Invitation to Exhibit The Nurse Practitioner Association New York State (The NPA) would like to invite you to participate in our 31st Annual Conference on October 2 3, 2015 at the Niagara Falls Conference and Event Center, Niagara Falls, NY. The NPA conference is an annual event that attracts nearly 600 nurse practitioners primarily from around New York State.The conference awards continuing education credits and caters to the attendance of prescribing nurse practitioners who diagnose, treat and prescribe to patients throughout their lifespan. This conference offers you the perfect opportunity to exhibit and network with nurse practitioners who are eager to discover new products and services that will help them manage their practice, expand their knowledge and enrich the health care environment. Conference participants will have an opportunity to visit the exhibit hall during morning and afternoon breaks, breakfast and lunches. We also offer sponsorship and advertising opportunities that will help increase your company s visibility. The NPA may deny any exhibitor, sponsor or advertiser if the Association feels that it detracts from the objectives of the conference or the mission of the Association. Exhibit Hall Hours Friday, October 2 from 10:30 am 4:00 pm Saturday, October 3 and 7:00 am 2:00 pm Exhibitor Breakdown Absolutely no tear down until the conclusion of the break at 2:00 pm on Saturday, October 3. Exhibitor Decorating Company The NPA has selected Hale Expo as their decorating company for this exhibit trade show. Detailed information and order forms for additional equipment and/or services will be provided at a later date. Payment for any additional equipment and/or services (not included in the booth package) will be the sole responsibility of you the exhibitor. Cancellation by Exhibitor Refunds will be granted, less a 25% processing fee for cancellations. All refunds must be requested in writing and received on or before September 1, 2015. No refunds will be granted for exhibit space after September 1, 2015. Cancellation by the Association It is mutually agreed that in the event of cancellation of The NPA s 31st Annual Conference; as a result of strikes, governmental regulations, or other causes beyond our control which would prevent its scheduled opening or continuance, this agreement will be terminated immediately, and The NPA shall determine in its sole discretion any refund of such portion of the exhibit fees as is possible, after due consideration of expenditures and commitments already made. Liability Each exhibitor assumes sole responsibility and liability for losses, damages, and claims arising out of injury and damage to the exhibitor s displays, equipment and other property brought upon the premises of the Niagara Falls Conference and Event Center. Exhibitors shall indemnify and hold harmless The New York State Coalition of Nurse Practitioners, Inc. d/b/a The Nurse Practitioner Association New York State (The NPA), and the Niagara Falls Conference and Event Center and any authorized representative or employee of the foregoing of any and all losses, damages, and claims except when resulting from the gross negligence of the parties named above.
Sponsorship Opportunities Tote Bags - $3,000 Each conference participant will receive a tote bag containing conference related material. Sponsor will receive your company logo and website address on one side of tote bag. NPA logo will be placed on other side of tote bag. One sponsor only. Badge Holders - SPONSORED Each conference participant will receive a badge holder upon registration. Sponsor will receive company logo on badge holder. One sponsor only. Tote Bag Insert - $500 Unable to exhibit or would like to provide participants with additional material this is a great opportunity to distribute your companies informational material to all registered attendees by including an insert in the conference tote bag. Contact Sue Hubbard at The NPA to discuss insert content and size. Some restrictions may apply. Breaks - $2,500 Sponsorship of the food and beverages at the breaks offered each day of the conference. Signage with company name and logo will be placed near food and beverage. The NPA can accept more than one sponsor for breaks offered each day. Continental Breakfasts - $2,500 Sponsorship of food and beverages for continental breakfast offered each day of the conference. Signage with company name and logo will be placed near food and beverage. The NPA can accept more than one sponsor for the continental breakfasts offered each day. Reception - $4,000 Sponsorship of hors d ouvres for Friday evening reception. Signage with company name and logo will be placed in the reception area. One sponsor only. T-Shirts - SPONSORED - A t-shirt will be distributed to each person who participates at the Saturday morning activity. Sponsor will have their company logo and website placed on t-shirt. The NPA will work with sponsor on best placement to display company information.
Advertising Opportunities Annual Conference Brochure - A full conference brochure is mailed to over 3,500 NPA nurse practitioner members. A modified brochure is mailed to nearly 7,000 non-member nurse practitioners in New York State. Size Dimension Price Full page 7 x 10 $ 1,750 Half page 7 x 5 $ 1,000 Quarter page 3 3/8 x 5 $ 750 Specifications: Minimum bleed of 1/8 on three (3) sides for full page. Supply a CMYK file either as a jpeg, tiff or pdf. If pdf, make sure it is a high resolution pdf for print with fonts and graphics embedded. The printer can also take native application (ie InDesign, Quark, Photoshop) file with final graphics and fonts linked. Make sure you have a CMYK (not RGB) file. Please Note: For any educational activity that receives commercial support acknowledgement of commercial support is limited to the name of the entity providing support. (The American Nurses Credential Center (ANCC) no longer allows the use of logos, other trademarks or other insignia of, or reference to a commercial interest organization). The NPA reserves the right to limit the number of advertisements to no more than two ads per conference brochure with a maximum of space of 1 full page per ad. Meeting App - $250 - The NPA will provide a meeting app to conference attendees. Specifications: 600x110 jpeg or png file for sponsor banners. Legacy Fund Raffle The NPA Legacy Fund raises public awareness of nurse practitioners throughout New York State by engaging in such activities in media relations, bringing awareness to current barriers faced in practice, and offering evidence-based solutions to overcome those barriers to shape the future of nurse practitioners. Through a donation to the Legacy Fund Raffle you can support the public relations program and the promotion of nurse practitioners. Suggested items for donation: jewelry, consultative services, healthcare related books, gift cards, gift baskets, and, items to be used by nurse practitioners in their practice, etc. If you are interested in making a donation, please complete the section on the exhibitor registration form under Legacy Fund Raffle. Items can be brought to the annual conference beginning on Thursday, October 1. Rotating Digital Signage - $250 - The NPA will offer rotating digital signage at the conference. The digital signage is located in at least two different locations within the conference venue. The digital signage will run during the entire conference. Specifications: High resolution png format is preferred.
