Obtaining and Installing the DAT App The DAT App Sectin: Obtaining and Installing the DAT App The DAT app, frmerly knwn as the Respnder Prtal app, is a tl designed t help disaster actin team (DAT) members respnd t events quickly and in crdinatin with their fellw respnders. It allws DAT members t: Set their time zne and ntificatin preferences; Sign up fr disaster actin team shifts; and Receive push ntificatins t indicate when they are needed fr a respnse. (Push ntificatins autmatically display n a smart phne r tablet; event ntificatins can als be received via text message, vice message, and/r e-mail.) And when a DAT member is assigned t a respnse, they can use the DAT app t: Receive push ntificatins fr assignments; (Assignment ntificatins can als be received via text, vice message, and/r e-mail.) Map a rute t the event r rally pint; See wh is respnding with them and wh is serving as their Duty Officer; Cmmunicate with the respnse team and Duty Officer by recrding ntes r directly cntacting them via their cntact infrmatin; and Indicate when they are n-scene and ff-scene. Plus, Duty Officers and thse in supprt rles (Disaster Health Services, Disaster Mental Health, Public Infrmatin Officer, and Disaster Spiritual Care) can als use the DAT app t set their time zne and ntificatin preferences, and t sign up fr shifts. (Thse in supprt rles d nt receive autmated ntificatins frm the system, s setting ntificatin preferences is nt as critical fr them as it is fr DAT members and Duty Officers.) The app wrks n a smart phne r ther mbile device, and there is als a web-based versin that wrks n a cmputer. Obtaining and Installing the App The DAT app functins n ios and Andrid devices, s it is available at the App Stre and Ggle Play. Search fr the app (see the table belw fr details n searching), scrll as needed, then install and pen it, just like yu wuld any ther app fr yur phne r device. There is n cst assciated with btaining r installing the app, but yu shuld be cnnected t Wi-Fi when dwnlading, as the app is a little ver 30 MB in size. Sectin: Obtaining and Installing the DAT App App Stre Ggle Play Search fr Disaster Actin Team. Search fr Disaster Actin Team Nggin. Nggin is the name f the vendr fr RC View DAT Dispatch. It is critical t cmplete a few simple steps after installatin t set the time zne and ntificatin preferences. Cmpleting thse steps is vital t ensuring that time stamps display as expected and autmated ntificatins regarding disaster actin team events and respnses are received. If desired, add a pht t the prfile in the app, which by default shws initials. When respnding t an event, the pht displays in the app s listing f the assigned DAT members, s it will be seen by thers. T add a pht, cnnect t Wi-Fi t save n data usage and speed uplad time. Sectin: Obtaining and Installing the DAT App Upn first pening the app, it will briefly display a white splash screen and then a red lg in screen. Tap Lg In at the red screen. The app psts a secnd Lg In screen. Authr: RC View DAT Dispatch Pilt 6

Sectin: Obtaining and Installing the DAT App Enter the same e-mail address and passwrd that used t lg int Vlunteer Cnnectin, and tap Sign In. It is pssible t clse the app n the phne r device withut needing t lg in again when the device is re-pened. Tap the Frgt passwrd link t retrieve a frgtten passwrd. Resetting a passwrd requires access t e-mail. It may be easier t d a passwrd reset n a cmputer using the web-based versin f the DAT app: dat.rcview.redcrss.rg. If a DAT member wants t receive push ntificatins frm the app t prvide an alert t respnse requests, respnd affirmatively t messages asking abut push ntificatins. Regardless f this push ntificatin setting, there may be autmated system ntificatins accrding t set ntificatin preferences. Details n setting thse preferences are prvided in the fllwing table. Sectin: Obtaining and Installing the DAT App The app defaults t the My Events screen after lgging in. The screen will be blank if there is nt a current request r event assignment. Tap the hamburger icn t navigate t the app s Main Navigatin screen. The hamburger icn appears in the app s upper left-hand crner: three hrizntal white lines. Authr: RC View DAT Dispatch Pilt 8

Sectin: Obtaining and Installing the DAT App Setting the Time Zne Once the DAT app is installed, take a few additinal steps t cnfigure it fr individual needs. First, designate the lcal time zne t ensure that shift listings and event time stamps are shwn as expected. Tap yur name. The app lads the Edit Prfile screen. Authr: RC View DAT Dispatch Pilt 9

