Medical University f Suth Carlina Fundatin Special Events Third-Party Fundraising Guidelines DEFINITION A Third-Party Fundraiser (Fundraiser) is defined as an rganizatin, grup r individual raising mney n behalf f the Medical University f Suth Carlina (MUSC), MUSC Hllings Cancer Center, MUSC Children s Hspital, the MUSC Fundatin r any f its related entities thrugh a fundraising event r initiative. THANK YOU MUSC is grateful t thse interested in supprting ur endeavrs in educatin, patient care, research, and cmmunity utreach. We recgnize the great amunt f hard wrk yu will assume n ur behalf and want yur event t be a success. Please carefully review the fllwing guidelines, which have been designed fr the prtectin f the Fundraiser and the Medical University f Suth Carlina, MUSC Hllings Cancer Center, MUSC Children s Hspital, MUSC Fundatin and its related entities. GUIDELINES FOR THE FUNDRAISER Apprval Befre yu begin planning yur event, we ask that yu read ur guidelines and fill ut the applicatin a minimum f ninety (90) days in advance f the event. Attached please find an applicatin, alng with cntact infrmatin. Please nte: The MUSC Special Event Liaisn will respnd t yur applicatin within ten (10) business days. The MUSC Special Event Liaisn must apprve the fundraiser sixty (60) days in advance f the event and will ensure the event fllws MUSC guidelines and is cnsistent with its missin and values. Speaker r staff representatin must be requested at the time f applicatin. Due t the large number f requests, we cannt guarantee that an MUSC staff persn (including medical faculty/staff and patients) will be able t attend/participate. Fundraisers cannt use MUSC Fundatin s taxexemptin number/feid t apply fr funding, web dmains, prducts and services. Hwever, if a business makes a dnatin t the event and wuld like the tax-exempt number fr tax purpses r t verify the tax status f the Fundatin, we will prvide the infrmatin directly t the business upn request. Fundraiser must cmply with all IRS regulatins applicable t the event Insurance r liability cverage MUSC letterhead MUSC will nt prvide mailing/email lists f dnrs, vendrs, patients, staff r emplyees fr fundraising purpses and is unable t mail/email infrmatin n behalf f the event. Hwever, MUSC Fundatin can prvided the Fundraiser with prmtinal samples and share psts via MUSC Fundatin s scial media channels, time permitting (see prmtin sectin belw) Page 3 f 6
Prmtin Publicity may nt suggest that the event is being spnsred, c-spnsred, r prduced by MUSC, but instead must state that MUSC is the beneficiary. All publicity must specifically state within the marketing materials that the event is an independent fundraising event benefiting the Medical University f Suth Carlina Fundatin, MUSC Hllings Cancer Center, r the Campaign fr MUSC Shawn Jenkins Children s Hspital. Any prmtin wishing t give a prtin f the sale f any item t MUSC must state exactly the prtin (either percentage r specific dllar amunts) being cntributed. This infrmatin must be psted wherever MUSC s name and/r lg may appear (e.g., all prceeds benefit the Medical University f Suth Carlina Fundatin; 25 cents frm every dllar raised will benefit MUSC Hllings Cancer Center; r 75% f the prceeds benefit the Campaign fr MUSC Shawn Jenkins Children s Hspital, etc.) The Fundraiser is respnsible fr marketing and prmting the event, including media, press releases, websites, psters, flyers, direct mail, email, scial media and advertising. MUSC reserves the right t review and apprve all such marketing materials in advance f publicatin. On-campus prmtin f events cannt be guaranteed. An advertisement can be placed in MUSC s campus newspaper, The Catalyst, published every week fr faculty, staff and emplyees. T place an ad in the Catalyst visit http://academicdepartments.musc.edu/newscenter/catalyst-advertisers.htm If all event details (i.e., event name, start date, end date, start time, end time, address, event s cntact phne and/r email, brief event descriptin and event web address, if applicable) are submitted thirty (30) days prir t the event, MUSC Fundatin can add the event t the Fundatin s nline event calendar. The MUSC web editr reserves the right t edit, cndense cpy, r refuse a submissin due t the cpy length, style, timeliness and/r cntent. If the Fundraiser uses scial media t prmte the event, please tag ur fundraising accunt, @ElevateMUSC, n Facebk, Instagram and Twitter, t alert MUSC Fundatin t ptential pprtunities t share cntent. Slicitatin The Fundraiser is nt permitted t use MUSC letterhead. If the event is apprved, a letter f authrizatin will be prvided t validate the event and supprt event slicitatin activities. MUSC must receive a list f targeted spnsrs fr the event befre they are apprached in rder t minimize verlap with ther MUSC events and/r fundraising campaigns that may be underway. Page 4 f 6
Lgs/Phts/Website Lg use is nt permitted withut apprval frm MUSC. This includes dwnlading MUSC lgs frm the Internet. Printed materials in which the name and/r lg f MUSC, MUSC Health, MUSC Hllings Cancer Center, MUSC Children s Health, the Campaign fr MUSC Shawn Jenkins Children s Hspital, and its affiliates must fllw and cmply with the MUSC Brand Identity Guide. All individuals, grups, and rganizatins (bth n- and ff-campus) that desire t use the MUSC indicia (marks, names, and lgs) n prmtinal merchandise (bag, t-shirt, cups, etc.) must receive written apprval frm the MUSC Brand Strategy & Enterprise Marketing Office prir t the prductin f any prducts bearing these indicia. Furthermre, nly manufacturers that are licensed by the university are authrized t prduce MUSC merchandise. The use f the brand must als cmply with MUSC Brand Identity Guide and relevant assciated plicies and/r legislatin. Phts n MUSC websites are the prperty f MUSC, and reprductin f phts is nt permitted withut apprval frm MUSC. If lg/pht use is permitted, all materials using the lg/pht must be submitted t the MUSC Special Event Liaisn at least three (3) weeks prir t the print/publish deadline. The submissin must be "prf" quality t represent the true nature f what is being prduced. Event lgs may be develped, but must remain separate and distinct frm the MUSC lg. MUSC reserves the right t apprve Fundraiser event lgs prir t it being used in print r ther media. Permits/Expenses/Liabilities The Fundraiser is respnsible fr cvering all expenses fr the event. MUSC will nt incur csts fr an event, and will nt be able t reimburse the Fundraiser. Event csts shuld be deducted frm the funds raised prir t sending the dnatin t MUSC Fundatin. T reduce csts it is suggested that the event rganizer secure dnatins and services and negtiate reduced csts. The Fundraiser is respnsible fr btaining all permits, insurance and licenses, especially thse fr raffles/games f chance. MUSC will nt be invlved, in any manner, with btaining liqur permits. MUSC is nt liable fr any injuries sustained by event crdinatrs, vlunteers, participants, r any ther individuals related t an event benefiting MUSC r an affiliate. Prceeds Funds raised can be used t prvide unrestricted supprt r can be designated t supprt a particular institute (i.e. Children s Hspital, Hllings Cancer Center, Heart & Vascular, Strm Eye, etc.) r a particular prgram (i.e., Parkinsn s, autism, sickle cell, etc.). If the Fundraiser is: A 501(c)(3) rganizatin, all checks shall be made payable t, mailed t, prcessed by and receipted by the Fundraiser. Event prceeds shuld be mailed within 30 days (in ne check payable t MUSC Fundatin) t: MUSC Fundatin 18 Bee Street, MSC 450 Charlestn, SC 29425. Please nte the institute r prgram designatin (i.e., The Murray Center, Children s Hspital, Hllings Cancer Center, heart, etc.) in the mem line.
