London Reports to Office Manager Salary Circa 26,000 FTE to 14,857 for a 20 hour week) Status Permanent position 20 hours per week, flexible timings but minimum 4 days in the office Location The Haven, Effie Road, London, SW6 1TB Job Summary Responsible for all the ongoing daily and monthly financial duties required to ensure the smooth financial running of The Haven in London, and to assist in the annual budgeting and accounting processes as necessary. Detailed Responsibilities and Tasks General ongoing financial duties including: Processing cash books and day books (Sage Line 50) Daily banking procedures as required any expenditure Reconciling processed cheques with payment vouchers Raising cheques and processing creditor payments Paying staff and volunteers expenses Manage Trading Haven invoices Claiming Gift Aid tax relief payments Ensuring that all financial records, both paper and electronic, are filed and up to date and that a paper trail is maintained Page 2
Month end processes including: Preparation of monthly management accounts Processing monthly purchase and sales ledgers Carrying out monthly bank reconciliations Processing payroll as required Restricted funds analysis on a monthly basis Reserves forecast on a monthly basis Annual processes including: Assisting in preparing annual budgets recommendations arising from the auditors nual accounts and acting on any Other responsibilities: Working with the Operations Director to ensure that expenditure is managed efficiently and within budget and available resources and alerting the Operations Director to any emerging financial problems and liaising with the auditors as necessary and ensuring that the proper authorisation procedures are followed Any other duties as required on an ad hoc basis Essential Minimum intermediate level competency in Sage Line 50 bookkeeping Excellent organisational skills Accuracy and attention to detail IT literate and competent in all aspects of Microsoft Office Qualifications/Skills Personal Characteristics Sympathetic to the aims of The Haven Good social and communication skills Ability to work under pressure Work on own initiative and as part of a team Desirable Accounting qualification (Preferably ACCA or CIMA) Page 3
About The Haven History In 1996 Sara Davenport sold her art gallery in order to start The Haven. She was inspired to do this somewhere like a Haven to help support her recovery. In February 2000 HRH The Prince of Wales, Patron of The Haven, opened the first Haven in Fulham, London. In January 2004 he opened the second in Hereford. The third Haven opened in Leeds in October 2008. To date The Haven has helped over 5,000 Visitors with nearly 79,000 clinical and therapeutic appointments for women and men affected by breast cancer. Why is there a need for The Haven? 1 in 9 women develops breast cancer in the UK Over 45,500 new cases of breast cancer are diagnosed each year Nearly 250 women will die of breast cancer this week Men can get breast cancer too What is a Haven? Havens are day centres offering free support, information and complementary therapies to anyone affected by breast cancer. We provide a comforting environment where Visitors can benefit from the support of our welcoming staff and from meeting others going through similar experiences. The Haven in London: The first Haven was opened by the charity's Patron, HRH The Prince of Wales, in February 2000. Based in Fulham, West London, it is sited in a former Welsh Presbyterian Chapel that has been sensitively renovated to provide an uplifting and healing environment. The Haven in Hereford: The second Haven was opened by HRH The Prince of Wales in Hereford in January in 2004. It is situated on St Owen Street, close to Hereford County Hospital and the train station. It is a former antiques emporium and dates back to the turn of the century. It has been renovated to provide five individual therapy rooms, a group therapy room, a kitchen, library and offices, enabling us to replicate the services offered at The London Haven on a smaller scale. The Haven in Leeds: Extending our services to those affected by breast cancer in the North of England, this first purpose designed Haven in The Gateway development was opened in October 2008 and has already welcomed over 800 Visitors from Yorkshire. chance. Fundraising It costs approximately 2.1 million a year to run our Havens in London, Hereford and Leeds. Our Haven funds are raised through a variety of methods managed by our Fundraising Team. We have a successful annual events programme. Trusts and foundations also contribute significantly to the annual fundraising requirement as do individuals through our Haven Guardian programme. Government support Current difficulties in funding the NHS mean that we do not expect that the government will provide funds to support complementary therapies, at least until such time as their use can be proven to reduce the cost of conventional treatment. The Haven, therefore, receives no government funding. Our plans assume that running costs and the funding of future Havens have to be met through charitable donations and fundraising events. Plans for the future The Haven has enjoyed considerable success in a short period of time. Its plans are ambitious. Its fundraising and marketing strategy must secure the charity through the current economic climate and also keep pace with planned expansion. The key features of the current strategy are: Ensuring that our services become more widely available and accessible by: o Having a programme of Haven openings with a view to creating a network in areas of greatest perceived need. o Providing support to those unable to access a Haven, via our outreach programme, including our new DVD The Ensuring that the programme offered at The Haven maintains high clinical standards and represents the best that can be offered in light of new research. Generating sustainable income streams. Ensuring the service is used to its full potential; increasing the understanding of the programme by the medical community and further attracting those who might benefit from the services provided. Developing a high performing organisation to support the Haven growth strategy. Developing the marketing strategy: o Strengthening brand awareness and visibility through new branding which has been launched during September 2010 o Increasing awareness of The Haven within the medical community Pursuing a number of focused research programmes, in collaboration with other organisations, into the clinical effectiveness of integrated breast cancer care.