Setting Ntificatin Preferences and Uplading a Pht Sectin: Obtaining and Installing the DAT App Setting ntificatin preferences determine hw autmatic event ntificatins are sent and received. Here are key things t keep in mind when setting ntificatin preferences: The cntact infrmatin phne number(s) and e-mail address(es) listed in the DAT app cmes frm Vlunteer Cnnectin. If a phne number r e-mail address update is necessary, it must be dne in Vlunteer Cnnectin. It typically takes an hur fr cntact infrmatin updated in Vlunteer Cnnectin t appear in RC View DAT Dispatch and the DAT app. Set vice ntificatins t be received at a single phne listing. If the desired number is listed multiple times, select nly ne f thse listings. Selecting multiple phne listings fr vice ntificatins can lead t difficulties in receiving and respnding t autmated vice ntificatins. There must be a SMS/Text Number listed in rder t receive text ntificatins. If there is a primary and secndary e-mail address listed, e-mail ntificatins will be sent t bth. Receiving push ntificatins frm the DAT app requires: Internet cnnectivity, thrugh either cellular service (with a data plan) r Wi-Fi; Push ntificatins activated fr the app n the phne r device; Lgging int the app at least nce; At least ne ntificatin preference set fr RC View DAT Dispatch. The app des nt send push ntificatins t Duty Officers t alert them f the need t activate an event respnse. Duty Officers must rely n ther means f ntificatin fr thse alerts. Sectin: Obtaining and Installing the DAT App Tap Phne/SMS. T receive autmated vice ntificatins, ensure that nly a single phne listing is selected. It is imprtant t select nly ne f the fur phne listings (Hme Phne, Wrk Phne, Alternate Phne, Cell Phne). Deselect listings as needed t leave a single ne selected, r if autmated vice ntificatins are nt desired, de-select them all. T receive autmated text ntificatins, ensure that SMS/Text is selected; therwise, ensure it is nt. Tap the arrw t return t the Edit Prfile screen. Authr: RC View DAT Dispatch Pilt 13

Registering fr Shifts with the DAT App The DAT App s Scheduling Features Shift Sign-Up Sectin: Registering fr Shifts with the DAT App Bth the DAT app and its web-based versin allw DAT members, Duty Officers, and thse in supprt rles t sign up fr shift assignments. The Shift Sign-Up feature displays any shifts that are pen fr registratin t the individual using the app. A number f cnditins determine which shifts display fr registratin t a particular DAT member, Duty Officer, r persn wrking in a supprt rle. The persn must be assciated with the shift type n a DAT r Duty Officer schedule. Fr example, if Candice s DAT Crdinatr has assciated her with DAT Respnder (On Call) and DAT Respnder (Generally Available) shifts n a single disaster actin team schedule, she will see nly listings fr shifts f thse types frm that disaster actin team schedule. She will nt see DAT Respnder (Emergency Only), DAT Leader, r DAT Trainee shifts frm that schedule, nr will she see shifts frm ther disaster actin team territries in her regin. Only disaster actin team shifts that have nt met their designated maximum appear fr selfregistratin. A DAT Crdinatr sets the maximum values and can schedule mre than the designated maximum when desired. But the DAT app prhibits self-registratin beynd a disaster actin team shift s designated maximum. (N such maximum exists fr Duty Officer schedules.) Self-registratin is limited t the hurs featured in the shift listings. If Hayden sees a shift listing fr 8:00am t 4:00pm n Nvember 10 and wants t wrk nly frm 8:00am t 12:00pm, he cannt selfregister fr that abbreviated shift. He wuld need t cntact his DAT Crdinatr instead. The DAT app allws registratin fr verlapping shift assignments, but it displays a warning when smene attempts t register fr simultaneusly ccurring shifts. Nte that a DAT member may at times need t register fr verlapping shifts. Marcie may want t register as a Generally Available DAT member fr the week f August 20-26, and as an On Call DAT member frm 4:00pm t midnight n Tuesday and Thursday f that week. My Schedule A secnd feature, My Schedule, allws a persn t see the shifts fr which they are already registered. They can cancel DAT member shifts, but nt Duty Officer shifts, using the DAT app. A few cancellatin restrictins apply: A disaster actin team shift assignment that has already reached its start time cannt be cancelled. An On Call disaster actin team shift assignment that will start in less than 24 hurs cannt be cancelled. If a DAT member tries t cancel a shift assignment that has already started r an On Call shift assignment that will start in fewer than 24 hurs, the DAT app will nt allw them t d s. They will need t instead cntact their DAT Crdinatr. Generally Available and Emergency Only disaster Authr: RC View DAT Dispatch Pilt 16

