Business Arising From Last Meeting We have done as much outsourcing as we can for the Centennial Project. We will be meeting with the City and cutting a cheque for $14,000, $10,000 of which will come out of the Rotary Club of Coquitlam Centre Foundation. Our club s term deposit is coming due on Monday. Dave recommends increasing it to $20,000. Club Christmas party will be held on Monday, December 12 th. Dave to look into whether Guenter Stahl s commons room is available. Clive Evans Dave McCosh Kurt to order a dozen aprons with our club name on them. Kurt Pregler 2. Treasurer s Report There are a number of expenses that seem to come in that are not budgeted for. We need to ensure we have funds available for cash flow prior to committing to funding any future endeavours. Members should check with their respective Avenue of Service Chair and our Club Treasurer, Clive Evanas. We have a number of members that have not paid their dues yet. Clive reviewed the delinquent accounts and will be following up with those members. Steven Burridge to follow up with Louise Thorburn to see if she has been to the bank to sign the club Foundation paperwork to get Clive Evans cleared as a signatory on the Rotary Club of Coquitlam Sunrise Foundation account. 2 3. International Service We are committed to US$1,500 to the Rotoplasty project this year. Guenter needs $2,000 this year and $1,000 next year to complete the Ukrainian Orphans project. We have $3,500 budgeted for Youth Exchange costs (incoming and outgoing). At present, we are overbudget but have options to make up the difference (i.e. budget transfer or fundraiser). Dave McCosh requested a report on firm budget requirements to be provided by Karen Harrison for the next Board meeting. It was expressed that our club be involved with the South African project being proposed by the Rotary Club of Port Moody. We will look at possible ways we can get involved, depending on budget and what means we may have to raise additional funding for that specific project. We have paid a $650 invoice to the District Youth Exchange Committee for Henrique Galli. This was our half of the total $1,300 invoice shared with the Rotary Club of Port Moody. Interviews have been completed for outbound students for next year. reported that we have 2 very good candidates. Jason and Darrell Burnham (Port Moody) will be approaching the Coquitlam and Port Coquitlam Centennial clubs to see if they are interested in partnering by providing host parents. If they are, we may they may be able to accommodate both candidates. It was requested that we get Henrique to do a write-up on himself including the 5 top things he would like to do while here. Jason Jakubec/Dave McCosh to ask him to do this for the newsletter and website. Karen Harrison Dave McCosh 4. Club Service Tom Albanese solicited feedback on the new room setup. It was generally accepted that the new layout really improves the atmosphere. The City is not keen on getting round tables because there is nowhere to store them. Discussions and investigations are under way for alternate chairs. 2

3 Dave McCosh solicited feedback on planning of a General Assembly. It was agreed that it should be held during the second or third week in January. Tom Albanese to notify Tereza McDermid for scheduling. Future assemblies should be booked quarterly (April) Any program ideas should be sent to Tereza McDermid and Vera Durda. The Board approved purchasing discounted red and white wines for door prizes at each week s meeting. Cost will work out to under $3 per week. Membership Dave McCosh mentioned that he would really like us to think about having a Membership evening where we invite prospects and have a social evening. Dave views this as an investment in the club, not an expense. This event could happen either this year or next. Peter Kobayashi distributed the up-to-date membership attendance which was reviewed for individuals whose attendance was below 60% for the year. We will follow-up with some of the members for whom we are unaware of their specific circumstances. Terry Hawes has been proposed by Barb Stegemann. Peter Kobayashi reviewed Terry s background which includes active involvement in the community. The Board unanimously approved Terry s proposal to our club membership who will be allowed 7 days to express whether they have any concerns. Our next steps are to meet with Terry, explain his responsibilites, and gain his sign-off on induction to our club. Peter Kobayashi 6. Past President s Meeting Steven Burridge will organize a Past President s meeting in 2 weeks regarding next year s Board. 7. Vocational Service Vera Durda expressed that we should try to have a Classification Talk every 5-6 weeks. In January there will be a program on the 4-Way Test that Vera s committee is organizing. 3

4 8. Foundation Report Steven Burridge will be sending a reminder to club members regarding 2005 tax receipt donations to the RI Foundation. Kurt Pregler questioned if there was anything that could be done with orphaned Foundation credits. There is currently a fair amount of money credited to past individual members that is sitting in limbo since those members left Rotary. Steven Burridge explained that in order to transfer those credits to our club, we would require their written permission which could be difficult to obtain for most. Steven Burridge 9. Community Service Our club will continue for one more year to support the Scouts because the Port Coquitlam Centennial club does not feel they have the financial resources to take over yet. First draft of the scholarship initiative is completed. Stan Wylie and John Panrucker to review, followed by circulation to the Board and membership in the next month or so. Kurt Pregler requested that participants take photos of the Light the Lake event for our club website, newsletter, and community newspaper pages. Arrangements have been made for the Hawthorne Christmas Party. John Panrucker is looking for a piano player to accompany the youth group choir. It was suggested that he might want to check with Steve Witiuk from the Port Moody club if he can t find someone else. Stan Wylie John Panrucker 10. Health & Wellness Linda Beer reported on her visit and discussion with the Stahl s after the loss of their son. Karen Harrison asked if their was anything that we could do to further support the Stahls. Linda mentioned that she will conduct some followup at a later date as most assistance is concentrated immediately after a tragedy like this and often the family is forgotten later on when they may still require support. 4

Golf Tournament $28,000 was raised from this year s tournament, half of which will go to our club less a minor seed amount of approximately $1,000 for startup expenses for next year s tournament. Planning for next year s tournament is beginning this week. The core four (Greg Garrison, Peter Kobayashi, Kurt Pregler, Linda Balzer Port Moody) will be returning to lead the tournament again this year.
