Bids must be complete and specific. All documents and bid forms required by the specifications shall be submitted in the original bid. Bids will be free of alterations and erasures. Bids will be properly signed by the bidder or by a legally authorized officer or agent of the bidder and notarized. Bid must include all delivery fees, installation costs, etc. All name brands listed in the bid specifications can be changed to an approved equivalent. The approved equivalent must be listed on the bid returned to the City of Vestavia Hills by the above described date/time in a sealed envelope as mentioned above. The officials of the City reserve the right to accept the bid they deem is in the best interest of the department. The City will be the final authority in determining compliance with the specifications. The City reserves the right to reject any or all bids with or without cause. 3 CITY OF VESTAVIA HILLS FIRE DEPARTMENT UNIFORM BID SPECIFICATIONS Page 3 CONDITIONS The Fire Chief or his representative will inspect samples, prices, and delivery dates. It will be left up to his discretion as to awarding of bid. Items which are not included on the bid cannot be purchased by the employee without approval from the Chief of the Department or his representative. The vendor will be responsible for fitting every employee to his satisfaction with no charge for necessary alterations. Any disagreements regarding fit will be decided by the Chief of the Department or his representative. Uniforms will be delivered in a timely manner to the Chief of the Department or his representative. Each employee s order will be bagged individually with his name and a packing slip. Each employee s order will be invoiced separately. Samples of uniforms will be supplied before bid date and will be kept by the Chief until uniforms are delivered complete. If there is any change from specifications as in bid, bidder will state change in writing. Uniforms and accessories to be kept in stock to be purchased as needed for calendar year of October 2015 through September 30, Contract period is from date of award for a period of one year, with the option of the City of Vestavia Hills and agreement by suppliers to renew the contract for two additional years. This option agreement shall be based on review of merchandise supplied and service rendered by successful bidder. Bidder request details on lease purchase and/or purchase of said items. 3
