Users are advised t refer the apprpriate InfrmatinNOW State Guidelines fr specific requirements cncerning attendance setup. Cnfirm that the Withdrawal date schl enters in student s ptin is set t The first day f nnattendance fr districts in all states except Arizna and Kentucky. Check if enrllment is allwed n a nn-schl day r nn-membership days. Check t allw students t enrll and withdraw frm the same schl n the same day if applicable. If applicable, check t Delete Absences After Withdrawal fr students wh are withdrawing. Academic Sessins Academic Sessins are used t identify multiple schl sessins that ccur within a schl year (Ex.: Full Regular Year, Night Schl, Summer Schl). Refer t the InfrmatinNOW Creating An Academic Sessin Quick Reference Guide fr detailed steps fr this prcess. Terms If terms were nt creating during the creatin f the academic sessin, they must be created nw. A term is defined as the shrtest amunt f time fr which classes meet. Fr example, if the schl has classes that meet half f the schl year, tw terms shuld be created t accmmdate curses fr 1 st term and 2 nd term. If the schl has classes that meet 1/3 rd f the year, they are prbably trimester and three terms shuld be created t accmmdate curses fr 1 st, 2 nd and 3 rd term. If the schl has curses that meet 1/4 th f the year, the schl shuld create 4 terms. 1. Ging t System Preferences Setup. 2. Select Terms frm the list and click Refresh. 3. Click Add. 4. Cmplete the apprpriate fields. Required fields are indicated with an asterisk (*). *Name: Enter the name f the term (ex. Semester 1 r Term 1). Descriptin: Enter a brief descriptin fr the term. *Cde: Enter a unique cde fr this term (ex. T1 r 1). State Cde: If required, enter the apprpriate state cde fr this term fr state reprting purpses. SIF Cde: If a SIF cde is required fr state reprting, enter the apprpriate SIF cde here. NCES/Other: If an NCES cde is required fr state reprting, enter the apprpriate NCES cde here. Start Date: Enter the date f the 1 st day f this term. End Date: Enter the date f the last day f this term. CnnectEdu Term: If using CnnectEdu, select the crrespnding credit bearing graded item. 5. Click Create. Nte: Once the term is created, users may click the Grading Perids link under the Manage menu n the left t create grading perids fr this term. Click Fill Calendar Day Types t assign day types t all f the days in the calendar. Day types are created under Schl/District Schl. Search fr and select t View a schl. Click the Acad Sessin tab. Click t View a sessin and click the Day Types tab. Day types are assigned t the attendance days in the calendar in the rder that they appear n the Day Types tab. Click Fill Calendar Bell Schedules t assign a bell schedule t every day in the calendar. Bell schedules are set up under System Preferences Setup r under Attendance Setup. Day Types T create day types, g t Schl/District Schl. Search fr and select t view the schl. Click the Acad. Sessin tab and select t view the academic sessin. Then click the Day Types tab. Add a Day Type While in the Academic Sessin screen under Schl/District Schl and n the selected schl s Acad. Sessins tab, click n the Day Types tab. If the Each Sectin Declares the Days f the Week Which it Meets schedule mdel was selected fr the Academic Sessin, Day Types will already be generated. The Day Types will be the seven days f the week. The user will need t delete Sunday and Saturday if classes will nt meet n thse days; see Delete a Day Type n page 4 fr instructins. If there are n Day Types fr the selected Academic Sessin, the setup screen will appear with n day types. Click Add. Enter infrmatin here as fllws. Required fields are indicated with an asterisk (*). Sequence: This is aut-generated by the system and cannt be changed. *Name: Enter a name fr the Day Type: Examples: Regular; A Day r B Day, etc. Descriptin: This field is nt required. *Cde: Enter a unique cde fr this day type. State Cde: If required, enter the apprpriate state cde fr this day type fr state reprting purpses. SIF Cde: If required fr state reprting purpses, enter the apprpriate SIF cde fr this day type. NCES Number: If required, enter the apprpriate NCES Number fr this day type. Active: Check if this is an active day type. Time Slt: Used if a blck type f scheduling mdel was selected. Enter the time slt in the day and select the crrespnding blck fr that time slt. Fr example, if n Mnday, blcks A, B, C, and D meet, enter Mnday as the Name and Descriptin. Enter Time Slt 1 and select the crrespnding blck f A. Enter Time Slt 2 and select Blck B; etc. If n a Tuesday, blcks