Invitation to the 2016 Skate-a-thon For our players Dear Werewolves Player, We are launching our 2nd Skate-a-thon which will take place on Saturday 9 July from 1.30pm to 2.30pm. This is the Werewolves primary fundraising event involving all of our players. The funds raised from it are completely untied, unlike our other grant funding income, and may be spent flexibly to help achieve the aims of the team. For the skate-a-thon we would like you to select both a skating goal (how far you will skate) and a fundraising goal (how much money you will try to raise). We hope you will set challenging goals and work hard to achieve them. If you give 100% effort to the skate-a-thon you will succeed, have fun, and can be proud that you helped your team. Participants in our skate-a-thon will also have free admission to our family fun skate from 2.30pm to 5.30pm Werewolves of London Committee For our valued families, supporters and friends Dear Werewolves families and friends, Welcome to the Werewolves of London s 2nd Skate-a-Thon! We are looking forward to a great event this year and are writing to ask for your wholehearted support in this year s effort to make it the most successful ever. The Skate-a-Thon is the primary fundraising event involving all of the Werewolves players and their families and is an important source of untied funding which may be spent flexibly to achieve the club s goals. We have found, like many other special hockey clubs, that this type of fundraising event is perfect in substantially involving our players in supporting their team. Our players solicit donations and then do the promised skating. In doing this, players get to work on their communication skills, and showcase their skating ability. We have found that our players take pride in working towards and achieving their skating goals and in knowing that they are helping to support their team. While we expect the players to do the lion s share of the work in this fundraiser, your support of their efforts will be key. Your help will be important in terms of who to approach for donations and make sure that requests are made. We also hope that you will help your player select an appropriate skating goal and an appropriate fundraising goal and help them to understand the importance of working towards these goals over the coming weeks. We appreciate all of your support. Together with our volunteer coaches and committee members you have helped the Werewolves to develop and grow into a successful specialist club. Let s build on this success and make this the best Skate-a- Thon yet! Werewolves of London Committee

Skate-a-thon Fundraising Pack Introduction Thank you for registering as a Werewolves of London Special Ice Hockey Club Fundraiser. In order to help you fundraise we ve put together this little pack to get you started. How to Fundraise Setting yourself a challenge To enable as many people of all abilities to take part in our Skate-a-thon, we ve not set hard targets for fundraisers to meet and have left it to those attending to set themselves their own goals. Our suggestions are around selecting a number of laps of the rink you want to challenge yourself to do or the number of minutes you can skate for. You don t have to set yourself a target around these if you don t want to. It could be that the challenge is just getting some skates on and getting out on the ice. Getting Sponsorship To gain sponsorship we offer two options. JustGiving Online donations The first is to setup your own fundraising page on our JustGiving site. The advantage of this is that you can just provide a link to a webpage where people can pledge their support. It allows you to easily see how much you are raising, you do not need to collect any money in person and the money raised is forwarded directly to the Werewolves of London. It also allows you to gain sponsorship from friends, family and work colleagues that you can t easily meet in person. The disadvantage is that not everyone is comfortable with or has access to technology, so you need to consider whether this is suitable for you. If you would like instructions on how to setup your own page, there are instructions later in this document. Sponsorship form The second option is the traditional paper form where you collect the sponsor s details and collect the money yourself. Please remember if your sponsors are UK taxpayers and are eligible for gift aid they can tick the box. By adding Gift Aid we can make donations worth 25p more for every 1 pledged and it doesn t cost the sponsor anything more but we need to have their full name and address to claim it. We claim the Gift Aid once your sponsorship form is returned with a cheque for the total sum of money collected. When making payment, please make cheques payable to; Werewolves of London Special Ice Hockey Club And send along with your completed sponsorship form to the following address; Werewolves of London Skate-a-thon c/o 43 Castlemaine Avenue South Croydon Surrey CR2 7HU

