PBC INTERGROUP - BUSINESS MEETING MINUTES 12/11/13 Open Meeting -------- Serenity Prayer -------- Read 12 Traditions Start time: 6:15 pm Attendance: 51 Declaration of Unity: This we owe to AA s future: To place our common welfare first; to keep our fellowship united. For on AA unity depend our lives; and the lives of those to come. Introduction of new reps: Rosemary T of Vision for Recovery; Michelle of Free Spirited Women; Mark W (Woody) of Design for Living; and Allen of Bring Your Own Recovery. Chairperson: Good Evening, I pray that everyone had a Happy and Peaceful Thanksgiving. If anyone wishes to place a motion on the January 2014 Agenda it needs to be received by me by 5PM next Wednesday December 18, 2013. Please e-mail it to heartofaunicorn@gmail.com. Tis The Season is upon us and we will be in need of help with several operational aspects of these events. Please see where your group is hosting a meeting and see if you can be of service to the event. The Annual Old Timers Event will be held in March. The details are being worked out as we speak, and we will address this at the Advisory Committee Meeting on December 30, 2013 and at the next Intergroup Meeting on January 8, 2014. In January anyone with more than 35 years of Sobriety is encouraged to call Ed in the Intergroup Office let us know if they wish to speak at the Old Timer's Event. We really want to make this event all about Gratitude for our Seasoned Sober Citizens. We have one motion on the agenda tonight. This motion is intended to change our by-laws and Mark will present the motion and take any questions you may have. The motion will be voted on January. We look forward seeing to all of you on January 8, 2014 at the next gathering of Palm Beach County Intergroup and it is our prayer that all of you have a Sober, Safe, Healthy, and Happy Holiday Season. See y'all in January. In Love & Service, Gary B. Alternate Chair: The Alcathons are in order. I am passing around a volunteer list for volunteers to help make sure the coffee is made, the garbage are emptied and bags replaced and that the areas are tidy. I have called group contacts from the groups signed up for the Alcathons, I ve called standing committee chair peoples and now I m turning it over to you as Intergroup Representatives to volunteer as well for this service. More help is better than no help. I am also passing copies of the format of both the Christmas Alcathon and New Year s Alcathon. If there are any questions please ask. These formats will be available to the chair; it will be placed on the front table. The 7 th tradition process goes as follows. Envelopes will be provided with each group s name and more info to be filled out. The money collected goes in to the envelopes. For the Christmas Alcathon the drop box is in the Serenity room in the Triangle Club. There will be a sign showing which cabinet drawer to put it in. For the New Year s Alcathon the same envelopes will be available to the groups. Same procedure and when finished slip the envelope under the door to the office. The office door will be locked, be sure to slip them under the door. Upcoming Event is the Old Timers Panel held in March. We welcome anyone with 35 years plus to start to call into Intergroup and sign up for speaking at this event. ***This month is the last month I will serve. My last commitment is the events of the Alcathon. It has been a tremendous honor to serve an Intergroup Rep, Secretary and

Alternate Chair. We have had much success this year with the Pot Luck dinner and I thank the body for suggestions with the picnic. I very much thank all the Intergroup Volunteers, Standing Committee Chairs and members off AA who stood for service where service is always needed. I have made it possible to not leave Intergroup in the dark with the upcoming event and have all information in a file to assist the next alternate chair. The Old Timers panel event planning has been made, as suggested by others who serve; I have created a spreadsheet weighing out the pros and cons of continuing with the use of the Finland house to the Holy Spirit Catholic Church. A huge price jump has occurred at the Finland house; and for the greater good of Intergroup and AA in Palm Beach County took into consideration some of the suggestion given to me to form this spreadsheet. The Advisory Committee will meet this month for further discussion. A special thanks to those very close that mentored me in this process as well. With Love and Ultimate Service to AA. Linda Treasurer: We had a deficit for the month of $450.50. Ed and I have slightly changed the format of the treasures report. Going forward the report will include an opening balance for both the checking account and the prudent reserve. This is in order to present a more accurate picture of our finances and allow anyone who wishes to do the math. As I mentioned last month, we have received notice that Intergroup has been named as a beneficiary in a will. I have spoken to the decedent s lawyer and the deceased is a member of AA. I have created