D, C, B, and A meet in that rder, enter Tuesday as the Name and Descriptin. Enter Time Slt 1 and select the crrespnding blck f D. Enter Time Slt 2 and select Blck C. Enter Time Slt 3 and select Blck B. Enter Time Slt 4 and select Blck A. Nte: The Add Rw buttn is used t add additinal blck pairs (if mre than eight pairs are needed). The Remve Rw buttn may be used t remve unused blck pairs. Click OK. Cntinue adding all necessary Day Types. Click Cancel when finished. View a Day Type T view r mdify an existing day type, place a check next t the day type and click View r click the name f day type which appears as a blue link. Delete a Day Type T delete a day type, place a check next t the sequence number and click Delete. Change Day Type Sequence When day types are assigned t the attendance days in the calendar, they are assigned in the rder (sequence) in which they appear n the Day Type screen. If the day type sequence needs t be rerdered, place a check next t the day type t mve and use the Up r Dwn buttns t mve the day type t the crrect lcatin in the list. Lkups Lkups pertaining t attendance must be created by ging t either System Preferences Setup r Attendance Setup. Absence Reasns Absence Reasns are the justificatin fr student absence (ex.: Ill, Cllege Visit, N Nte). Once Absence Reasns are created, they must be assigned t at least ne Absence Level. See the sectin Absence Levels belw fr mre infrmatin. Add Reasn Cde Click Add t insert a new reasn cde. Enter the fllwing criteria. Required fields are indicated with an asterisk (*). *Name: The name f the reasn (ex.: Illness). Descriptin: A brief descriptin f the reasn (ex.: Illness Unexcused). *Cde: The crrespnding cde fr the absence (ex.: ILL). The cde will display n mst attendance reprts. State Cde: Refer t the State Guidelines t determine if state cde is required. SIF Cde: Refer t the State Guidelines t determine if SIF cde is required. NCES Number: Refer t the State Guidelines t determine if state cde is required. *Absence Categry: Select if this is cde is t be cnsidered excused r unexcused. Active: Check if this is a currently active cde. Inactive cdes will nt display n attendance entry and reprting screens as an ptin t select. Click Create t save. View Reasn Cde T view r mdify an existing cde, either place a check next t the cde and click View r click the cde name, which appears as a blue link. Delete Reasn Cde T delete a reasn cde, place a check next t the cde and click Delete. Absence Levels Absence Levels cme pre-installed with the prgram and may nt be edited. They include Tardy, Half Day/Perid, Half Day/Perid Other, All Day/Perid, All Day/Perid Other and Check In/Check Out. Once Attendance Reasns are entered, each ne must be assigned t at least ne Absence Level. T d s, perfrm the fllwing steps: Quick Reference Guide Chalkable_0706161606 InfrmatinNOW Attendance 5

G t System Preferences Setup r Attendance Setup. Select Absence Level frm the available list and click Refresh. Click the name f the Absence Level which appears as a blue link (ex.: Tardy). Place a check next t each reasn cde fr which a student may receive a tardy recrd (Ex.: Missed Bus, Dr Appt., Overslept). Place a bullet next t the reasn cde that is mst cmmnly used fr this level f absence. When entering student recrds, this reasn will autmatically be selected t save the user data entry time. Hwever, a different reasn may be selected at that time. Click OK. Cntinue selecting all apprpriate cdes fr the varius absence levels. Cdes may be assigned t mre than ne absence level. Nte: Cdes attached t the absence level Other will nt cunt against a student s absence ttal, ADA r ADM (ex.: Cllege Visit). Blcks A blck refers t an instructinal prtin f time in a day. Users may utilize blcks and perids t establish which classes meet n any given day within a rtatin-style schedule. When using any type f blck scheduling, blcks f instructinal time must be created. T create blcks, g t Scheduling Setup. Select Blcks frm the list f lkups and click Refresh. Click Add t insert a new blck f instructinal time that ccurs in a typical day. These blcks will be used t determine which perids meet n any given day f a rtatin type schedule. Refer t the InfrmatinNOW Scheduling Quick Reference Guide fr full details regarding setup required fr blck scheduling. Perids Perids are defined as the instructinal blcks f time within a day. Nte: Even if perids were cpied during the Create Academic Sessin prcess, it is still a gd idea t check them fr accuracy. T create perids, g t Scheduling Setup. Select Perids frm the list f lkups and click Refresh. Insert