Welcome to Ballarat Pony club for the year 2017-2018 Thank you for joining Ballarat Pony Club! We hope your family enjoys being part of the club and benefits from the many skills gained through participation in the club. The following is a list to help ensure you complete your membership forms correctly. There are three steps: 1) Fill out the PCAV Membership Info online 2) Fill out the BPC Membership on paper and email/mail to us 3) Pay BPC via direct deposit as per BPC Membership form Please fill out your basic PCAV membership on line through the link below: https://osm-pony.omnisportsmanagement.com Your PCAV Membership will be authorised by us once we have received your payment It is implicit in applying for membership that each family has read and understood the PCAV Code of Conduct form and Volunteer Form(attached). Please ask at the office if you have any queries. Please fill out the Volunteer Choices form and pop your choices into your diary so you remember when you are helping! Thank you for your understanding as we plan for the year ahead. Please talk to one of the Committee members if you have any questions or suggestions! Each riding member must have completed: A Club Membership A Medical History and Emergency Contacts Form These forms can be done online through the PCAV website. If you are unable to do an online application the forms are at the end of this membership form to fill in manually. Cover Letter and Fees 2017-2018

Fees The Annual Fee Payments required are as follows: Membership Type PCAV Payment BPC Instruction Affiliation Fees Total Payment Associate 158 215.50 11.50 385 Junior 138 215.50 11.50 365 Supporter 0 0 0 0 Explanations: Associate: Is 17 on or after July 1 st 2017 Junior: Under 17 on July 1 st 2017 Supporter: A non -riding individual who has signed a Supporter Form. Signing this form gives both insurance cover and voting rights (if the supporter is 18 or over). It is highly recommended that each family member/friend who may come and help at the Club becomes a Supporter PCAV Payment: Fees include 24/7 Personal Accident Insurance Cover. This insurance enables PCAV riders to claim for injuries sustained whilst engaging in equestrian pursuits at any time of the day. This means riders are covered for Personal Accident outside of Pony Club endorsed activities. Please review this cover on www.ponyclubvic.org.au BPC Instruction Payment: The money goes directly to paying in structors for our rallies. On average this works out to $4.90/hr a real bargain! Volunteer Choices for families belonging to Ballarat Pony Club We value and need ALL our families to volunteer. It is a great help for everyone if we can be consistent in our expectations, and plan our volunteering schedule. As a general rule we look for a minimum of twelve hours a year for each riding member. Here are the options available please choose the one that best fits your needs, or have a chat with us if you need more information! I understand that as a condition of my child joining Ballarat Pony Club, myself and/or my family members are needed to assist with the voluntary running of the club. I would like to Do the regular job I have ticked below and help at the event I have ticked below for a minimum of four hours Help at three Working Bees or Events for a minimum of four hours each OR A list of regular jobs that need to be done: Indoor Jobs Canteen Helper Clean Toilet area Dusting/Sweeping/Mopping Ordering/ Delivery of essentials Outdoor Jobs (these will often be shared jobs for a few families why not organise a few PC friends!) Fence/Jump Painting Raking of arenas Manure Management yards, bins, barrows etc. Turning on/off water supplies and keeping horse wash clean BBQ and Gas bottle management Setting up for rally s (Putting up equipment) Packing up after rally s (Putting away equipment) Whipper snippering/spraying of a specific area Emptying rubbish bins Gardening/Tree Planting/Watering assistance Keeping Clubhouse area swept, clean and rubbish free Organising or helping at three working bees a year Gear Check at Rallies I have another idea I would like to propose! Each year Ballarat Pony Club runs competitions to help fundraise for maintenance and improvement of our infrastructure. These events cannot happen without large numbers of volunteer helpers. There is always plenty of fun, learning and support in setting up and packing up and the more that participate the less workload for everyone! No special skills needed! Annual Events Triple Chance Combined Training October Horse Trials To help with diary management here are approximate dates of our annual events: Triple Chance is usually the third weekend of January for two days Combined Training is usually first week of March for one day The October Horse Trials are usually the second weekend of October for two days Joining the Committee Becoming part of the Committee is good fun, enables you to contribute to the club and helps make sure our club runs smoothly. There are eleven meetings a year. (Please feel free to chat to any current committee members about what is involved!) Working with Children Check It is PCAV Policy for all non-riding adults who regularly attend Pony Club to have a WWC. Ballarat Pony Club requests that you give us a photocopy of your WWC when you have received it. Please ask if you have any questions about this requirement. As this is a very new policy we are working towards it, and would appreciate your assistance. You need to go to www.workingwithchildren.vic.gov.au. Then make an appointment with the Post Office to complete the document. It is simple and free as you are volunteers for BPC. We like to share some of these photos through our Newsletter, Website, PCAV Magazine and possibly the Ballarat Pony Club Closed Facebook site. Please advise here if you do NOT want photos of yourself/rider/other family member publicised. Full names are never used in public domains. Please feel free to talk to us about your concerns. Also please understand that although there is a PCAV policy about social media we cannot control social media use of our members. Ballarat Pony Club puts the safety,well being and happiness of our members as our first priority. We urge families to come and have a private talk with our President or DC if there are any circumstances that we should be aware of to ensure that you and your child feel absolutely comfortable. We believe that the following issues may relate to some of our members, although there may be other things you would like to discuss. Medical : eg. Medical conditions, management plans, medications etc Accessibility : eg. Any needs that your child may have to help them learn, communicate, interact with others; Any physical barriers that we can help to minimise. Legal : eg. Membership Registration Form CODES OF CONDUCT The Pony Club Association of Victoria s Code of Conduct outlines behaviours that are expected of every person involved in our organisation, as well as identifying the types of behaviours that will not be tolerated. It applies to members, officials, adult supporters, coaches, instructors, spectators, family, friends, administrators and other members of our diverse pony club community. It applies to all PCAV, Zone and Club sanctioned activities. The Pony Club Association of Victoria s Code of Conduct supports everyone to have fun in a friendly and inclusive environment. Our Values and Behaviours Respect and recognition I treat others as I would like to be treated I treat everyone with dignity, courtesy and respect I appreciate performances by all participants I value and recognise good behaviours and the contribution of all I communicate openly and provide constructive supportive feedback Caring The welfare of the horse is paramount I am considerate of others I encourage others to participate but I don t force the issue I never resort to verbal abuse, harassing behaviour, hostility or aggression Integrity I am open, honest and trustworthy I do what I say I am a Good Sport and encourage others to do the same I do not make any disparaging or belittling remarks about others I abide by the Code of Conduct Inclusion I support and help others I am flexible and responsive to people s needs I work collaboratively to achieve the best outcomes I encourage the participation of all regardless of ability, age, gender, sexual orientation, race, culture or religion I contribute towards an enjoyable and safe environment for all. Our Values and Behaviours are central to the Pony Club Association of Victoria s Code of Conduct. Encourage others to raise their concerns Encourage an environment where others can raise their concerns Manage behaviour that is inconsistent with this Code Getting Advice Your Club s officials are your most direct source of information and action. Breaching the Code of Conduct PCAV, Zones and Clubs treat breaches of this Code seriously. If you breach this Code, or assist someone else to breach the Code, the breach will be investigated. If it is determined that a breach has occurred, your Club, Zone or PCAV, as appropriate, will address the behaviour in line with the circumstances of the individual case.
