Building advcate researcher relatinships t strengthen research Intent: Kmen seeks t encurage researchers t develp prductive, lasting relatinships with patient advcates Why: All Kmen-funded grant mechanisms require at least ne advcate t be actively invlved t (1) ensure patients perspectives are integrated int the research decisin-making prcess, and (2) energize science t find cures. It als facilitates advcates becming well-versed in the science f breast cancer and cmplexities f research. This empwers them t be mre effective cmmunity ambassadrs fr research and cntributrs t the research enterprise. Hw: Advcates are a critical part f the research/mentr team. They shuld be invlved in every step f the research prject, including the planning, implementatin and public disseminatin f the research. Wh: Advcates, invlved as mentrs r as a part f the research team, shuld: Have a strng persnal cnnectin t breast cancer (i.e., breast cancer survivrs r csurvivrs, such as a clse family member r persnal caregiver.) Their experience better infrms the research decisin-making prcess by prviding the unique and valuable perspectives n what it s like in real life t be a cancer survivr r c-survivr. Be bradly cnnected t ther breast cancer survivrs/c-survivrs, t assure a knwledgeable, cllective perspective (vs. an individual perspective) is integrated int the scientific dialgue and decisins mst impactful and imprtant t patients/survivrs. A brad, cllective perspective helps advcates mre effectively share and identify what s meaningful t patients, and what will resnate (r nt) with patients. Key Pints: Outcme: The gal f including an advcate(s) is t build a lng-term, mutually beneficial, and prductive relatinship t enable bth a better understanding f the research by the advcate, and a better understanding f hw the research can and shuld impact patients fr the researcher. The purpse f requiring an advcate ges far beynd just including a persn s name n a grant t meet this requirement. They must be actively invlved. Key t building an effective relatinship is treating all parties with mutual respect and prfessinalism; seeking t first understand the perspectives f the ther team members; and assuring cnsistent cmmunicatins and timely fllw-thrugh. Side nte: In training grants, althugh the Grantee/Principal Investigatr and the Advcate Mentr are the key players in this relatinship, the Lead Mentr s visible supprt and guidance in securing and develping this relatinship definitely impacts its success. C-Learning: The gal is t help advcates understand the research prcess and utcmes; AND the PI and research team t learn mre abut what really matters t patients/survivrs and the urgency f finding answers fr patients. (Taken frm PCORI Patient Engagement Rubric) Budget: Reasnable cmpensatin f advcates is allwed fr mst grant mechanisms when advcates perfrm services that wuld therwise be a cntracted expense. Cmpensatin may be in the frm f salary, per-hur cmpensatin, r hnraria. Advcates may be cmpensated fr their ut-f-pcket expenses, i.e., travel, parking, printing, registratin fees, etc. If pssible, advcates shuld be prvided access t relevant literature r articles. 2

1. Develping the Grant Prpsal Applicant/PI Advcate Mentr Lead Mentr* Respnsibilities: As yu begin yur grant prpsal (at least 4-6 weeks prir t due date), persnally call and/r email a qualified advcate (3 rd bullet in pening cmments) t invite them t wrk with yu in yur prject. If yu dn t knw an advcate: 1) visit with yur Lead Mentr t identify wh might be a gd match fr yur prject; 2) if yur institutin has an advcate grup, get in tuch with that grup s leadership; and/r 3) cntact (advcatesinscience@kmen.rg) t request a list and bis f Advcates in Science (AIS), wh have expressed an interest in wrking with researchers. When yu invite an advcate t wrk with yu, describe yur research and the particular prject yu are seeking funding fr. Offer t send any drafts that have been started. Ask the advcate what they are interested in learning. Facilitate at least ne meeting (preferably several) invlving the advcate and yu as the grant is being develped. The first meeting shuld ccur as early as pssible in the prcess (preferably shrtly after the RFA is release and prir t any substantive wrk n the design r narrative). If yu are in clse physical prximity, try t arrange fr an inpersn meeting. If nt, by phne r skype will wrk. During the first meeting, cme