 3, 2017. All individual reservations must be accompanied by a first night room deposit or with a major credit card. Hotel will not hold any reservations unless secured by one of the above methods. PARKING RATES Daily Valet and Self Park: $15.00 Overnight Self Parking: $29.00 Overnight Valet $34.00 SECURITY Official Exhibitor Representatives are expected to provide coverage during the hours specified for viewing of exhibits. Neither hotel nor the University of Miami assumes responsibility for safety of the property of occupant(s) of the booth, its officers, agents or employees for theft, damage by fire, accident, or other causes. Damage to the site property or premises occurring as a result of action of booth occupant(s) shall be paid for by the occupant(s) of the booth. The exhibit ballroom will be locked each night. CANCELLATIONS AND REFUNDS Written notification of a cancellation must be received by the University of Miami Miller School of Medicine by June 18, 2017 to be eligible for a refund. A $750 administrative fee will be assessed for each booth cancellation. Space not claimed by 7:00 AM on Wednesday, July 19 2017, may be resold or reassigned without obligation to refund exhibit fees or to assign the exhibitor to another space, unless special arrangements have been made with the CME Office in advance.
