TEAM CAPTAIN 101 As a Team Captain, you are the leader, and a strong advocate and supporter of your team. You will ensure that each member fundraises, trains and completes the event successfully. Here are some tips to get you started: Serve as the main point of contact for all team members. Send biweekly or monthly emails with goal progress; a quick bio or story about a team member; success stories on recruiting or fundraising; training walks etc. Celebrate successful fundraising stories and training milestones. Help team members publicize their individual fundraising events. Keep a list of team member contact information and set up an email list or group for team communication. 5
TEAM CAPTAIN 101 AND REMEMBER... YOU DON'T HAVE TO DO THIS ALONE! Identify colleagues who are motivated to step up their participation or those who have special skills. Delegate some of the team roles and form committees. See next page for details. 6
TEAM CAPTAIN 101 COMMITTEES Training Organizes regular training walks, coordinates routes and meeting locations. Sponsorship Obtains team sponsorship and coordinates team t-shirts. Recruitment Responsible for the recruitment of new team members. Share's relevant info and tells team members about important milestones or team wins. Hosts an orientation session to help recruit colleagues. Offers incentives or draws to encourage participation. Fundraising Leads the coordination of team fundraising events while utilizing the strengths and special skill sets your team members have. Think entertainment, sponsorship, promotion, design, organization, etc. Coordinates a Fundraising Events calendar internally. Promote fundraising success. Acts as the secretariat of the group by allocating and submitting team funds. 7
CORPORATE SUPPORT TIPS TO ESTABLISH INTERNAL SUPPORT Let your colleagues and employees know why you Walk and invite them to join you! Identify the most effective method to promote your participation and recruit team registrations such as: Company Intranet Lunch and Learns Outreach table in high traffic area Engaging emails Posters and newsletters Hold information sessions or Registration Rallies where employees can learn more and sign up on the spot. Don't forget to print off some registration forms! Announce and promote the company s participation in OneWalk along with details of dates, location, team captain contact information and how to participate. 8
REGISTRATION RALLIES HOSTING A REGISTRATION RALLY Have one member of our team come and give employees a fantastic preview about the event and the impact of their support. At the session, we will cover: The Princess Margaret Cancer Centre: where the funds are going and the amazing progress made over the last 15 years. OneWalk Video: an inspiring glimpse into the feelings and essence of the OneWalk. Q & A: give everyone a chance to ask any and all questions. Registration: sign up to walk on the spot and receive a special registration discount. Event Logistics: what to expect on the day of the event. Fundraising and Training: what tools are at their disposal to help them reach and exceed their goals. 9
REGISTRATION RALLIES TIPS FOR A SUCCESSFUL REGISTRATION RALLY Identify potential dates, times and locations. Book the sessions through our Walker Coaches at 416.815.WALK (9255). Send out an email to all employees promoting the event and post a flyer for the event in your offices (see OneWalk.ca for flyer template). Track RSVP s. Promote the sessions through other internal communications. Send out a reminder one day before the session. When possible, offer food or refreshments to entice attendance. 10
CORPORATE INCENTIVES Many companies offer incentives for employees to generate excitement and encourage participation. Here are some real Walker-tested examples of how your company can support your team: Paying for all or a portion of the registration fee. Making or matching donations to employee fundraising accounts. Offering a reward for everyone who reaches their minimum. Offering a team training kit. Help with fundraising via a team fundraising committee. Providing I m Registered to Walk badges, stickers or posters for employees who register. Creating an internal team website where employees can see who else has registered, plan training walks and post pictures of their experience. A day off for fundraising or recruiting. Providing branded team t-shirts and/or other branded item. 11
HOW WE SUPPORT YOU WALKER COACHES One of the most valuable resources provided to all teams is a Walker Coach. Each team is assigned a personal Walker Coach who will call them throughout the year to check-in and provide support. They are a simple phone call away and are available to: Answer any and all questions about The Walk, including event logistics, fundraising, training and more! Provide step-by-step instructions on using all our fundraising and recruiting resources. Provide fundraising ideas that suit participants lifestyle and network. Keep walkers updated on important dates and promotions. Motivate and inspire! As a team captain, you may receive questions from team members that you will not be able to answer... that's what your Walker Coach is for! Just have participants call a Walker Coach at 416.815.WALK (9255). 12
FUNDRAISING FUNDRAISING RESOURCES We have amazing resources available to help Walkers reach their fundraising goals: Individual fundraising minimum for the NightWalk, the 15km and the 25km Day Walk is $1,500. For those taking on the 40km experience or Two-Day, Your Way challenge, the minimum fundraising amount is $2,000. As a Team Captain, ensure your team members do the following: Set up their Personal Page Have them tell their story, why they are participating and why it s important. Make a self-pledge of $100 to get themselves started and ask donors to match their contribution. Reach out to their network Send out emails using the templates in the Participant Centre. Import contact list to the Participant Centre. Follow up with those that haven t donated and thank those that have. Track fundraising progress. Download Social Media Tools Attach the personalized email badge to their work or personal email accounts. Download the Facebook Application and reach out to all their Facebook friends. As a Team Captain, set up a Fundraising Masterclass with your walker coach at 416.815.WALK (9255). 13
FUNDRAISING TEAM FUNDRAISING Team fundraisers are a great way to help team members reach and exceed their goals. Funds raised as a team can be allocated across the group to help meet the overall fundraising goal. Ideas for team fundraising: Bake Sale: sell cookies, muffins, cakes, cupcakes etc. Dress Down Days: hold these weekly, bi-weekly, monthly and collect a minimum donation to wear jeans. Establish amount to charge depending on the frequency. Toonie Toss Game: get a big prize donated (i.e. gift basket) and set it up across a large room, have everyone bring in toonies. Closest toonie to the prize wins and you keep all of the toonies. Fundraising Challenge: set up a challenge amongst team members and offer a prize. Afternoon Pick-me-up Cart: buy baked goods and go around with a cart at 3 pm and sell the treats! Work Lunches and Potluck: have an amateur chef on your team? Have them make their specialty and sell it per plate. Silent Auction and Ticket Draws: Obtain donated prizing and have a silent auction or sell tickets to win the prize. 14
CELEBRATE SUCCESS DON'T FORGET TO CELEBRATE SUCCESS! Some teams organize pre or post-onewalk celebrations to recognize employee participation. In addition, during OneWalk, teams usually gather at the finish line to celebrate together. We encourage companies to recognize the team s success via internal communications following OneWalk, such as an email from the executive sponsor to all employees. 15