t a mutual agreement with all key players regarding: (1) the rles and respnsibilities f each f the parties; and (2) a timeline fr review and feedback n the prpsal at several stages f develpment. Invite yur Lead Mentr t participate in this fundatinal meeting. (See Guidelines fr Advcate Respnsibilities: Becme familiar with the prject by reading the prject prpsal, wrk with PI t define expectatins, and be hnest abut yur ability t cmmit the time and attentin needed befre cmmitting t being invlved. Review prject gals with PI, ask questins, and discuss prject meetings and expectatins. Discuss ideas fr hw t cntribute as a team member. This shuld include setting adequate timeframes fr yu t be able t thughtfully review the prpsal and share yur input with the PI. Share with yur PI, yur experience in research advcacy and cnnectin t ther survivrs/c-survivrs and/r patient advcacy rganizatins (e.g., Kmen & thers). Try t make the PI aware f generally held cncerns and hpes amng survivrs/csurvivrs/advcates regarding the tpic at hand r the field in general. This helps the PI better understand what patients believe have greatest relevance and impact. Learn the jargn (while yu help teach the PI hw t avid it when cmmunicating t peple nt in the research/medical fields). Timely and thughtfully review the grant prpsal befre it is submitted. Pay particular attentin t the Lay Abstract and Impact sectins t assure they are easily understd and cnvey why this research is imprtant t patients. (See Writing a Lay Abstract see pages 13-14) Als review and sign ff n the Respnsibilities: Encurage and facilitate the PI s cnnectin with a patient advcate(s). Be a rle mdel fr develping mutually respectful, mutually beneficial and lasting advcate researcher relatinships. If needed, cach the PI n wrking effectively with the advcate. Assure the prpsal has included r addressed the advcate s key cncerns and cmments. Wrk with PI in selecting, recruiting & effectively invlving an apprpriate advcate(s) t wrk with him/her as a mentr/research team member. Welcme the advcate t the team. Express and demnstrate yur appreciatin fr their invlvement. Share yur backgrund. Discuss yur gals, rle and expectatins related t yur mentee, his/her career, and this grant. 3

(Ideas fr advcate invlvement, see page 11-12) If a clinical trial is invlved, be sure t slicit the advcate fr ideas n tissue dnatin issues, sampling frequency, etc. Encurage the advcate(s) t always ask yu questins if he/she desn t understand smething r wuld like mre infrmatin. Pst-submissin cmmunicatins Let the Advcate Mentr & Lead Mentr knw when the grant is submitted. Offer t share the final prpsal. Share the utcme f the review with the Advcate Mentr & Lead Mentr. Share the cmments received fr everyne s imprvement. If invited t submit a full app r if funded, mutually discuss ideas fr imprving. Pst-submissin cmmunicatins After the grant is reviewed, arrange t meet with the PI. Discuss hw it did, what the cmments were, and hw t imprve it. Participate in a revisin, if that is required. If revised, read the revisin and discuss again t be sure yur suggestins were cnsidered/included. 4

Intrduce the advcate(s) t yur research team/ther mentrs. Invite the advcate t tur yur lab/clinic. Ensure the advcate is included in email cmmunicatins with the team r mentr cmmittee. Cnduct peridic meetings ver the curse f the prject, perhaps mnthly fr the first 1-2 quarters then quarterly after that. Keep everyne in the lp n the prject s prgress and need fr revisins. Include the advcate in writing the annual prject reprts t Kmen, especially, the prtins related t their invlvement. Invite the advcate t prject and/r related meetings. Yu may als wish t include the advcate in scial gatherings f the scientific team. Invite advcates t educatinal events they might be interested in. But d nt expect t be an expert i.e., read recmmended backgrund materials; ask the PI fr assistance if yu have difficulty understanding the basics. Never be afraid t ask if yu dn t understand. The nly stupid questin is the ne yu dn t ask. Because then yu dn t learn...and they wn t learn hw t cmmunicate in ways peple can understand. Manage yur expectatins: The rle f the advcate can and will vary even within the life f a grant. In Basic/Fundatinal research, what yu can add prbably wn t be bvius. Yu wn t always be able t ffer smething. What s imprtant is t better understand and gain an