Registering fr a Shift The Shift Sign-Up feature indicates days when a shift is available fr registratin with a white circle utlined in blue. Sectin: Registering fr Shifts with the DAT App Viewing Existing Shift Assignments (and Cancelling When Needed) The My Schedule feature displays a green circle fr days when a DAT member, Duty Officer, r persn wrking in a Supprt Rle is assigned t a shift. Click n a day t see its shift details and cancel a disaster actin team shift, if desired. (Fr details n restrictins that apply t shift cancellatins, see the My Schedule item abve.) If the selected day is part f a multi-day shift assignment, the app displays a separate shift listing fr each day. Tap the desired shift listing. The app displays the shift s details. Sectin: Using the DAT App during a DAT Respnse Using the DAT App during a DAT Respnse Once a DAT member has been assigned t a respnse, use the DAT app t: View its lcatin, type, Duty Officer infrmatin (including cntact infrmatin), and rally pint (if any); Map a rute t the event; Indicate n-scene and ff-scene status; View infrmatin n vehicles and ther respnders, including their cntact infrmatin; View and recrd DAT ntes. Of thse functins, a DAT member is required t indicate when they are n-scene and ff-scene, and t cmmunicate with the respnse team and Duty Officer as needed. DAT members wh d nt have access t a smart phne r tablet shuld nte their arrival and departure times at the event lcatin, t share that infrmatin with their Duty Officer later. The Duty Officer can manually recrd in the system when DAT members were n-scene and ff-scene. The steps belw shw hw t perfrm each f these functins. An additinal feature, Event Services, is available t respnders t summarize the services prvided during the curse f an event (e.g. Direct Client Assistance r Disaster Health Services). That feature is intended as a high-level summary f what ccurred fr a given disaster actin team respnse and des nt substitute fr infrmatin and narrative that wuld be recrded in CAS 2.0. At this time, the Duty Officer and ther respnders assigned t an event d nt have visibility int the Event Services that each DAT member recrds. It lists events that are nt assciated with a disaster relief peratin (DRO) that have ne f these Event Status values: Requested: A Duty Officer has been identified fr the event respnse. Assigned: The minimum number f DAT members needed fr the respnse has been assigned t it. On Scene: At least ne DAT member has arrived at the event lcatin. The list f events that a persn sees depends n their system permissins fr RC View DAT Dispatch: Mst including DAT members, Duty Officers, and ther reginal Disaster Cycle Services staff see their regin s events; Divisinal staff see their divisin s events; And natinal staff see events frm acrss the natin. Typical Data Usage fr the DAT App Sectin: Typical Data Usage fr the DAT App Using the DAT app when nt cnnected t a Wi-Fi netwrk results in the cnsumptin f cellular data, which cunts against the data plan assciated with the phne r tablet where the app is being used. While the amunt f data usage fr a task perfrmed n the app will nt always be the same, especially acrss different devices and carriers, it helps t have a sense f hw much data ne may cnsume when using the DAT app. This sectin aims t put that data usage int cntext and t prvide tips fr reducing the amunt f data used by the DAT app. The actin related t the DAT app that cnsumes the mst data is dwnlading it t a phne r tablet. The app is a little ver 30 megabytes (r 30,000 kilbytes) in size, s t avid cnsuming that much data, cnnect t a Wi-Fi device befre perfrming the dwnlad. Once the app is dwnladed, it is pssible t perfrm hundreds f tasks using the app in the field, while nt cnnected t Wi-Fi withut using the same 30 MB f data required fr the dwnlad. If adding a pht t the prfile in the app, cnnect t a Wi-Fi netwrk t save the data usage assciated with uplading that pht. After the app is dwnladed and installed n a phne r tablet, additinal data usage cmes frm using it fr day-t-day tasks. Here is a list f sme representative tasks; the Number f Kilbytes (KB) Cnsumed values are a range based n test results frm multiple devices and carriers, and frm testers with varying degrees f prir activity (e.g. the number f disaster actin team schedules they were assciated with and the number f shifts fr which they had already signed up). Users may stay lgged int the app fr lng perids f time; it is nt necessary t lg in and ut each time. T gauge the data cnsumed by using the app fr a disaster actin team respnse, a tester with an iphne 6 stepped thrugh representative tasks, including the fllwing: Accepting a respnse request frm a push ntificatin; Viewing the cntact details fr tw respnders fr the same event; Changing Respnder Status t On Scene; Changing Respnder Status t Off Scene; and Navigating back t My Events, then t Current Events, then t the Main Navigatin screen. After perfrming thse steps fr five events, the average data usage per event was 82 kilbytes, r abut the same as sending tw text messages f 1,000 characters. At that rate, a DAT member culd use the app n a single respnse every day fr a mnth and cnsume 2,460 kilbytes f data, r abut the same as lading a single article frm the Washingtn Pst app. Data usage can vary, f curse, but multiplying the bserved data usage by ten wuld mean the cnsumptin f 24,600 kilbytes, which is less than the data needed t use Ggle Maps t find three driving rutes.