a motion that will be in new business for how to handle this. Overall, the Intergroup s finances are strong. Thank you for all of the individual and group contributions that make our mission possible. Registrar: The minutes and agenda were e-mailed to the database upon receipt from the Chair, as per the By-Laws of PBC Intergroup. The database was updated after the last Intergroup Meeting. Any new Group reps or Alternate reps, please complete a yellow information card and hand to me or the Secretary. Thanks, Roger B. Intergroup Registrar Office Manager: Total Office Activity for November was 732. This was 80 less than last month, and 11 less than last year. The year to date Office Activity was 8,672 this was 869 greater than last year. There were: 540 more visitors, 100 more emails, and 229 more phone calls made to the Office. We are very grateful for all the Office Volunteers and individuals who stop by to make our service work possible. The Intergroup Office will be closed December 25 th Christmas Day and January 1 st, New Year s Day. The Intergroup Office is open Monday through Friday from 9 to 5, and on Saturday from 9:30 to 1:30. We carry a complete line of AA Grapevine literature as well as AA Conference Approved literature and CD s. We would like to wish everyone a safe, sane and sober holiday. General Service/Intergroup Liaison: I was not at meeting due to working but a support sent me the information below. District 8 mtg minutes - Next quarterly is January 3-5 in Ft Lauderdale. Reviewed yearly budget for 2014. And motion one passed. The one about changing the time of the meeting. So now, the business meeting will be from 4 to 6:30 PM. All reports will be submitted in writing. We skipped verbal reports due to reviewing the budget. L&S, Debra South County Intergroup Liaison: Liaison to South County Intergroup-- The meeting was held a week early on November 20, 2013 to avoid conflict with the Thanksgiving Holiday on the21st. they had reported 427 gratitude tickets sold out of the 450 which was being held on Sat November 23rd. Intergroup had an open house on December 7th, sale on Big Books, food, fun and fellowship. They have a telephone relay. Different groups volunteer for a month at a time with groups committing for an entire month. They have commitments in place through June. Groups picked there time slots form the alcathons. They noted four new group reps. Their General Services Liaison Chair has stepped down and they are seeking volunteers to stand for the position. South County Intergroup will not have a December meeting due to the Holidays. I am covering in the meanwhile but I believe they will get filled this week. We have had quite a few calls for people asking for rides to meetings. This is a tough thing to do and wonder the best way to handle it. Maybe folks have some suggestions and I would love to get them after the meeting. I want to give special thanks to Patty and Robert C for their years of service to our cause. They have rotated out to make room for others to serve. Bridging the Gap Committee: Received a call from a recovery center in Boca re a client who was going to North Jersey - waiting for follow up. Been making announcements at many meetings imploring folks on early recovery to utilize this service Helped someone moving to WV waiting a follow up as soon as contact is established, Would like to encourage folks to announce this this service is available to anyone travelling especially newcomers. It s important to refer those new to recovery that they do not have to go it alone. Thanks for allowing me to help myself by helping others. Institutions Committee: The Palm Beach County H&I Committee currently brings the AA message to 37 facilities. These facilities include treatment centers, detox centers, homeless shelters, assisted living facilities, mental health facilities and correctional institutions. We bring meetings in to those who cannot get out to hear the message. We coordinate 103 meetings, most of which meet every week (totaling approximately 400), brought in by AA volunteers every month. And we have requests to add two more facilities in January 2014. There is a great need for more people to get involved. In November, we had thirteen new volunteers and in December we had four. We still have many meetings in need of leaders. To become involved, please attend an orientation at 4:30 p.m. at The Triangle Club on the first Sunday of each month. NEW MOTION: Proposed Motion: PBC Intergroup shall follow the current guidelines of AAWS concerning contributions from an AA member s estate. Submitted by Mark H., Treasurer. Background: The Intergroup has been named as beneficiary of a will. Currently the intergroup has no guidelines on how to handle such a donation. This motion is intended to give the intergroup guidelines for how to handle such issues. Currently only an AA member can leave money to AAWS and the amount cannot exceed $5000 on a one time basis. I feel that AAWS has given this matter deep consideration and that we should follow their lead.