What happens on the day at the Event? Arriving at the rink When you arrive at Streatham Ice & Leisure centre and enter the lobby you should notice a Skate-a-thon registration desk. This will not be open until 13:00 on the day. Skate hire / Skate aid hire If you need skate hire, this need to be purchased separately from the Leisure Centre reception desk. You will need your receipt to claim your skates or Penguin skate aids upstairs at rink side. Please note the Event registration desk cannot accept payment or issue receipts for hire items. Registration As a fundraiser, it s important you visit the registration desk to notify us of your arrival. Approach the registration desk and give them your name. If you have registered either online or at a training session, then we should know you are coming. If we don t have your name, then make sure we have your details on arrival. Cost to enter As a fundraiser, you are not required to donate an entry fee but you have committed to actively seek sponsorship for the event. If you bring others with you who are not fundraising, the following donations are required. Spectators No fee Skaters - 5 for entry to the family fun skate which follows the Skate-a-thon after 2:30pm. Only fundraisers should be on the ice between 1:30pm to 2:30pm. If you have skaters in your party who require hire items and who are not fundraising, additional fees will apply. Preparing to skate You will be directed to the ice rink to put on your skates and collect any hire equipment. The rink is located on the first floor. There is an area for changing footwear opposite the skate hire. Lockers are available for storage. Going on the Ice The ice will not be accessible until around 13:30 after the ice cut. To access the ice and skate you must use one of the nominated entrances and show your wristband to the Skate-a-thon helper at the door. Only skaters with a valid wristband will be allowed on the ice. Rules on the ice Normal rules of the ice rink will apply. We will try and provide a safe skating area for beginners or more vulnerable however it s expected that skaters should not engage in any behaviour which could impact the safety and enjoyment of others. Marshalls will be on the ice to ensure safety. Leaving the Ice It is expected that people will need to leave and re-join the ice during the event. All that is needed is that you exit the ice at a designated point and keep safe your wristband for when you want to go back on. Parking If you have parked in the leisure centre car park and do not have your vehicle registered with Werewolves, ensure you claim a parking voucher code from the Leisure centre reception to get discounted rate parking. This discounted rate does not apply if you park in Tescos car park so please ensure you park in the appropriate parking and bays upon arrival.

Setting up a JustGiving page What is JustGiving? JustGiving is the world s leading internet platform for charity giving. Since it was launched in 2001, it s enabled over 21 million people to raise 1.5 billion for over 13,000 charities and causes in radically new ways. Through an online and mobile presence it allows us to reach more people than previously possible and helps our fundraisers manage and publicise their efforts at the same time. How do I setup a fundraising page? The Werewolves of London has a charity page already setup on JustGiving. To begin setting up your page for sponsorship first navigate to this website in your web browser https://www.justgiving.com/werewolves/ Once the Werewolves of London Special Ice Hockey Club landing page appears. You should see details of other fundraisers efforts appear on this landing page as they begin to receive sponsorship. Click on the Fundraise for us button to begin the process of starting your own page.

Signing In or Signing Up You will now be asked to sign in. If you have a Facebook account, you can choose to sign in using that. If not you can enter your email address to setup a new account. If you have used JustGiving before and already have an account, you may see your log in details displayed and if just needs your password. You won t then need to complete the signup shown on the next few screenshots. New JustGiving Account If you are new to JustGiving you will be asked to provide your name and a password for your account. You will then be asked to add your Country and Post Code information

Once you have entered your postcode, click on the blue box to get a list of house numbers and streets. Select your house number and street from the list. Before continuing, you may want to uncheck the box ticked which is related to receiving emails from JustGiving that they think you might be interested in. If you are happy to receive these then leave it ticked and click Continue Finding an Event So now you are registered, you should be looking at a page similar to this

Click on the Organised event button to find the event you want to be sponsored for. Perform a search for the Skate-a-thon by entering Skate-a-thon and then the search button. If the Skate-a-thon event is not displayed, click the Create your own event option.

Creating an Event Fill in the details of the event. Select different sporting event from the drop down menu, enter Skate-a-thon as the event name and enter the start and end date as 30/08/2014

If you do not want to receive emails from JustGiving, remember to uncheck the tick boxes in the Stay up to date section. Note the JustGiving web address displayed at the bottom of the form. By default it will be related to your name but you can edit this to something else (provided it is still available). This web address will be your fundraising page. When you have completed the details, click on the Create your page button. Your fundraising page has now been created! Editing your JustGiving fundraising page You are now able to edit your fundraising page to add your fundraising goal, personal pictures, what you are trying to do and why you are doing it. You can go back at any time and edit this page afterwards but it always helps attract sponsors if you spend a little time personalising this so they can see why you are doing it. When you are satisfied that this page is good then click on Save and continue

Publicising your JustGiving page You will now see what your page looks like. At the top of the page will be an option to share this page with friends on Facebook if you use it. If you are not happy with how the page looks you can click on the Edit this page option. Look at the web address shown in your browser. This is the address which you should share with others on social media or by email to get people to your page.

Managing your JustGiving page You can go back and edit your page at any time by logging into the JustGiving site and editing your page details. You can also check on donations, connect several fundraisers together if there is a team of you doing it and post updates.

The Sponsorship form If you have chosen you use a sponsorship form, please use the one provided. If you have asked for this pack by post then it will have been supplied already or if by email then you will need to open the associated PDF file attached in your email and print it out. At the top of the form is an example of how to fill it out. For gift aid submissions it is really important the details are filled in clearly - ideally in Block capitals. What s left to say?
