AL-ANON GR EXCHANGE Welcome to Area Assembly! You are the most important people at the Assembly because you are the only members at the Assembly who have a vote at the business meeting. Your vote connects the members of your group to the worldwide fellowship of Al-Anon and determines the way Al-Anon in Montana functions to help families of alcoholics. You are a trusted servant who relies on guidance from a Higher Power and direction from the group conscious. It is a humbling and empowering experience. All of us on the Area Committee say CONGRATULATIONS on being elected to serve as a GR. Enjoy your term. What is the GR exchange? It is a meeting held at each Assembly to prepare GRs for the Area business meeting and to allow GRs to share information and experience, strength and hope with each other. Please share your thoughts and ideas to help make this exchange meaningful and productive. INFORMATION Found in your 2014-17 Service Manual What is my job as a GR at an Assembly? To attend the business meeting and to express a voice and vote on behalf of your group. Which events on the Assembly schedule am I supposed to attend? GR Exchange gathering (GR school) Business meeting on Saturday, both morning and afternoon sessions. What do I need to take to an Assembly? Al-Anon/Alateen Service Manual Pen/paper to take notes Copies of minutes from the previous Assembly. Available from your District Representative (DR). Can I represent more than one group at an Assembly? No. What will happen at the business meeting? The Area business meeting has a morning and afternoon session. You ll receive an agenda when you arrive at the business meeting. A typical business meeting includes the following items: Delegate s Report Minutes from the previous Assembly Area Treasurer s Report and budget Workshops put on by coordinators

Reports from Area Coordinators and DRs Update on Al-Anon events including Roundup and Assemblies Discussion of issues affecting Al-Anon in Montana How do I learn about issues that are coming up for a vote at Assembly? There are certain items that require a vote at every Assembly. Voting issues come out of discussions held the evening before the Assembly Area World Service Committee (AWSC) meetings. These meetings are attended by DRs and the DRs share that information at their District meetings. What if something comes up for a vote in the business meeting but I haven t had a chance to talk to my group about it? Most new GRs will struggle with this and the solution will come as you study the Traditions and Concepts of Service. Basically, Tradition Two says that you are a trusted servant and Concept Three allows you a right of decision as a trusted servant. There is an excellent discussion of this under Concept Three in the Service Manual. Usually the process of change in Al-Anon is slow and thorough so GRs are very prepared by the time an issue comes up for a vote. Another scenario is that you may have taken a group conscience at your home group about an issue, but then you learn new information at the Assembly that changes your opinion. Do you vote as your group conscience dictated or follow your own conscience? This again involves mutual trust between the group and its trusted servant. At an Assembly you are part of an informed group conscience and Concept Three allows you the freedom to make your best choice on behalf of your group. If you are really uncomfortable about a vote because you don t understand the issue or think it should go to the groups first, then say that to the Assembly before the vote is taken. Chances are others will feel the same way. What is the procedure for discussion/voting during the business meeting? During the business meeting the Chair will follow some basic rules of parliamentary procedure. When an issue comes up for a vote, the following steps occur: 1. A member of the Assembly makes a motion 2. Another member seconds that motion 3. There is discussion about the motion 4. A vote is taken, usually by a show of hands In Favor and Opposed. On elections or sensitive issues written ballots may be used. 5. The minority opinion is offered another chance to speak after the vote Motions can be tabled, which means they will come back up at a later time. A motion can be changed or rescinded by the person who made it. Sometimes the Chair will ask you to use the microphone to speak. There may be a time limit per share or a limit of one share per person on an issue. These restrictions are always announced ahead of time and they are usually imposed because of Assembly time constraints.

What is the voting structure of Al-Anon? WSC - All delegates meet annually for the World Service Conference (WSC). Since GRs elect a delegate, the voice of the groups is carried to the Conference. Delegates Information Area Assembly - Montana Area is made up of 13 districts. GRs elect a Delegate to represent them at the World Service Conference. Area has two AWSC meetings and two Assemblies per year. GRs Information District - Made up of groups in a geographical region. GRs elect a District Rep (DR) to represent them at Area World Service Committee (AWSC) meetings GRs Information Group - elects a GR to represent them at District and Area levels. Members Al-Anon s service structure can be confusing with all the acronyms and rules. Be patient with yourself and try to pick up a little bit at a time. Before long you ll be an expert! The chart above is a simplified view of how voting works in Al-Anon. The main point here is that as a GR you are a vital link in the flow of information, election of a delegate, and policy change affecting the fellowship. You are the bridge between the members and the whole Al-Anon service structure.

A few spiritual principles to remember Three Obstacles to Success in Al-Anon pg 54 Service Manual All Al-Anon discussions should be constructive, helpful, loving, and understanding. In striving toward these ideals, we avoid topics that can lead to dissension and distract us from our goals. Conflict Resolution Using Our Twelve Traditions (S-72) Discussions of Religion: Al-Anon is not allied with any sect or denomination. It is a spiritual program, based on no particular form of religion. Everyone is welcome no matter what affiliation or none. Let us not defeat our purpose by entering into discussions concerning specific religious beliefs. Gossip: We meet to help ourselves and others learn and use the Al-Anon philosophy. In such groups, gossip can have no part. We do not discuss members or others, and particularly not the alcoholic. Our dedication to anonymity gives people confidence in Al-Anon. Careless repeating of matters heard at meetings can defeat the very purposes for which we are joined together. Dominance: Our leaders are trusted servants; they do not govern. No member of Al-Anon should direct, assume authority, or give advice. Our program is based on suggestion, inter- change of experience, and rotation of leadership. We progress in our own way and pace. Any attempt to manage or direct is likely to have disastrous consequences for group harmony. Group Conscience - pg 53 Service Manual The group conscience is the result of the group s business meeting discussions. The group conscience is the will of the group. The guiding principles for the group conscience are always the Twelve Traditions and the Twelve Concepts of Service. It may be helpful for the group to review these principles prior to any group discussions. Some simple group decisions may be decided quickly; however, others may take time. It is by taking the time necessary to hear from all members who want to participate that a group conscience evolves. In order to make an informed group conscience decision, members need access to all the information about the issue they are being asked to discuss, they need clarity on what their discussions hope to accomplish, and they are asked to trust each other s motives and capabilities. By sharing information as equals, taking time for discussion, and maintaining principles above personalities during the discussions, groups are often able to reach unanimity in their decisions. If unanimity is not reached in the allotted timeframe of the meeting, discussions may continue at another time. Once a group conscience decision is made, the entire group supports the decision. Use of Conference Approved Literature (CAL) in Meetings pg 102 Service Manual To keep Al-Anon s message in focus and encourage unity, only Al-Anon/Alateen Conference Approved Literature (CAL) and Al-Anon/Alateen service tools are displayed, distributed, and used at Al-Anon and Alateen meetings, including meetings at conferences and conventions. These items reflect the informed group conscience of the Al-Anon Family Groups as expressed by its World Service Conference since 1961. A.A. literature is not used at Al-Anon meetings because it is written for and from the viewpoint of alcoholics and is not Al- Anon/Alateen Conference Approved Literature. Reliance on opinions expressed in A.A. and other outside materials can distort the Al-Anon approach. Conference Approved Literature provides a unified view of Al- Anon/Alateen to members, professionals, other individuals, and outside agencies.
