1 CAMBRIDGE & DISTRICT CLASSIC CAR CLUB ANNUAL GENERAL MEETING Held on Wednesday 9 April 2014 At Cambridge Golf and Conference Centre Minutes of Meeting Jonathan Pallant (Chairman) opened the meeting and welcomed everyone to the 19 th AGM. He thanked all those present for attending. 1. Presentation to Club Charity of the Year Jonathan noted that Cam Sight had been voted the club charity for the year 2013/2014 and announced that Joy Halifax of Cam Sight was present to receive the club s cheque. Jonathan then presented Joy with a cheque for He said that the money had been raised through donations and various club events and thanked everyone who had contributed. Joy thanked the club for their kind donation and outlined the work of Cam Sight in helping people with sight loss to be as independent as possible. The meeting then returned to the business of the AGM. 2. Apologies for Absence Apologies were received from Vera Campbell, Rob Ransom and Steve Sims. 3. Minutes The minutes of the last AGM held on 10 April 2013 were circulated prior to the meeting and had previously also been available on the club website. Jonathan proposed that these minutes were a fair and accurate representation of the last AGM. The meeting approved the motion unanimously with a show of hands. 4. Matters arising. There were no matters arising. 5. Chairman and Webmaster s report (Jonathan Pallant).
2 Jonathan began by describing key elements of his role as Chairman. Firstly, punctual communication on current and future club activities, particularly at club nights and including the welcoming of new members. Secondly, the chairing of monthly committee meetings through which the hard work of running the club is organised. Jonathan thanked the committee for their contributions and particularly Tony and Joan Garratt for their recent support in hosting these meetings. Jonathan then listed the committee members who had served during the past year: Chairman and Webmaster Vice Chairman Treasurer Secretary Membership Secretary Events Secretary Magazine Editor Deputy Magazine Editor Regalia Secretary FBHVC liaison Jonathan Pallant David Hunns Tony Garratt Kathy Lambert Steve Garland Steve Sims Mike Roe Rob Ransom Joan Garratt Mike Dawes He then thanked the club members for their participation during the year and commented on the family friendly nature of the club. He emphasised the importance of members activities in cherishing classic cars not just in isolation but in providing an ongoing historical record shared with the general public, since every car represents a point in history. Jonathan then outlined some of his Webmaster activities such as the restructuring of the membership renewal form and the redesign of the club website for improved function on a wide range of screen sizes. He encouraged members to use the website and provide feedback on experience with it. He then said that he would defer to the other committee members so that they could report on their specific area. 6. Treasurer s Report (Tony Garratt) Tony said that the club s finances were still in a healthy state. Turnover for the last year was in excess of 4000 which was over 1100 more than the previous year. This increase was due mainly to members donations to the charity of the year, the sales of the new range of regalia and the success of the calendar.
3 He noted that the charity fund raising of was made up of collection box donations, from the auction night, 143 from the Christmas raffle and 69 from the barbeque raffle. Tony reported that as the club had been running a healthy balance for some years the committee decided that we should buy a new event shelter and a public address system. This still leaves the club with a combined total of just over 1700 in the bank and in cash. Tony then thanked everyone for supporting the club over the last year and for giving so generously to our charity. 7. Membership Secretary s Report (Steve Garland) Steve began by thanking the club members for their support during the year and encouraging additional help for the committee. He then reported that at the end of March 2013 the club had 84 members and that 54 members had renewed to date. He expressed his gratitude to Jonathan for his IT skills contribution to the membership activities. Steve noted that there is no new membership card each year. The renewal form has been customised for each member in line with the entries in their Members Area of the club website. It is important for individuals who have access to keep their profile up to date. For example having all classic cars owned listed is useful when the club receives requests for information on specific cars and can provide opportunities for the individual concerned. Steve said that there was a plan to audit the system for those members who do not have an address and provide an update for them. 8. Events Secretary s Report This report was prepared by Steve Sims and delivered in his absence by David Hunns. It quickly ran through last year s events and went on to cover club events for LAST YEAR S EVENTS 21 April Drive It Day. This was a popular event with 22 cars driving from Trumpington Waitrose to the Colne Valley Railway in unseasonably fine weather. Thanks are due to Steve Garland for working out the route. 5 May Annual Treasure Hunt. Eleven teams started in St Ives and ended up in Sawtry. Steve thanked John and Gil Boardman for organising the event, which was won by Gavin and Helen Harland. 30 June Sutton Feast. There was a good turnout for this event which enjoyed good weather.
