SILENT AUCTION COMMITTEE Help procure items, organize them for display, be available for set up day of the event LIVE AUCTION COMMITTEE Help procure items for silent auction, organize donations RAFFLE Organize raffle and selling of tickets. Help procure raffle donations SPONSORSHIP COMMITTEE Help find new sponsors and underwriters
TEACHER OUTINGS Work with teachers and organize teaching outings for silent auction RESERVATIONS Coordinate receipt of payment for tickets Gather credit card information ahead of event, work with database coordinator on seating requests/ sponsored tickets/etc DATABASE Track ticket purchases Track auction items, both Live and Silent Assist in seating assignments CATERING Menu selection Reception hors d oeuvres Table set up
PROGRAM Show Event details for the evening Silent Auction item descriptions Live Auction item descriptions Raffle item descriptions Class Gift item descriptions Teacher Outing descriptions Ads/Donor information Printing SLIDESHOW Compile PowerPoint slideshow of Saint Andrew s history Solicit photo s from alumni and current families, as well as go through school s archives Video will be shown during dinner and possibly reception. DECORATIONS Reception area under the Big Oak Dinner and dancing in the gymnasium All décor relating to event including table décor and linens DOOR DECORATIONS Coordinate with Teacher Outing lead for theme of doors Should be up on Teacher Doors approximately 4 weeks prior to event Each teacher with an outing should have a door decoration PUBLICITY Target market: Saint Andrew s community Local community Prior supporters
HOSPITALITY Coordinate snacks and drinks for set-up on Thursday afternoon and all day Friday before event. Coordinate breakfast snacks and drinks for Sunday during event take down GAMES 2-3 games during the reception/silent Auction time 1-2 games for after dinner in the gym BID PADDLES Per reservations, assign bid paddles accordingly Paddles should be available at check-in table to give to attendees Create paddles per event theme EXTRA HANDS These hands will assist with various tasks throughout the planning
CHECK IN Confirm number of tickets purchased and give assigned bid paddles Confirm credit card number to be used for the evening Provide program, bid paddle and table assignment CHECK OUT Tally silent auction purchases. Provide, during dinner, summary of silent auction purchases to buyers Confirm collection of purchases (wins) for after dinner