appreciatin f the research prcess.and hw slw and difficult prgress can be. It s REsearch. Yu search and then yu re-search What is learned in the prcess can be as imprtant as whether r nt it actually prves ut as expected. Seek t understand the imprtance f the research being dne and hw it might be able t ultimately impact patients. Pick yur battles i.e., distinguish between issues yu feel are extremely imprtant versus thse abut which yu might have an pinin but nt a strng ne. Be flexible and wrk t understand the ther persn s perspective when yu disagree. Participate in writing the annual prject reprts t Kmen, especially thse sectins related t yur invlvement with the prject. Offer t review grants, abstracts, presentatins, psters and articles being develped by investigatrs invlved in the prject. Actively participate in the planning fr all prject-related clinical trials. This culd include determining the schema, eligibility requirements, n trial requirements, and ut-f-pcket csts; and reviewing recruitment plans, Infrmed Cnsent dcuments/prcesses, and any ther patient educatin r infrmatin materials. Practively vlunteer fr activities yu think wuld be useful (i.e., infrmally surveying ther advcates abut a difficult issue). If pssible, ffer t cnnect the PI with the brader patient/survivr/csurvivr cmmunity. Invite him/her t jin yu fr events r t pssibly present at a meeting. Prvide timely feedback n any dcuments yu are asked t review. Be sure yu knw and adhere t deadlines. Prvide t and slicit feedback frm the PI and ther advcates t assist yu in imprving yur effectiveness and impact. Mutually discuss what yu believe is wrking well and what culd wrk mre effectively. Invlve the advcate in planning and disseminating the results especially in sharing the results with the public, the patient/survivr/c-survivr cmmunity; and, if there is ne, the lcal Kmen affiliate cmmunity. This can als take the frm f wrking with the advcate t cntact lcal newspapers t participate in and be recgnized in press releases. Cnsider (if resurces exist fr travel) inviting advcate t cpresent psters/presentatins with yu. Cnsider invlving the advcate in writing publicatins (cntributing authr). Meet with the advcate and Lead Mentr t debrief n the mentrship experience t determine what wrked well, what was learned, and hw t imprve future advcate researcher relatinships. Participate in Kmen s prcess t review and enhance advcate researcher relatinships. Respnsibilities: Assist in analyzing the results what was learned, hw des/may it impact patients, and hw will the research s wrk be mved frward r used in future grant applicatins. Assist in develping the final prject reprt t Kmen. Assist in planning fr and disseminating the results. Fcus n cmmunicatins t the brader cmmunity and prviding infrmatin that helps peple better understand the research prcess and this research s ultimate impact n patients ability t feel, functin and survive. Be an ambassadr fr research. Share infrmatin that helps peple better understand the research prcess and this research s ultimate impact n patients. Respnsibilities: Participate in the discussins with the advcate regarding the analysis f the study; manuscript develpment, authrship and acknwledgments; disseminating the results; and hw t identify and cnsider future RFAs that might build n the study s wrk. Participate in Kmen s prcess t review and enhance advcate researcher relatinships. * Lead Mentr - The Applicant/PI must prpse ONE Lead Mentr. The primary purpse f the Lead Mentr is t prvide the research, scientific, clinical, management, and leadership guidance necessary t fster the Applicant/PI s career advancement and the successful develpment f the prpsed research prject. The Lead Mentr shuld be cmmitted bth t the research training f the Applicant/PI and the prpsed research prject. 77

Hw wuld yu explain yur research t yur mm in a way she can understand what it is and why it is imprtant? Chse cmmn, everyday wrds. Avid research r medical jargn and acrnyms. When yu use these terms everyday, yu take them fr granted. Yu frget thers many nt understand r relate t what they mean. If yu use jargn, define it in plain language and prvide a real life example, analgy, r visual aid. Keep it shrt and t the pint! Try t keep sentences t 15 wrds r less, paragraphs brief, and verall text cncise. If a sentence has cnjunctins (i.e., but, hwever, and) r semiclns, break it int tw sentences.
