Log In and Registration This section describes the initial process required to access the BREEAM In-Use International online tool. Accessing the Online Tool Existing users: click Login and enter account details in the relevant fields. New users: click Register to create an account. Registration Form Please read the information about registration, including the terms and conditions link at the bottom, and click Accept to accept the terms and conditions and proceed with the account registration process. 1.2 BREEAM In-Use International 2015 - Client User Guide V1.3.1 4

Organisation Details Enter the name of the organisation for which assessments will be carried out. Please note: The organisation name entered in this section will appear on all certificates issued for assets registered under this organisation and cannot be amended. Therefore, please ensure that it is correct. 1.3 BREEAM In-Use International 2015 - Client User Guide V1.3.1 5

Portfolio Owner Details Enter details of the person in the organisation stated in Organisation Details that will act as the main point of contact for BRE. Click Save to proceed to payment. Please note: If you are a BREEAM In-Use Assessor registering on behalf of your client, please ensure that the details entered are the client s contact details. 1.4 BREEAM In-Use International 2015 - Client User Guide V1.3.1 6

Payment Form Enter the billing details and scroll down to continue. 1.5.1 BREEAM In-Use International 2015 - Client User Guide V1.3.1 7

Select the Credit type required. For assets to be assessed that are located outside of USA select International Credit. For assets to be assessed that are located inside USA select USA Credit. Enter the required number of credits in the available field. Select Proceed To Payment to continue.* 1.5.2 *If you are unable to pay by debit or credit card, please contact the BREEAM In-Use team at breeaminuse@bre.co.uk requesting a manual invoice to be raised. Once the payment has been made, the user will be able to log in to the online tool, using the user details that have been created. After successful log in, the user will enter the home page. Account Management My Account My Account will display the details of the person from the registered organisation that has been entered to act as the main point of contact for BRE. 2.1.1 Edit the user details Click on My Account to enter updated user details and select Save to confirm changes. 2.1.1 BREEAM In-Use International 2015 - Client User Guide V1.3.1 9

User Maintenance This functionality allows the user to add new users or edit existing user details. 2.2.1 Add a new user Select Add User to create an additional user account. Purchase Credits This functionality allows the user to purchase measurement credits. Measurement credits are needed to start assessments. 2.3.1 Payment Form Enter billing details and select the number of measurement credits required. Credit History This functionality allows a user to see how measurement credits have been used. 2.4.1 View credit history Filter credit history information by date and/or Credit Type. 2.4.1 BREEAM In-Use International 2015 - Client User Guide V1.3.1 12

Adding a Portfolio BREEAM In-Use uses a portfolio structure to create assessments. The first step to creating assessments is to add a portfolio to the account. Portfolios can be named to reflect an organisation s structure, to group asset types or to group asset locations. Portfolio details can always be edited. Add or edit a portfolio Select Add Portfolio to create a new folder for the asset. Enter details of the new portfolio and select Update to confirm, or Cancel to go back. Select Edit to edit details of an existing portfolio. Creating an Asset Assets are created within portfolios. In order to enter a portfolio, click on the portfolio name. Create an asset Click on Create Asset to add a new asset to the portfolio that has been selected. 4.1 BREEAM In-Use International 2015 - Client User Guide V1.3.1 14

Enter Asset Details Enter the asset information in the Basic Asset Details form and select Save to continue. The asset will then be saved and displayed in the portfolio that has been selected. Please note: All fields marked * are mandatory and must be completed. The information entered here will be displayed on all certificates relating to this asset or used in the energy calculators. 4.2 Transferring an asset Assets can be transferred between portfolios. Click on Asset Transfer after having selected the portfolio that contains the asset that should be transferred 4.3 BREEAM In-Use International 2015 - Client User Guide V1.3.1 15