4 13/14 July Manea Gala and Kimbolton Country Fayre. This was a busy weekend with Manea on Saturday 13 th and Kimbolton on the 14 th. We had 17 cars at Kimbolton despite being squeezed into our pitch by the Jaguar club: it was, as usual, a very good day. Congratulations are due to John Perren whose car was chosen as one of the best 14 at the show. 21 and 28 July. The club stand was present at both the Cambridgeshire Steam Rally in Swavesey on the 21 st and the Spitfire, Merlins and Motors event at Duxford on the 28 th. 25/26 August. The Little Gransden Flying Day and Car Show took place on the 25 th and the club stand was at the Fenland Country Fair in Quy on the 26 th. 22 September Club BBQ. This was originally planned for the 15 th September, but cancelled at the last moment due to bad weather. Thanks are particularly due to Steve Garland for contacting as many members as possible to inform them of this cancellation. There was a good turnout on 22 nd. Steve thanked Steve and Pam Garland for all their hard work getting everything ready (and allowing us to tear around their field in the auto-gymkhana) and also thanked everyone who donated raffle prizes and brought along food. EVENTS FOR April Drive It Day. From various start points we are ending up at the Nene Valley Railway (see magazine for details). 4 May. The Duxford Spring Classic. 11 May. Annual Treasure Hunt. 28 June. Club Run to Tiger Racing in Wisbech. 13 July. Kimbolton Country Fayre. Steve asked those requiring Kimbolton tickets to put their names on the list at this meeting or contact him. 16 August. RAF Mildenhall. Steve asked those wishing to attend to put their names on the relevant list. This event is run by the American Forces car club and they will need details of attendees such as full names and addresses. Photo ID and participation in the security procedure will also be required. 25 August. Fenland Country Fair in Quy. 20 September. Gamblingay Village Show. 16 November. Organised trip to the NEC Classic Car Show. 9. Magazine Editors Report This report was prepared by Rob Ransom and delivered in his absence by Kathy Lambert. It has been a very successful year for Cam Chatter with the number of members contributing articles and photographs increasing over previous years. It is impossible
5 to thank everyone who has contributed but special thanks are due to the stalwarts: Tony and Joan Garratt and the ever-reliable Jonathan. It is to be hoped that the incoming Chairman will continue his example. Thanks are also due to Mike Roe who has led the editorial team for many years. He is stepping down at the AGM but promises to continue with cartoons and articles in the future. Rob encouraged everyone to keep the articles coming, particularly of meetings and events attended along with a few photographs. This is because a Club Magazine is only as good as the articles received by its editor from its members. 10. Regalia Secretary s Report (Joan Garratt) Joan thanked everyone who had bought the new regalia and particularly those who had acted as models for it. She also reminded members that single items can easily be ordered as they are made on demand. 11. Election of New Committee The committee then resigned from office. The only person not standing for reelection was Mike Roe. Jonathan oversaw the first election for the post of Chairman. David Hunns was proposed as the new Chairman by Jonathan. The motion was seconded by Steve Garland. The election of David as Chairman was agreed unanimously. David then took over the meeting for the rest of the elections. The second election was for Vice Chairman. Andy Milne was proposed as the new Vice Chairman by Tony Garratt (Andy has previously served for one year on the committee). This motion was seconded by Steve Garland and in the absence of any objections, Andy was declared duly elected. 6 Magazine Editor Rob Ransom Ben Leader Alistair Yeldon FBHVC Liaison Mike Dawes Jonathan Pallant Ben Leader Webmaster Jonathan Pallant David Hunns Joan Garratt There being no further applicants, the above nominees were proposed for election and in the absence of any objections, declared duly elected. David thanked everyone for their support in these elections and asked for volunteers for the role of Roadie or as a general helper on the committee. There were no volunteers. It was subsequently agreed that the Roadie role was better shared between 4 or 5 people who could be called upon on according to the location. Brian Northwood agreed to become one of those individuals. David then paid tribute to Jonathan s contribution as Chairman over the last 2 years (and previously as acting Chairman), noting that he took over at short notice and had done a fantastic job, always being there and contributing a huge amount of work. There was a round of applause for Jonathan. David said that he looked forward to his role as Chairman, including efficient committee meetings and ensuring that things happen. He encouraged feedback from club members on what they want to happen and what is missing. He also thanked members for their support and the good turnouts for past club events. 12. Loyal Member s Award (David Hunns) David said that the Loyal Members Award has been awarded every year since 1999 to the member who is recognised by the committee as having gone out of their way to support the club. This is the member who turns up at every event and whose enthusiasm for the club helps make it the type of club to which we all want to belong. The Award is represented by a shield which is engraved with the names of all the winners (last year s winner was Alistair Yeldon). This year there was a unanimous decision by the committee that the award should go to a person who has shown great leadership and enthusiastically carried out a massive workload in the combined role of Chairman and Webmaster: Jonathan Pallant. Jonathan thanked the committee for the award and noted that he had only missed one meeting during the last year (during the birth of his second daughter). 13. Any Other Business 13.1 ELECTION OF CLUB CHARITY
7 Five nominations for the 2014/2015 charity were proposed and the members present voted for their preferred charity with the following results: Charity First vote number Second vote number East Anglia s Children s 9 20 Hospices Pidley Mountain Rescue 7 NA Dial-a-Ride 2 NA Teenage Cancer Trust 3 NA Magpas 9 13 East Anglia s Children s Hospices was therefore confirmed as the 2014/2015 club charity DSCUSSION ON MEMBERSHIP SUBSCRIPTION/MAGAZINE DISTRIBUTION The current membership form has a default option to receive Cam Chatter by post. Magazine distribution is major cost for the club with expenditure 575 on stamps and 150 on printing/envelopes last year. Therefore it was proposed that receipt of the magazine by should be encouraged and the membership default option in the future should be . There was some support (by show of hands) for this and for a lower club subscription for those members receiving the magazine by . It was also suggested that the magazine issue date could be moved to later in the month and that paper copies could be distributed at club night for those who do not have internet access. It was also noted that a paper copy of the events calendar would be useful for such members CLOSING COMMENTS A comment was made that the Cambridge Golf and Conference Centre did a marvellous job on the Christmas Meal last year and would be a good venue for the event this year. Alistair Yeldon then thanked the committee for their work during the last 12 months. There being no further business David declared the 19 th Annual General Meeting closed at 9.43pm.
