Agenda Item Due Date: April 9, 2010 ASC Executive Board Meeting May 3, 2010 Chicago, Illinois Agenda Form Committee: Scientific Program Committee Chair: Dr. Syed Ali Motion or action required: X Requires Action X Discussion Information Only Brief description of issues for consideration by the ASC Executive Board: 2010 Annual Scientific Meeting The Scientific Committee started planning the 2010 program at their meeting in Denver last year. A total of 78 proposals including 50 workshop proposals (all non microscopic), 22 panel luncheon proposals, 6 roundtable discussions, 7 Scientific sessions, and 2 of no preference were evaluated in detail by each SPC member in early February. This was followed by a very efficient and productive face to face committee meeting on February 20 th 2010 in Baltimore, where the Scientific Program for Boston was drafted (Program Attached for Review and Approval). Highlights include: 1. Meeting length: Maintained at 5 days, ending at 3:30pm on Tuesday; adding break time and Town Hall, reducing credit hours, made it hard to reduce days this year 2. Guiding Principals For Program Development: based on close attention to prior meeting and individual evaluations, balance of topics, inclusion of new speakers/sessions, review of attendance and overall budget impact 3. Workshops: maintain at 15, all non-microscopic. 4. Panel Luncheons: Decreased from 5 to 4 (includes PSC), replaced 2 of these sessions with Roundtables 5. Roundtable Discussions: Increased from 1 session of 8 tables to 2 sessions, boxed lunch served, in Panel Luncheon rooms (each table seats 9 plus 1) 6. Video Microscopy Tutorials: decreased from 30 to 24 (20 participants each); replaced 6 of these sessions with NEW President s Rounds. These sessions remain to be scheduled by invitation, based on programmatic needs, prior evaluations and for the most part are done by very experienced cytopathologists/cytotechnologists. 7. President s Rounds: NEW this year, replacing 6 VMT s. Intimate with 20 participant limit, format/topic up to speaker; Invited past presidents of ASC.
ASC Executive Board Meeting May 3, 2010 Chicago, Illinois Agenda Form 8. Special Courses: maintain 2 sessions on Friday. Possibly Increase cost, to push attendees to Workshops; concern that these courses took from Workshops. Invited speakers for Exfoliative and FNA topics. 9. Abstracts: New online submission form, acceptance criteria, benchmarking of acceptance rate, coordination with cancer cytopathology for indexing, on line at ASC website. Concern of abstracts/exhibits being far from meeting space. 10. Platform sessions: decreased from 14 to 12; although quality rose after Orlando with SPC efforts to mentor 11. Program Faculty Seminar returning on Friday 12. Guest Speaker replaces the New Frontiers lecture. 13. Modification of all sessions/speakers letters and guidelines to clarify format and policies 14. Reimbursement policy needs to be reviewed session honorariums (MD v. CT speakers); honorariums vs. waived registration 15. Assignment of SPC members to specific program areas pre-meeting and during meeting 16.The Diagnostic Cytology Seminar and possibly other sessions in Scientific Session room will have a new audience polling system if approved by the EB. The system is different from traditional audience response; it is texting with phones. 2009 Dx Seminar podcasts on sale. 17. The Keynote Address becomes the Koss lecture. OTHER 1. A number of proposals will be asked to give their presentation in a different format than requested. 2. On-Line Evaluations: 63% in 2009, 57% in 2008; 58% in 2007; Oasis system is being replaced with a new system; 90-Day Follow-up survey useful 3. Scientific Program On-Line: Scientific sessions will be available online
