EDUCATIONAL TECHNOLOGY MAKING AUDIO AND VIDEO ACCESSIBLE Videos integrated in courses must be accessible by all users. An accessible video includes captions, that is a transcript of the audio description and delivered in an accessible media player. Watch this video to learn about the Importance and benefits of captioning videos WHAT ARE CAPTIONS Captions (sometimes called subtitles ) are text versions of the audio content that is synchronized with the video. They are essential for viewers who are deaf or hard of hearing and also a great tool for improving the reading and listening of others. Another benefit is that since most captioning for the Web relies on text, providing captions for your videos will ensure that they are indexed by search engines more quickly and accurately and thus easily available. ADDING CAPTION FILES TO VIDEO Captioned video provides many pedagogical benefits. There are several free web-based tools to create captions for your streaming videos, all of which have their own particular features and limitations. CAPTIONING YOUTUBE VIDEOS To add or edit a captioning file, you must be the owner of the video and have the video uploaded to YouTube. By default, you can upload videos that are up to 15 minutes long. However, you can extend the time limit to upload longer videos. Three common methods to add a caption to a YouTube video are, 1. SIGNING UP FOR A YOUTUBE ACCOUNT a) Go to https://www.youtube.com/user/teachers and click the Sign In button b) If you have a Gmail or Google account that is not associated with ONU, use your personal Gmail username and password to log in. If you don t want to use your personal Gmail account for work, click the Create account button. c) Fill out the form to create a new account 2
You can skip entering a mobile phone number, but if you enter one, Google can use SMS to send you a password reminder if you ever forget your password. If you don t enter a mobile phone number, Google will just use the current email address you will enter for password recovery. Please note: Use your ONU email address where the form asks for your current email address. On the next page, read and agree to the Privacy and Terms If you setup a new Google account for the first time, this will be your username and password for all Google services that you associate with this account, including Gmail, Google+, Google Calendar, etc. It can be helpful for some to keep work and personal accounts separated, but for others it is a hassle to remember multiple accounts. You ll have to decide for yourself which works best for you. If you post content from this YouTube account in your courses, your username will be seen by your students, so choose an identity accordingly. UPLOADING YOUR VIDEO TO YOUTUBE a) Login to your YouTube account b) Click the Upload button c) Click on the Select files to Upload arrow or drag and drop video files to this space. d) Set the basic information for the video i) Name of your video that will display on your YouTube page ii) A brief description of your video iii) Some meaningful tags to describe what your video is iv) Select the thumbnail that will display on your YouTube page when the video is not playing 3
e) Select the Unlisted in the privacy settings drop down i) Advance Settings Review the options and uncheck the boxes not required. ii) Click Done To Access your Video a. Click on the drop down Menu icon to access your video under My channel b. Click on My channel 4
c. Click on Video Manager d. Your video will display as below. Click on the Thumbnail or Title of the video to get its page in YouTube. To share your video click on the Share link. FINDING THE VIDEO TO CAPTION a. Log in to your YouTube account b. Click on the drop down Menu icon and select My channel 5
c. Click on VIDEO MANAGER tab d. Find the video to caption and click the Edit drop-down menu e. Click on Subtitles & CC f. Select the video language from the dropdown menu (English). 6
METHOD 1. UPLOADING CAPTION OR TRANSCRIPT FILES TO YOUTUBE VIDEOS If a transcript or caption file already exists for a video, simply upload the file to YouTube. THIS METHOD IS RECOMMENDED. CAPTION FILES VS. TRANSCRIPT FILES CAPTION FILES contain both text and time codes. TRANSCRIPT FILES only contain text and are saved as a PLAIN TEXT FILE (.TXT). However, if the video is in English, YouTube can automatically synchronize your transcript with the video to create a caption file. UPLOADING CAPTION FILE 1. If you have a caption file, click on Add new subtitles or CC 2. Click on English 3. Select Upload a file 4. Select the Subtitle file type and click Choose file 5. Click the Upload button 6. Preview captions in the editor and make any necessary edits 7