perids f the day. Perids are then attached t Bell Schedules with start and end times. Nte: Perids are assigned t each sectin in the Master Schedule. Fr details, refer t the InfrmatinNOW Scheduling Quick Reference Guide. Students may nt be scheduled int mre than ne class fr the same perid, day f week and term. Click Add t insert perids f the day representing the instructinal blcks f time. Bell Schedule A Bell Schedule is created t enter the start and ending times fr each perid f the day. Nte: Even if bell schedules were cpied during the Create Academic Sessin prcess, it is still a gd idea t check them fr accuracy. T create Bell Schedules, g t Scheduling Setup. Select Bell Schedules frm the list f lkups and click Refresh. A list f perids will display alng with the fllwing fields. Required fields are indicated with an asterisk (*). *Bell Schedule Name: Enter a brief name f the bell schedule which will appear when viewing the calendar. Descriptin: Enter a brief descriptin f the bell schedule. Ttal Instructinal Minutes: Enter the ttal instructins minutes fr all perids in this bell schedule. Recncile Daily Attendance using Bell Schedule Start and End Time: If selected, the student s ttal number f instructinal minutes fr the day is calculated by subtracting the end time f the past perid f the day n the student schedule frm the start time f the first perid n the student s schedule. The calculatin fr ttal numbers f minutes will nt lk t determine if any perids are scheduled between the starting and ending perid f the day r whether r nt the sectins are marked as instructinal within the day. Cde: Enter up t a 5-digit cde fr the bell schedule. State Cde: If required fr state reprting, enter the state cde fr the bell schedule. NCES/Other: If required fr state (r ther) reprting, enter the NCES cde fr the bell schedule. Active: Check if this is an active bell schedule. Bell schedules that are nt active will nt display in the bell schedule search screen r when assigning bell schedules t the calendar. System: Will be checked if this bell schedule was autmatically created and may nt be edited. Bell Schedule Variatins Users may assign variatins t perids within a bell schedule. The mst cmmn use fr this ptin wuld be t assign varius lunch waves t ne single perid. T add variatins t a perid n the bell schedule, click t view the perid. In the fllwing example, Perid 4 is the perid f the day during which lunch takes place. There are tw lunch waves at the schl. Wave A: Students t g lunch frm 11:15 11:45 and then t class frm 11:45 1:00 p.m. Wave B: Students g t class frm 11:15 12:30 and then t lunch frm 12:30 1:00 p.m. When entering the variatin start and end times, enter the instructinal time fr the students fr that perid. It is nt necessary t enter the nn-instructinal time. Any time nt accunted fr in the start/end time range fr the variatin will be cnsidered nn-instructinal time. Once variatins are created, each sectin in the master schedule fr that perid shuld be changed t reflect the apprpriate lunch wave. T edit the master schedule, g t Scheduling Master Schedule. On the Search Criteria screen, select the perid and click Search t view all classes that meet fr the perid where variatins were created. Select t View the sectins. Select the apprpriate wave fr the curse. All reprts and the student lcatr screen will reflect the perid but will nt display the variatin. Calendar Once Day Types, Bell Schedules and Terms have been established, a Calendar must be created. G t Schl/District Schl. Search fr and select t View the schl. Click the Acad Sessins tab. Click t view the academic sessin. Select t View Year Calendar under the Manage menu at left. T remve Nn-Attendance Days frm the calendar: Nte: Check State Guidelines fr specific instructins regarding whether t delete nn-attendance days r t mark them as nn-attendance. Select day(s) t be remved by placing a check next t the date and click View. Remve the Day Type and Bell Schedule if either exists. Enter a descriptin if desired (such as Labr Day). Change the Prtin t 0.00 and uncheck all bxes. Click OK. When all nn-attendance days have been remved as In Schl/Instructinal, fill in the day types and bell schedules. Fill Day Types: Click t attach the day type t each day in the calendar. Verify the start and end date and click Create. Fill Bell Schedule: Click t attach the primary regular day Bell Schedule t each day in the calendar. Enter the start and end dates. Select the primary Bell Schedule. Select the day types t which t attach the Bell Schedule and click OK. Exceptin Calendars Fr students wh attend