Once Asset Transfer has been clicked, select the asset(s) within the portfolio that would need to be transferred (4.3.1) and select the portfolio from the dropdown list (4.3.2) where the asset(s) need to transferred to. Completing an Assessment Create a Measurement Creating a measurement will enable you to assess an asset. Measurement credits must be purchased in order to create a measurement (see Purchase Credits). Select the asset for which an assessment will be created by clicking its name from the Asset List within the portfolio. 5.1.1 Click Create Measurement to begin an assessment for the selected asset. 5.1.2 Click Yes to accept the deduction of 1 Measurement Credit and to continue with the assessment. 5.1.3 BREEAM In-Use International 2015 - Client User Guide V1.3.1 17

Basic Building Details Ownership/Occupancy Details Enter the asset s ownership/occupancy details and select Save to proceed. Please note: all fields marked * are mandatory and must be completed prior to continuing the assessment process. Please note: the information you enter in Assessed Space and Certificate Information Displayed will be displayed on the certificate. Therefore it is important that this information is correct and that there are no spelling mistakes. 5.2 BREEAM In-Use International 2015 - Client User Guide V1.3.1 18

Basic Building Details Asset Dimensions Enter the asset s dimensions. Please note: all fields marked * are mandatory and must be completed prior to continuing the assessment process. Please note: The Gross Internal Area (GIA) must be completed as this information is used in the energy calculation. The area that is entered here must be the same as the area that will be assessed. When undertaking a Part 2 Building Management assessment, full consumption data must be available for this area. 5.3 Gross Internal Area BREEAM In-Use International 2015 - Client User Guide V1.3.1 19

Basic Building Details Asset Type(s) Enter the asset type(s) and asset subtype(s) information and click Save to continue. Up to 5 asset types can be selected to account for buildings with multiple uses. Please note: the sum of the Gross Internal Area(s) (GIA) filled in for the asset type(s) must match the GIA stated in Basic Building Details Asset Dimensions (see previous page) 5.4 BREEAM In-Use International 2015 - Client User Guide V1.3.1 20

Questionnaire Navigate between Part 1, 2 and 3 Once the Basic Building Details have been completed, users can start answering questions under the Questionnaire tab (5.5.1). Move between Parts and sections of the questionnaire using the options on the left-hand side panel. 5.5.1 BREEAM In-Use International 2015 - Client User Guide V1.3.1 21

Questionnaire Answering Questions Complete the questionnaire by selecting the answers to the questions that are displayed. Answer options include: dropdown menus, tick boxes and free fill text boxes. Please note: do not use the copy-paste function in order to populate free fill text boxes as this can result in incorrect data being transferred which would lock the online tool. Click Manage Evidence to view and upload documents to support your answers. Select Show Notes to view and add comments relating to each question. Please note: Please refer to the BREEAM In-Use International technical manual (SD221) for guidance on completing the questionnaire. Scoring Outputs Once all questions for a section within the relevant Part have been answered, the unverified score can be seen under the Scoring Outputs tab. View unverified assessment scores under the Scoring Outputs tab. Please note: The scores achieved are dynamic and will change based on answers that have been selected. 5.7 BREEAM In-Use International 2015 - Client User Guide V1.3.1 23

Downloading Questionnaire as PDF 5.8 Select this icon to work on an offline, editable PDF version of the questionnaire. Please note: The questionnaire that will be downloaded will not display any answers that have previously been selected. Instead, it will be a blank question set that would need completing. Uploading PDF version of the Questionnaire Select this icon to populate the online questionnaire with answers from the PDF document. 5.9 Please note: Existing answers on the online questionnaire will be overwritten with the answers that have been selected in the uploaded questionnaire. Submitting a completed questionnaire Select this icon to submit the completed questionnaire to an assessor for verification. Please note: Completed questionnaires can only be forwarded to assessors from the Scoring Outputs tab. 5.10 Within the pop-up box, select the assessor that will be carrying out the site-visit and verification of evidence in the drop down menu (5.10.1), and select the parts for which certification will be sought (5.10.2). 5.10.1 5.10.2 BREEAM In-Use International 2015 - Client User Guide V1.3.1 25