UPLOADING TRANSCRIPT FILE 1. Follow steps 1 and 2 above 2. Select your Transcript file type and click Choose file 3. Click the Upload button 4. Click Set timings to sync your transcript with the video. This will take a few minutes. 5. Review the timing for accuracy 8
METHOD 2. CREATING A TRANSCRIPT FILE MANUALLY Using a Transcript or caption file is most preferred. However, YouTube makes it easy to manually create your own transcript as you play and listen to the video. 1. Click on Add new subtitles or CC 2. Click on English 3. Select Transcribe and auto-sync 4. Press Play to listen to video and type text you hear in the text box. As you type, the video will pause. The video resumes when you start typing again 5. When finished, click Set timings to automatically synchronize the text with the speech in your video and create captions. 9
METHOD 3. USING YOUTUBE AUTOMATIC CAPTIONING SERVICE YouTube has provided a way to create caption files from videos you have uploaded. However, the quality of the captions is usually poor and you will probably need to edit the caption file manually. This method is usually not recommended because or errors. Please note Automatic captioning works best when the audio is clear and easy to understand. (E.g., background music or speaking in an accent can affect accuracy.) The automatic captioning option may not be available for all videos. If this option is available for your video it will be indicated by the Subtitles & CC tab 1. Click on Add new subtitles or CC 2. Click on English 3. Select Create new subtitles or CC 4. Test the captions for accuracy by playing the video and reviewing the text concurrently. 10
5. To edit the captioning file, click on the English (Automatic) tab 6. Click on Edit 7. Click the line that needs corrections in the captioning editor box 8. Use the Add and Delete icons to add and delete captions as needed 9. When done, click on Publish edits 10. To delete the automatic caption, click the Action dropdown menu 11
11. Select Discard edits USING CAPTIONING SERVICES AND SOFTWARE You can use caption software to caption your video yourself or have a captioning service do it for you. List of Captioning Service Vendors SEARCHING FOR CAPTIONED VIDEOS ON YOUTUBE Most YouTube videos have a CC button. However, some are auto-generated/machine transcribed captions with inaccuracies. To search for videos captioned by humans and not auto-generated; 1. In the search box type the search term followed by a comma (,) and CC - Example: US Constitution, CC 2. Hit Enter or click the magnifying glass icon 3. Click on the Settings button of the player video 12
4. Choose Subtitles/CC 5. Make sure there is an English option and not just an English (auto generated) option Examples: Human created caption Auto-generated caption 13
ADDING CAPTIONS TO VIDEOS IN SHARESTREAM ShareStream Media Manager enables instructors to upload user-generated subtitle files and synchronize the file with an asset. ShareStream support.srt file format (SubRip Text) for closed-caption files. CREATING A.SRT CAPTION FILE USING YOUTUBE 1. Login to your YouTube account 2. Upload your video to YouTube. It is best to upload as unlisted 3. Click on the drop down Menu icon and select My channel 4. Click on Video Manager tab 5. Click on the Edit dropdown menu and select Subtitles & CC 6. YouTube will try to auto-subtitle the video, but it often is wrong. Select the English (Automatic) version to fix it. 14
NOTE: It is also possible to upload a transcript file instead of adding/correcting the captions. 7. Click the Edit button to edit the captions 8. Delete unwanted captions, adjust timings, fix incorrect captions, and add missing captions by listening to playback at the same time. 9. When finished, click on Publish edits 10. To access the newly edited subtitles, click on English (Automatic) 11. From the Action Menu dropdown menu, select,.srt 12. The.srt will download to the computer. 15
UPLOADING A SUBTITLE FILE (.SRT) TO A MEDIA ASSERT IN SHARESTREAM 1. Login to ShareStream (https://onu.sharestream.net) 2. In Media Manager, right-click on an asset and select Add Captions 3. Click on the Choose File button and select the.srt subtitle file to be add to the media asset NOTE:.srt files are the only accepted subtitle file type 4. Click the Click to upload local file After these steps are completed for an asset, captions will appear during media playback in ShareStream s Media Manager and in Pick-n-Play applications.
