User Guide Seeing and Managing Patients with AASM SleepTM
Once you have activated your account with AASM SleepTM, your next step is to begin interacting with and seeing patients. This guide is designed to walk you through scheduling visits, managing your patients and conducting patient encounters. The AASM SleepTM Menu and Dashboard Navigating the AASM SleepTM website is easy. When you login to your AASM SleepTM account you will be taken directly to your dashboard, which is your home on the AASM SleepTM website. Getting Started Dashboard From the dashboard, you can access your schedule, view upcoming appointments and manage your account. PRACTICE Encounters Patients Within AASM SleepTM you will always find a blue main menu on the left side of your screen which will help you navigate the website to invite patients, schedule encounters, share files with your patients and create note templates for your patient encounters. Inviting Your Patients Inviting your patients to register an account with AASM SleepTM is your first step to making AASM SleepTM a part of your practice. Through the platform, patients are invited to register with your AASM SleepTM practice webpage using an invite link sent to their email. Once the patient has registered, they will be linked to your sleep practice and can request a visit with you or your staff. Registered patients can also begin tracking their sleep (either manually or via Fitbit ) through AASM SleepTM and can send messages and files to you and your staff. Managing Your Patients The AASM SleepTM platform gives you access to a substantial amount of information about each of your patients with the click of a button. Your patients can track their sleep as well as daily habits such as exercise, alcohol and caffeine consumption. With the number of patients you see, this data may seem overwhelming and hard to manage. The Patients page gives you a snapshot view of the status of each of the patients currently associated with your practice. Through the best and worst sleepers feature on AASM SleepTM, you can sort your patients based on whether or not they are getting at least seven hours of sleep each night. This will help you target interventions with patients most in need of an encounter with you. Sharing Files The experience of visiting with your patients over the AASM SleepTM platform is enhanced through the sharing of files before and after your visit. The files feature, accessible through the dashboard, is designed to allow you to share documents such as sleep study results, educational resources and questionnaires. Patients can also use this feature to share completed questionnaires, insurance information and other data with you prior to and following an encounter. When uploading a file, you can indicate who you would like the file to be shared with so access can be restricted to a single patient or expanded so information can be shared with all of your patients. It is important to restrict patient health information to the individual, while educational information may be shared with all patients. Secure Patient Messaging At the top right side of the AASM SleepTM dashboard, an envelope icon takes you to the messaging system. You can view messages from your patients as well as compose new messages through this system. The messaging system is an easy way to check in with patients following or prior to an encounter. Minutes 2087 4 0 0 new messages view all Compose Message Understandably, sometimes you may not want your patients to message you directly. Your Practice Settings on your practice s dashboard has an option to change your settings to prevent patients from sending messages to you or your staff. If you don t allow incoming messages, it will still be possible for staff to initiate messages with patients through the AASM SleepTM platform. Incoming Message Settings Select whether you want to grant the ability for any of your patients to be able to start a secure message conversation with your staff members. This setting applies to all staff in your practice. If you select No this means that a patient cannot begin a secure message conversation but they can reply to secure a message conversation your staff begins with the patient. Note Templates If you elect to use the note taking feature in the video encounter portion of the AASM SleepTM platform, you may want to create your own templates for your notes. Templates can help prompt you to collect a standard list of information during the visit. Note templates can be copied and pasted into AASM SleepTM from EHR systems. Encounters Scheduling and The Encounter Appointments for live video encounters can be scheduled with your patients through the encounters calendar. Clicking Schedule Encounter will bring you to a page that allows you to schedule an appointment at a specific time and date with one of your patients. This appointment is then added to both your calendar and the patient s calendar in the AASM SleepTM platform. You will also both receive notifications for the appointment. At the time of the appointment, you will be able to start your video encounter from the Encounters page or from your dashboard. 4
Quick Encounters If you choose not to use the AASM SleepTM calendar for your encounter scheduling, you can still easily conduct visits with your patients. Instead of creating an appointment in the calendar, use the Quick Encounter button found above the calendar to initiate an encounter with your patients. Direct your patients to join you in the encounter by providing them with a link to your encounter lobby. The web address for your lobby is yourpracticename.sleeptm.com/join/. The Encounter The encounter will look the same whether you ve scheduled an encounter in the scheduler or started a quick encounter with your patient. You will view your patient on the left side of the screen while the right side of the screen will include patient information and your notes template. You are welcome to take notes in AASM SleepTM or make notes in your own EHR system. During the encounter, you will notice a timer at the top right of the screen will count the duration of the encounter. A chat feature is available on the bottom right of your screen in case of audio issues and to provide the patient with written information as necessary. When you have finished your visit with the patient, the red End Encounter button at the top right will allow you to terminate the session. Patient information Timer End Encounter Patient Notes Chat 5
