Education Programs SDMPI s Education Programs promote the opportunities for continuing skills enhancement and exposure to the latest meeting industry trends. The programs provide a great opportunity to showcase your organization to a variety local meeting professionals. The programs alternate between breakfast, lunch, and evening events. Attendee composition is a mix of independent, third party and corporate planners, in addition to hoteliers, DMCs, CVBs, and other suppliers from the meetings industry. EDUCATION PROGRAMS: Average 75-90 guests* DATE: SESSION TIMING / OPTIONS September 20, 2016 Half Day Summit: *Includes Light Continental and Plated Lunch November 15, 2016 Reception January 17, 2017 Breakfast Lunch Reception March 7, 2017 Lunch Program in conjunction with HSMAI *This event has up to 150 guests including HSMAI attendees ROOM SETS: BOARD MEETING: Conference for 15 (2 hours before or after the program depending on time of day) MEMBER ORIENTATION MEETING (45 minutes prior to the main meeting) Seating for 10-15 people - Must be a separate space REGISTRATION / RECEPTION: (1/2 hour prior to main meeting) Prefer to have just outside the main meeting room. Fall or Spring Fundraising Event October 25, 2016 or February 21, 2017 To raise funds from a silent auction event wherein a portion of the proceeds are donated to SDMPI s chosen charitable organizations. Remaining funds are earmarked to enhance chapter education programs and chapter operations. Meeting space required for registration and to display silent auction items and process winners of 20-30 silent auction items. PROPOSED SCHEDULE: Board Meeting Registration: Reception- Silent Auction 3:00pm 5:00pm 5:30pm 5:30pm 8:30pm ROOM SET: Board Meeting: Conference for 15ppl Registration Area to include: (2) 6 skirted tables with (4) Chairs, Power and trashcan WiFi access for payment processing EVENT & SILENT AUCTION SET-UP: Assorted Cocktail and Lounge seating. (Full seating may be needed based on food service) (8-10) 6 skirted tables, with linens we will place silent auction items on tables Registration desk will be used for auction check out Minimum requirement is a House Sound System DÉCOR: Décor is at the discretion of the venue, and it gives your preferred vendors a chance to showcase their work to meeting industry pros. Holiday Party December 8 or 13th The holidays are a time to be with friends and family. In our industry, we are fortunate enough to work with some of our closest friends (and sometimes family members), so what better way to celebrate the holidays than with a fabulous party! We anticipate approximately (125) planners/suppliers from our membership to attend this event giving you a wonderful opportunity to show off what you can do within your space. PROPOSED SCHEDULE: Set Up for Vendors: Registration: Reception & Dinner 2:00pm 5:00pm 5:30pm 5:30pm 6:30pm ROOM SET: Board Meeting: Conference for 15ppl Registration Area to include: (2) 6 skirted tables with (4) Chairs, Power and trashcan WiFi access for payment processing EVENT: Assorted Cocktail and Lounge seating. Mid-Year Board Retreat January 29-30, 2017 The hosting venue has the opportunity to showcase their venue to the SDMPI Board of Directors and all Committee Teams at this all-day board retreat. Annual SDMPI Board Leadership Retreat May 18-20, 2017 The Board of Directors (BOD) is the governing body of SDMPI and is made up of meeting planners, hoteliers, third-party planning companies and industry suppliers. Hosting the SDMPI Board retreat, you have an opportunity to reach approximately 25 well-connected buyers or buyer referrals in the meeting industry. ANNUAL INSTALLATION & AWARDS GALA June 6, 2017 This is SDMPI s big yearly Gala to recognize outstanding achievements of chapter members, honor the previous year s Board of Directors and induct the incoming Board of Directors. PROPOSED SCHEDULE Registration and Cocktails: President s Reception Awards and Meal: 4:00pm - 6:00pm 4:30pm - 5:00pm 6:00pm - 9:30pm ROOM SETS: PRESIDENT S RECEPTION: (Prior to Registration) This reception is for the VIP Volunteer SDMPI Members who have donated their time to chapter activities. Belly Bars and Cocktail Seating for up to 40 guests (2) 6 skirted tables for certificates and champagne (champagne provided by SDMPI) REGISTRATION / RECEPTION: (1 hour prior to main meeting) Needs to be in separate room/area from the main meeting room and able to accommodate a Registration area, Networking Reception (3) 6 skirted tables for Registration (6) chairs ROOM SET: Seating for up to 140 in rounds of 8 Minimum requirement is a Podium & Wireless Microphone, House Sound System, Riser (12 x 16 min.), Screen, LCD Projector, & minimal Stage Lighting DÉCOR: Décor is provided either by theme of the event and provided by an SDMPI member décor company or at the discretion of the venue. 3-Course meal with 1 drink ticket; salad, entrée (with vegetarian option) and dessert and coffee Alcoholic beverages (after 1 st drink ticket) are provided on a cash bar basis We often have a beer and wine sponsor; venue agrees to pour our donated wine at no cost.