a different prtin f the day n any schl day, an exceptin calendar may need t be created. G t Schl/District Schl. Search fr and select t View the schl. Click the Acad Sessins tab. Click t view the academic sessin. Select t View Year Calendar under the Manage menu at left. Select Exceptin Calendars under the Manage menu. Click the Add buttn t add an exceptin calendar. Enter a Name (such as N Fridays, Half-Day Students, 120/240 Rule r Out f District). Enter a descriptin. Click Create. Click OK in the lwer prtin f the screen. Click n the exceptin calendar just created and click Add in the lwer prtin f the screen. If every day will have the same infrmatin (Half-Day Students r the 120/240 Rule), under Filter, select All. Under Date, select All. Enter the apprpriate Prtin. Fr example, half-day students will have a Prtin f 0.5. Check the apprpriate bxes fr the day including Instructinal, In Calendar, In Schl and Nn- Membership Day. Exceptin: Select if the Student Is In Schl On This Date r if Student Is Nt In Schl On This Date. Prtin/Minutes: Enter the number f minutes required t be cnsidered when calculating attendance. Fr example, if the student must be there at least 120 minutes t avid being marked absent all day, enter a 120 in the Day field. If the student must be there at least 240 minutes t avid being marked absent at least a half day, enter a 240 in the Half field. If a student must be present at least 300 minutes t avid being marked tardy, enter 300 in the Tardy field. Prtin/Fractin: Fr days n which the exceptin students d nt attend and regular students d, select the specific date and enter a Prtin f 0.00. Then uncheck In Schl. If students attend n a day n which regular students d nt, select the specific date and change the Prtin t 1.00. Then check In Schl. On the regular calendar, add a Day Type and Bell Schedule. Membership: Enter the amunt t use when calculating ADA/ADM fr this day fr students wh fllw this exceptin calendar. Enter a 1.00 if this day cunts as a full day twards membership. Enter a 0.50 if the day cunts as a half day in the student s membership calculatin. If the exceptin calendar is fr an entire grade level, n the Acad. Sessin tab fr the schl, under the Manage menu, select Grade Exceptin Calendar. Check the apprpriate grade level(s) and click View. Select the Exceptin Calendar frm the drp-list and click OK. Repeat fr each grade level. T attach the exceptin calendar t a specific student, g t Students Student Maintenance. Brwse t the student and click n his r her Schl tab. Select the Exceptin Calendar frm the drp-list. Attendance Mnth In rder t use the Mnthly Attendance Register reprt, mnths must be created under the Attendance Mnth link under the Manage menu n the left. Click Add t insert a mnth. Name: Enter the name f the mnth (ex. 1 r August). Start Date: Enter the beginning date fr the mnth (ex. 08/06/2012). The start date shuld be the first attendance day fr the selected mnth. End Date: Enter the last attendance date fr the mnth (ex. 08/31/2012). The end date shuld be the last attendance day fr the selected mnth. Lck Attendance: Check t lck attendance recrds fr the mnth. If the data is lcked fr the mnth, n perid attendance, check in/ut recrds r daily recrds may be added, edited r deleted within the start and end dates. Be sure t click OK t save settings. Runded Minutes Tab Illinis Only: Runded minutes are set up under Attendance Setup Runded Minutes tab. Check with the state auditr t see if the schl qualifies fr runded minutes. If s, simply check the grade levels that qualify. Indiana Only: The ability t set up a 1-minute AM/PM parameter fr Indiana is set up under Attendance Setup Runded Minutes tab. Check the grade levels t which the 1-minute AM/PM rule applies. Fr the selected grade levels, all and half-day attendance will be calculated based n this rule. The ttal number f attendance minutes in the student s bell schedule will be added tgether and a half-way pint will be determined. If a student is present at least 1 minute in the first half f the divided minutes, he r she will be present at least half a day. Merge Attendance Rsters Multiple rsters may be merged tgether, allwing the teacher t pst attendance frm ne single list f students frm multiple curses. Only classes that have the same Teacher, Date, Day Type, Term and Perid f the day will be merged. Fr example, if a Special Educatin teacher has several classes assigned fr the same perid f the day, day type, term and perid, all students fr all classes will display as ne rster, allwing the teacher t pst attendance fr all classes frm the same screen.
