Collaborating for Quality Hospice Palliative Care in Ontario TERMS AND CONDITIONS OF SUPPORT COMMITMENT AND EXHIBIT HALL REGULATIONS Deadlines Support and exhibit commitments are accepted in writing with full payment on a first-come, first-served basis. Confirmation of support under these conditions constitutes a contract. Following confirmation of support, cancellation will result in an administrative fee representing 25% of the total owing. Refunds will not be granted after March 1, 2016. Confirmation Past supporters are offered first right of refusal to repeat their level of support. In the event that more than one organization expresses interest in an exclusive support level, the first organization to confirm with full payment will be awarded the sponsorship. HPCO reserves the right to determine the appropriateness of supporter organizations and/or their product or service. HPCO reserves the right to reject an application, without limitation, from an organization whose products or services are not in keeping with the best interest of HPCO or the annual conference. HPCO s acceptance of support does not imply endorsement of products or services. Assignment of Space Exhibit spaces are assigned by HPCO based on support level and the date of confirmed application and receipt of full payment. HPCO reserves the right of final determination and the right to amend floor plans and to relocate exhibits as required.. Limitation of Liability HPCO makes every reasonable effort to protect exhibit materials and displays. HPCO and/or their personnel are not responsible for loss and/or damage and/or injury to exhibits, merchandise or personnel or other properties while such are on the convention centre property. The exhibitor shall accept full responsibility for any and all damages caused by the exhibitor or their representatives and agrees to indemnify and save harmless HPCO and/ or the host facility and/or exhibition services and/or the collaborative partners and/or their personnel from and against any and all claims for such loss, damage or injury, no matter how caused. Character of Exhibit HPCO reserves the right to decline or prohibit any exhibit, proposed exhibit or exhibitor which is not in keeping with the character of the conference as determined by the organizers. This reservation includes persons, things, conduct, printed materials, souvenirs, emblems and all things contributing to the character of an exhibit. Proof of Insurance and Liability All exhibitors must provide proof of insurance in order to participate as an exhibitor. Exhibitors must provide a copy of their one-page insurance certificate for $1,000,000 liability to cover any damage to their organization s equipment/display or any other negligence on their part (i.e., booth collapses and injures a delegate) A copy of the insurance certificate can be obtained through the organization s insurance broker and must be submitted via fax to 416-304-1479 or email to Paula Neil at pneil@hpco.ca by April 8, 2016. Electrical Wiring All electrical wiring and additional outlets required are at the exhibitor s expense, and must be booked through the official electrical supplier. All operating electrical equipment used in the exhibit hall must be CSA certified, or provincially approved. Rules & Regulations The exhibitor agrees to abide by rules and regulations adopted by HPCO in the best interest of the conference and exhibit area, and agrees that HPCO has the final decision in adopting any rule or regulation deemed necessary prior to, during and after the conference. Rules include, but are not limited to, assignment of booth space, character of the exhibit, payment of fees and cancellation policies as already described. HPCO reserves the right to make reasonable interpretation and enforcement of all contract rules and regulations contained herein, as well as, the power to make amendments that are reasonably necessary for proper conduct of the exhibit or to accommodate changes in circumstances beyond its control.
