Food allergen labelling and information requirements under the EU Food Information for Consumers Regulation No. 1169/2011:
Version 6.05 of Saffron has been developed to take into account the upcoming legislation changes that come into effect on 13 th December 2014. The full details of the legislation and how it will impact on your business can be found in this publication http://www.food.gov.uk/sites/default/files/food-allergen-labelling-technical-guidance.pdf Once your system has been updated the allergens required by the legislation will be automatically added to your system. If you already have allergens setup on your system there is a small chance that we will not be able to automatically add the additional ones that are required to meet the new legislation. If this is the case, we will be in touch to discuss what can be done. The legislation covers the following Allergens; Cereals containing gluten (also need to declare the source from the following Barley, Oats, Rye and Wheat) Crustaceans Eggs Fish Peanuts Soybeans Milk Nuts (also need to declare the source from the following Almond, Brazil, Cashew, Hazelnut, Macadamia, Pecan, Pistachio and Walnut) Celery Mustard Sesame Sulphur dioxide and sulphites at levels above 10mg/kg or 10 mg/litre Lupin Molluscs
Changes to Saffron Product Sub Groups A new field has been added onto the Product Sub Group form called Food. This is so that we can identify what products are food and therefore require Allergen Information. By default every Sub Group will be set to yes. For things like Disposables and Cleaning you should change this to No, this will then change every product that is in that Sub Group. For any products that are set as not being Food, they will be excluded from the checking of complete allergen information on a Recipe. Stock Items Allergens are still Information Tags, but they have now been moved to their own tab. All remaining non allergen tags will be found in the Information Tags tab. Manually input Allergens on a Stock Item On the allergens tab there is an option to add all of the allergens with a default option of either Does Not Contain or No Data. You can then go down each allergen and set the information that you have for that product. If you choose Does Not Contain, it is very important that you change any allergens to No Data for any allergens that you do not have for that product.
Attach supplier allergen information to a product. If you have imported supplier spreadsheets with allergen information or have the 3663 data available, you can attach this data to your product. To do this press the Nutrition button. On the form that is displayed you can then search for and attach the relevant information. If your supplier has given you nutrition and allergen data you will be able to select the same product in both the allergen product and nutrition product. Importing of supplier spreadsheets. If you would like to be able to import supplier spreadsheets into Saffron please email our helpdesk support@fdhospitality.com and they will arrange to set this up for you. Once they have set this up you can import the spreadsheets by carrying out these steps. You will first need to have a supplier setup for the spreadsheet that you wish to import. If you already use suppliers, all you need to do is put a tick in the Nutrition Data Source box. You will find this on the Other tab.
If you don t use Suppliers, then you can access a new form in Operational Modules, Nutritional Analysis then Supplier (Nutrition) Press the new button and then fill in the Supplier Code and Name. The code will just be a short description of the supplier. Once the supplier has been created you will be able to import the spreadsheet. To do this you need to go to Operational Modules, System Integration then Import (Upload File) Select the Import Definition that says Nutrition and Allergen Import. Press on the Browse button to select the file that you wish to import. Then select the supplier that the file is for, finally press OK. If this is the first time you have imported the spreadsheet from the supplier do not tick the Update Recipes button. This should only be used when you are importing updated versions of spreadsheets that have already been imported. If you have multiple updated spreadsheets to import, only press the Update Recipes after the last file has been imported.
Recipes You can now see at a quick glance if a recipe has complete Allergen information. If the Recipe has a Complete box in green then all Food stock items have been setup with all of the allergen information. If however the box is red and says Missing as shown below, then one or more ingredients does not have all of the Allergen information. To find out what items are missing allergen information press on the button. Pressing the setting up. button will display the following form. This will show you what products need allergen information
Seeing the Allergens on a Recipe Saffron automatically calculates the allergens in a Recipe. To do this every ingredient needs to have full allergen information. Just one ingredient without allergen information could cause the calculation to say No Data. For an allergen to be worked out within a Recipe as Does Not Contain, every ingredient has to have this option. To see how a Recipes allergens have been calculated press on the Information Tags button. In the Assembled Tags tab it will show you the consolidated allergens of a recipe. In the Ingredient Tags tab it will show you each ingredient with what allergens are attached to it. You can also manually tag a recipe with Allergens for cross contamination purposes. Allergen Reports Recipe Reports The recipe reports now display the allergens in a more presentable consolidated view In the Nutritional Analysis Reporting section of Reports there are the following reports that will help you identify if you have any data that needs to be corrected. Gluten exception and Nut exception reports will tell you if you have stock items that say a product contains Gluten or Nuts but does not have the Sub Allergen information completed. This will also work in reverse, e.g says it contains Almonds but does not say it contains Nuts. You should run these reports on a regular basis to check your data validity. Also in this section is a report called Menu Listing with Allergens. This will display the allergen information of a menu in a grid format with the following symbols for each allergen.
Allergen Search In Operational Modules, Nutritional Analysis there is a new form that allows you to search for Stock Items or Recipes based upon allergen criteria. To set the criteria for the search click in the Option box next to the allergen you wish to search for and select an option. Once you have entered all of the criteria that you wish to search for press the Search Items button. This will then display a list of filtered products. If the list is too big you can use the filters at the top of the form to narrow down the range of items you are searching for. You can print out the results of your search by pressing the Report button at the top of the form.
Audit of Allergen Changes Any changes to the allergen data of a Stock Item will be audited. The auditing is happening as soon as 6.05 has been applied. The reports to see this data will be available within the next few weeks and will be automatcially applied to your system. Saffron Allergen Portal The Saffron Allergen Portal, is a newly developed addition to the Saffron family. Supporting the changes in Saffron v6.05, the customer facing web portal, is a way of presenting your customers with real time accurate allergen information about the dishes you re serving. Direct your customers to the allergen information they require, through a web address or QR code to your very own web portal, which may also be integrated as part of your own website.
